CHAPTER – 01 INTRODUCTION
1.1 Preamble
Internship is the process of on-the-job training, which particularly beneficial for students with
major in technological courses.
SLIATE provides that glorious opportunity to their students of having an internship within their
diplomats program.
SLIATE always emphasize on industry orientation in academic study. For these purpose industry
people are invited to SLIATE to talk about their companies and experiences, often some technical
courses are entirely conducted by them. The six month internship program is another, possibly
most effective, way of achieving industry orientation.
Internship helps the students to link-up their academic experience with industry practices. I have
tried my best to combine the both together. I hope I am successful, the future semesters of my
degree will prove the fact of success and failure.
1.2 Objective
This report has been prepared as a requirement of the internship program of the degree HNDA.
The report is intended to reflect my achievements, Work involvements and professional growth
during the intern period.
1.3 Scope
This report gives an insight of the experience that I faced in my workplace at Eastern University.
As well as it also provides a brief description of Eastern University.
1.4 Methodology
This report has been prepared on the basis of understanding gathered during the period of
internship. In order to prepare this report, I have also collected information from co-employee
and division of the finance department. I have presented my experience and findings through
compiling the information given in the report.
To prepare an authentic and informative report I studied all the organization’s information,
record, company website and other relevant things. Beside these it was most significant to
discuss with employees of different section regarding various confidential records.

1.5 Findings:
During the period of internship I have achieved vast experiences that enrich my knowledge of
financial extensive. Here I have tried to present my experiences and knowledge in order to provide
a better judgment. It conducts studies activities efficiently to achieve its objectives, goals, mission
and vision. All of its faculties are working rigid for better education services. Abreast these, I also
have found the following essence through careful examination.
Findings about the Organization:
All payments made by cheque and most were post.
The most suppliers were Muslims
No discrimination for race, religion, decision making and actions.
Pollution level is low.
Well Cleanliness
Provides excellent services to its employees like canteen, medical facilities, transportation etc.

2.1 About SLIATE
As per the recommendations of the Committee appointed by Prof. Wiswa Waranapala, Deputy
Minister of Higher Education in 1994, the Sri Lanka Institute of Advanced Technical Education
(SLIATE) was formed in 1995, under the Sri Lanka Institute of Advanced Technical Education
Act No. 29 of 1995, In 2001 the name of the institution was amended to read as Sri Lanka Institute
of Advanced Technological Education, (SLIATE). It functions as an autonomous Institute for the
management of Higher National and National Diploma courses. The main purposes of establishing
SLIATE were to reform and restructure the entire technical and vocational education system in
relation to the changing needs of economic development, to meet manpower requirements of
national development strategies, and the promotion of privatization, with special concern for
meeting the scarcity of trained technological manpower resources at the technician level.
The SLIATE is a statutory body operating under the purview of Ministry of Higher Education and
is one of the leading higher educational institutions in Sri Lanka.
SLIATE has been focusing on fostering Advanced Technical Education at a post-secondary level.
It is mandated to establish Advanced Technological Institute (ATI) in every province for
technological courses. At present it manages and supervises Twelve Advanced Technological
Institutes and Six Sections. SLIATE is headed by a Director General while each of its institutes is
headed by a Director. All academic sections of SLIATE and its institutions are headed by
Academic Coordinators.

2.2 ATI Batticaloa
The ATI Section, Batticaloa functions at the Batticaloa It was
inaugurated in 1996 under the parliament Act No 29 of 1995. At the
beginning the institute was functioning At Technical College
Batticaloa.
Mr. Thiyagarajah was the first Academic coordinator of the institute.
Mrs. Muthulaxmy was second Academic coordinator of ATI Section
Batticaloa; Mr. S. Jeyapalan is as the Academic coordinator at present
The new premise of our ATI Batticaloa is located in Batticaloa-Kalmunai Main Road,
KovilKulam, Arayanpathy, Batticaloa. As the number of students increased gradually there was
an urgent need for an own private building for the institute. Funded by our government, a new
block of building construction is in progress.
2.3 Higher National Diploma in Accountancy - (HNDA)
The HNDA programme is the first professional accounting course introduced in Sri Lanka. It was
started in 1943 as the National Diploma in Accountancy with the aim of detecting and preventing
frauds, errors and malpractices in Ceylon Tea Estates and Ceylon Railway. Then, it was converted
to a Higher National Diploma in Accountancy (HNDA) in 1946. The HNDA programme is the
first professional accounting course introduced in Sri Lanka. It has been gaining popularity over
the time and in 1963, an evening course was also introduced in order to meet the market demand.
The HNDA was considered as an alternative to a B.Com degree offered by a Sri Lankan university
by the Public Administration Circular No.46/90 of 1990. The mandate for auditing enterprises
excluding public sector organizations as certified auditors was granted to the HNDA holders in
1968. From 2001, HNDA programme is conducted by the Sri Lanka Institute of Advanced
Technological Education (SLIATE) at the Advanced Technological Institute (ATIs).

After completing HNDA program, the HNDA holders can start their carrier as registered auditor
and audit companies except public companies. The syllabus of the HNDA programme was recently
revised by taking into the account of the syllabus of the Institute of Chartered Accountants of Sri
Lanka and some other syllabuses. The HNDA programme is conducted over four years on full
time and part time basis. SLIATE has been conducting this programme from its inception in 1965
with the mission of creating excellent higher national diploma holders who are competent enough
and equipped with modern technology in the fields of accounting and finance in order to contribute
for the sustainable development of the country.

CHAPTER – 03 ORGANIZATION’S PROFILE
3.1 About Eastern University Sri Lanka
The Eastern University, Sri Lanka, was established on the 01st of
October 1986 by a University Order dated 26th September 1986
issued under Section 2 of the Universities Act No: 16 of 1978.
The University was preceded by the Batticaloa University
College established on 01st August 1981 which was started in the
buildings of the Vantharumoolai Madya Maha Vidyalayam. In
addition, over 100 acres of land have been added to the original
Campus. Student hostels and staff quarters have been constructed
on this land and many new buildings are planned. The Batticaloa
University College began with two faculties: The Faculty of
Science and the Faculty of Agriculture and both these faculties
were affiliated to the University of Peradeniya. Two new
Faculties viz. the Faculty of Commerce & Management with the Departments of Economics,
Commerce & Management, and the Faculty of Cultural Studies with the Departments of Arabic,
Islamic Studies and Fine Arts were established in 1988. The Faculty of Cultural Studies was then
expanded to include the Department of Languages and the Department of Social Science and
renamed the Faculty of Arts & Culture in 1991.

3.2 Trincomalee Campus at Trincomalee
This institution originally established as Trincomalee Affiliated
University College (AUC) in April 1993 under ordinance No-01of
1993 by the Universities Act No.16 of 1978, section 24A, The
Trincomalee Campus of the Eastern University was established with
effect from 15th June 2001 by
Gazette notification dated 6th June 2001. The Campus administration
was initially located at No 315, Dockyard Road, Trincomalee and it is
now located at Konesapuri, 10km north of Trincomalee. The land
represents the beauty of the coastline and the serenity of the rural and
rustic life of Trincomalee.
3.3 Swami Vipulananda Institute of Aesthetic Studies (SVIAS) at Kallady,Batticaloa
The Swami Vipulananda College of Music and Dance (SVCMD) was
established in 1981 by the Ministry of Regional Affairs and Hindu
Culture. Subsequently the SVCMD was ceremonially handed over to the
Ministry of Higher Education by the Ministry of Cultural Affairs on 20th
April 2001. It was affiliated to the Eastern University Sri Lanka in 01st
January 2002, and the University Grants Commission permitted the
Eastern University, Sri Lanka to enroll Diploma Holders of the Swami
Vipulananda College of Music and Dance for a degree programme in
the Department of Fine Arts. Swami Vipulananda Institute of Aesthetic
Studies(SVIAS) was established by the Gazette Notification of the
Democratic Socialist Republic of Sri Lanka (No. 1392/22 of 03.06.2005) under the order made by
the section 24 B of the University Act. No 16 of 1978.

3.4 Faculty of Health-Care Sciences at Batticaloa
The Faculty of Health -Care Sciences was established in November 2005
by the Gazette Notification. The initial programme conducted by EUSL
in Human Health Sciences was the Post Basic Diploma in Nursing. The
year 2006 was significant year to Faculty of Health-Care Sciences. This
year was also the Silver Jubilee year of EUSL. The Inauguration function
of FHCS has taken place in this year. The 1st Batch of students reading
for Medicine was enrolled and the course
Commenced on June 2006. Another significant year for the Faculty is the year 2008. The first
batch of students for BSc. Nursing was enrolled and the course was commenced in this year.
Furthermore the Faculty also conducts BSc. Nursing (External) degree to those who were Staff
Nurses qualified from Colleges of Nursing in Sri Lanka. Currently 02 batches of students are
following this programme.

The main administrative block of the Eastern University, Sri Lanka (senate building) located in
Vantharumoolai which is 15 km away from Batticaloa town and four faculties Vz: Faculty of
Agriculture, Faculty of Science, Faculty of Commerce & Management and Faculty of Arts &
Culture are housed here. Faculty of Health Care Sciences is situated 15 km away from
Vantharumooali in Batticaloa town which is offering MBBS and BSc in Nursing Degrees. Swamy
Vipulananda Institute of Aesthetic Studies is situated 3km away from the Faculty of Health Care
Sciences in Kallady Uppodai which is offering BFA in Music, Dance, Drama & Theatre Arts and
Visual & Technological Arts. Trincomalee campus is located 180 km away from the
Vantharumoolai at Konesapuri in Trincomalee district having two faculties & one unit Vz: Faculty
of Communication and Business studies, Faculty of Applied Sciences and Siddha Medicine Unit.

3.8 Infrastructure Facilities and Student Support
a) Study System
The university provides education facilities to all the internal students allocated and admitted by
the UGC. The external degree programmes includes specially designed printed lesson material for
a self-learner, discussion and classes, seminars, workshops, tutorial classes, laboratory, library and
field work, e-mail and internet. The printed material offers the student the equivalent of lectures
and tutorials. Students are provided with lesson material throughout the course.
Teaching also includes a system of continuous assessments, assignments, tests, internship training,
field trips, project work etc. The assessments have a dual purpose viz. a tool as well as a means of
helping the students to assess their own progress. Assignments are marked and returned to the
student. The continuous assessment component also forms a part of the overall mark of the final
examination.
Academic Counseling and Career Guidance of students in the appropriate selection of courses in
selection of General/Special degree programme are provided by all faculties.
b) Programmes
The university has progressively increased the number of programmes offered at its inception to
around 47. These programmes range from conventional, non-conventional, job oriented to
continuing further education. The programmes are at Certificate, Diploma, Degree, Postgraduate
and Doctoral level which provide an opportunity for entry at different levels.
c) Outreach
The university is located on 126 acres land at Vantharumoolai, Chenkalady. Academic and
Administrative Secretariats have been established in the Old Complex area and the faculty
complexes are proposed to build in the New Complex area. All facilities to students and staff are
arranged in the university complex areas. The Faculty of Health-Care Sciences is located in
Batticaloa Town is operating on 3 acres and steps have been taken to relocate at the new premises
at Pillayarady, Batticaloa on 50 acres.

d) Collaboration and Partnerships
The EUSL considers collaboration and partnership with other institutions locally and globally to
be of great importance in developing curricula for programmes of study, staff development as well
as the development of infrastructure. The university collaborates with the conventional
universities, research institutes, the corporate sector and NGOs. The EUSL has established strong
links with several universities overseas, both conventional and open in India, Thailand and
Norway.
e) Community services
The provision of educational facilities to students through external mode is in itself a huge
community service. Students have the opportunity to learn English language and Information
Technology. Another community service provided by the EUSL is to maintain model pre-schools
in and around Batticaloa for the benefit of the children and people of the area. The CICT of EUSL
is actively engage in providing several community services.

3.9 Facilities for Employees
According to two factor theory of job satisfaction, salary is just a hygiene factor. Motivation factors
are important for effective work. EUSL provides several facilities for the employees.
a) Domestic Environment
EUSL is like one big family. All the current and ex-employees are members of this EUSL family.
Employees consider the Organization to be their own responsibility
b) Lunch and snacks
The employees are provided by lunch from the office. Also, there is tea, coffee and snacks
available all the time.
c) Indoor and outdoor games
The EUSL compound is dedicated for outdoor games like cricket etc. Also, one of the balconies
is equipped with indoor game tools like carom, chess
d) Recreation
EUSL has different ways for recreation of employee. Release parties, picnics, ‘Annual party &
AGM’ outings are part of it. I am sure these are only a small fraction of the facilities available at
EUSL.

e) Office Schedule
Office starts at 08:30 am and ends at 4:15 pm, from Monday to Friday. There is a 12:30 hour break
from 1:00 pm for lunch.
3.10 Internship Job & Duties
The Finance Department is a key of university, which is controlling all other sector by monetary.
All financial transactions in all departments are held here. Universities Fund is allocated through
government budget from Government grants, subsidies and loan.
There are 3 main division of finance department.
 Bursar’s Division
 Finance & Budget
 Supply & Store
Finance department manages the fund available for the operations of the business, by making a
balance between the fund inflow and fund outflow.
Bursar’s Division
Finance department headed by Bursar. He is assisted by 3 assistant bursars. They are responsible
for each division in respectively bursar’s division, Finance & Budget & Supply & Store. Bursar’s
Division deals with book loans, advances salaries of all employees & etc.
I trained about salary work with supervisor’s permission. The university’s employee contribution
as follows.
Accordingly member of the Provident Fund contribute 10% of the earnings to the Universities
Provident Fund and at the same time employer makes a contribution of 15% of the Fund.

University Grants Commission established a Pension Scheme which is optional for employees who
were in service prior to 1 for employees appointed after this date. In respect of the members who
joined the Pension Fund, employer’s contribution of 15% of the earnings splits into two
components viz. 7% and 8%. This component of 8% is contributed to Pension Fund and 7% is
contributed to the Universities Provident Fund.
Finance & Budget
In Finance & Budget, I worked under the supervision of Mr. K. A. H. K. Jayarathna. He gives me
brief introduction about this Finance & Budget section and give me chance to work on accounts.
He first manually and then on a software made a sample entry for me to properly understand the
process and then give me a chance to enter lot of different entries. Under this finance & budget,
worked 3 book keepers, record keeper & senior staff assistant
According to the office rules and regulations I have proceed like a regular employee. That’s why
I had to serve from 08:30am to 04:15pm. After entering into the office I would sign attendance
sheet like other officials, and then sit on assigned section and there was specific desk for me.
Within office hour every employees of relevant section guided me in order for better improvement.
As an internee I also had some certain responsibilities and duties that had to perform very sincerely.
Since initially I was in financial department there I had to work as an assistant of different
employee who was working on that relevant department During internship period I have learned lots
of things. I have got to know how office system are working and got some good experience in society.
Here I classified my tasks into three categories like book & budget, bills payable & bank section.
a) Book and Budget
In this Part, I have worked under the supervision of Mr. Gunapalan. In this section we mostly do:
 Collection of accounts from different sections
 Preparation of trial balance and final accounts
 Co-ordination with auditors
 Helping statutory auditor
 Observe the trail balance and observe the implementation of Sri Lanka Accounting
Standards (SLAS)
 Uses of Formulae in Making P&L statement and Balance Sheet.
 Whole accounting procedure starts from by making entries and its effects goes on trial
balance, P&L and on Balance Sheet

b) Bills Payable
In this Part, I have worked under the supervision of Mr. K. Kishnathas & Mr. S. Prashanth. In this
section we mostly do:
 Record payment vouchers in DB.
 Prepare monthly expenditure report.
 Prepare VAT report.
 Maintain expenditure control.
This section handles the payment to be made to the suppliers. This includes the receiving of stores
receipt vouchers, purchase order and their verification in terms of quality and quantity.
Once the claims are found satisfactory, the payment is made as per the terms.
c) Bank Section
On my 4th
month of training I was sent to cash and bank section report to Mrs. D. Sinthuja. I also
inquired regarding the necessary course of action by the organization in the event of any
discrepancy between the balance as per company’s books and the bank statement. I identify the
causes of the variance and prepared the account. I faced a challenge, that the huge amount of
refundable deposit are presented under non-current liability and it show the Unpresented under the
reconciliation of the financial statements of the university.
d) Votes & ledgers
In this Part, I have worked under the supervision of Mrs. T. Malini. She deals with day to day cash
book writing, cheque printing & etc. The six bank accounts use for transaction of EUSL. The use
of each accounts transaction was differently.
I am thankful to Sir Mr. K. A. H. K. Jayarathna & staff that he shared knowledge and makes me
understand about each and everything about EUSL. Thank you so much Sir for giving me such
great time.
3.11 Challenges
First challenge I faced was language when speak with my internship supervisor, was the major
challenge for me at the beginning.
Handling the various kind of suppliers who are different in age and gender, some suppliers never
try to understand the situation and the always put pressure on us.

Working with experienced people, made me feel uncomfortable sometimes because of their
working speed is too high.

Not enough space in the finance office. It was very close.
3.13 Recommendations
Specific tasks should be assign to internees & all the duties & responsibility of each employee
should be clear
Should introduce & Try to more use of latest accounting package in to the work, so that the
employees can do their work active mindedly.
Give a chance for participate the seminars to the trainees.
3.14 Self-Evaluation
I would like to evaluate myself under two topics namely expectation and reality.
Firstly, I had little bit nerves and hesitation as I did not know anything about the EUSL and staffs.
I expect that would be difficult manage six months at EUSL as it is a beginning and only one
University in Batticaloa. But it’s not took a long time to adopt to the organizations environment as
the staffs are too friendly and well communicative.
I felt it would be so difficult to catch up the procedure of financial system at first because, even
though they told some of procedures at first it was somewhat difficult to understand. So I interested
to ask more things them first but the staffs were amazing the taught me patiently. Then I catch up
the things in bill payable section like vouchers and its supporting documents and finally the
checking and prepared the expenditure report.

Then the bank reconciliation also toughs at first but I managed to make familiar with accounts.
Then I found myself very active at work and easily adopt to the environment and able to maintain
good relationship with co-workers.
As soon as possible I catch up the things what they taught me but there are many things in a
financial system but it’s difficult to learn all the things within six months’ period of time. Also
there is not enough time, therefore limit task given for trainees.
When it comes to finance and budget section I was afraid and also interested to work as that was
very busy unit but I managed to catchup the things as staffs guide me very patiently. Here more
than the system I learned how important to being an emotionally intelligent, friendly and world
with pressure.
Also I had many chance to implement some theories what I learned during my degree programme,
was very helpful to me like handling difficult suppliers, academic service and organizational
behavior.
After my training period I realized how important it was to being punctual and well personality.
So now I will be punctual when it comes to professional work as well as personality like dressing
sense, communication and maintain relationship.
I got some knowledge, especially in EUSL, head’s leadership skill and way of communicating to
employees and suppliers and problem handling. From others staffs how to treat new comers and
suppliers as well as the way they maintain the relation among them was amazing (small example
they share their meals with other co-workers even the person busies at that time they waited for
other person and also they allocate the small portion of meals to their members as well.)
Finally, I got familiar with all the procedures what they taught me and adopt to the environment
as other staffs never treat me as a trainee, they treat me like the one of their employee. Then only
I became to about myself very active and attractive and will able to adopt to the environment and
also able to work as team. Before I didn’t think that I was a good team player but now I know that.
3.15 Lesson Learned
I did my six months internship program in EUSL. I got the opportunity to work in finance
department of the organization. I found myself very fortunate for being able to work with EUSL.
The report has been prepared on the basis of experience gathered during the period of internship.
Within this period, I mainly worked with department namely finance and budget department. I
also work with bursar unit for a short time. EUSL does not follow any specific guideline for the
internship students. The department treated me as one of them employees not just an intern. So, I
had to do a lot of work.

I started my work in finance and budget department in book & budget section where I learned how
to prepare the trail balance & final accounts and collection of accounts from different accounts
like store accounts. Here I got some experience about whole accounting procedure starts from by
making entries and its effects goes on trial balance, P&L and on balance sheet. The staffs of the
office are very friendly and they patiently answered all my questions and the guided me in a very
well manner. Also learned how to treat a new co-worker and hoe to build relationship with co-
workers.
Next to bills payable I worked in same department where I learned what are supporting document

This section handles the payment to be made to the suppliers. Wonderful experience that was.
Salary unit is always update and close relative to the bank as well as I worked there very few times.
Within that time, I learned some basic procedures about calculate the EPF & ETF contribution,
PAYE TAX calculation, other benefits, updating and checking increments . This section always
under supervision of bursar. Cash & Bank section is also relative to the bank. It’s mainly duty is
prepare the bank reconciliation. Last days I worked votes & ledger section where I learned day to
day cash book writing & cheque printing. This unit need a good public relation as they always
busy with suppliers.
Over this six month in EUSL was an amazing experience as I learned more things than the office
operating system.
Also here I daily balance the passbook quantity and mandates. This unit need a good public relation
as they always busy with customers. . Here in learned how to work with pressure and impotence
of being emotional intelligent.
3.16 Conclusion and Way forward
The time spent for the internship at EUSL were no doubt a source of great learning for me about
many things particularly working in Finance Department. So I feel lucky to have EUSL as the
place of my work experience. I had no any idea of the challenges to be faced before putting my
foot in the professional world. My internship period was six months and I believe I have got more
knowledge and solved challenge than my expectation.
I personally had a wonderful time throughout my 24 weeks of internship, especially because I
found everyone friendly, honest and helpful. During this period I have work hard under kind
guidance of most experienced professional staff. They have given me lots of tips and techniques,
which will help me in my professional life. They have shared their experience and their expertise
with me.

There is consideration for each other, in times of happiness and in times of pressure of work, and
each one is looking to complement the other either by working late or by forgoing his/her personal
commitments. As well as there are many memorable moments difficult situation I faced working in
the EUSL.
Whole of the staff are very well disciplined, encouraging and provide total guidance for the
completion of the practicum period. As a human being, I noticed many changes in my attitude. I
am so confident and more likely to do any work in accounting field now. On the whole it was a
pleasurable experience for me as an internee.
I Internship is a very good thing for a diplomat as got an opportunity to learn about society. I
believe that my internship is effective. But I felt I would be more effective if these things happen,

  • 9. 1 | P a g e CHAPTER – 01 INTRODUCTION 1.1 Preamble Internship is the process of on-the-job training, which particularly beneficial for students with major in technological courses. SLIATE provides that glorious opportunity to their students of having an internship within their diplomats program. SLIATE always emphasize on industry orientation in academic study. For these purpose industry people are invited to SLIATE to talk about their companies and experiences, often some technical courses are entirely conducted by them. The six month internship program is another, possibly most effective, way of achieving industry orientation. Internship helps the students to link-up their academic experience with industry practices. I have tried my best to combine the both together. I hope I am successful, the future semesters of my degree will prove the fact of success and failure. 1.2 Objective This report has been prepared as a requirement of the internship program of the degree HNDA. The report is intended to reflect my achievements, Work involvements and professional growth during the intern period. 1.3 Scope This report gives an insight of the experience that I faced in my workplace at Eastern University. As well as it also provides a brief description of Eastern University. 1.4 Methodology This report has been prepared on the basis of understanding gathered during the period of internship. In order to prepare this report, I have also collected information from co-employee and division of the finance department. I have presented my experience and findings through compiling the information given in the report. To prepare an authentic and informative report I studied all the organization’s information, record, company website and other relevant things. Beside these it was most significant to discuss with employees of different section regarding various confidential records.

Website of the EUSL. 1.5 Findings: During the period of internship I have achieved vast experiences that enrich my knowledge of financial extensive. Here I have tried to present my experiences and knowledge in order to provide a better judgment. It conducts studies activities efficiently to achieve its objectives, goals, mission and vision. All of its faculties are working rigid for better education services. Abreast these, I also have found the following essence through careful examination. Findings about the Organization: All payments made by cheque and most were post. The most suppliers were Muslims No discrimination for race, religion, decision making and actions. Pollution level is low. Well Cleanliness Provides excellent services to its employees like canteen, medical facilities, transportation etc.
  • 11. 3 | P a g e CHAPTER – 02 ACADEMIC’S PROFILE 2.1 About SLIATE As per the recommendations of the Committee appointed by Prof. Wiswa Waranapala, Deputy Minister of Higher Education in 1994, the Sri Lanka Institute of Advanced Technical Education (SLIATE) was formed in 1995, under the Sri Lanka Institute of Advanced Technical Education Act No. 29 of 1995, In 2001 the name of the institution was amended to read as Sri Lanka Institute of Advanced Technological Education, (SLIATE). It functions as an autonomous Institute for the management of Higher National and National Diploma courses. The main purposes of establishing SLIATE were to reform and restructure the entire technical and vocational education system in relation to the changing needs of economic development, to meet manpower requirements of national development strategies, and the promotion of privatization, with special concern for meeting the scarcity of trained technological manpower resources at the technician level. The SLIATE is a statutory body operating under the purview of Ministry of Higher Education and is one of the leading higher educational institutions in Sri Lanka. SLIATE has been focusing on fostering Advanced Technical Education at a post-secondary level. It is mandated to establish Advanced Technological Institute (ATI) in every province for technological courses. At present it manages and supervises Twelve Advanced Technological Institutes and Six Sections. SLIATE is headed by a Director General while each of its institutes is headed by a Director. All academic sections of SLIATE and its institutions are headed by Academic Coordinators. Figure 1 Sliate logo
  • 12. 4 | P a g e 2.2 ATI Batticaloa The ATI Section, Batticaloa functions at the Batticaloa It was inaugurated in 1996 under the parliament Act No 29 of 1995. At the beginning the institute was functioning At Technical College Batticaloa. Mr. Thiyagarajah was the first Academic coordinator of the institute. Mrs. Muthulaxmy was second Academic coordinator of ATI Section Batticaloa; Mr. S. Jeyapalan is as the Academic coordinator at present The new premise of our ATI Batticaloa is located in Batticaloa-Kalmunai Main Road, KovilKulam, Arayanpathy, Batticaloa. As the number of students increased gradually there was an urgent need for an own private building for the institute. Funded by our government, a new block of building construction is in progress. 2.3 Higher National Diploma in Accountancy - (HNDA) The HNDA programme is the first professional accounting course introduced in Sri Lanka. It was started in 1943 as the National Diploma in Accountancy with the aim of detecting and preventing frauds, errors and malpractices in Ceylon Tea Estates and Ceylon Railway. Then, it was converted to a Higher National Diploma in Accountancy (HNDA) in 1946. The HNDA programme is the first professional accounting course introduced in Sri Lanka. It has been gaining popularity over the time and in 1963, an evening course was also introduced in order to meet the market demand. The HNDA was considered as an alternative to a B.Com degree offered by a Sri Lankan university by the Public Administration Circular No.46/90 of 1990. The mandate for auditing enterprises excluding public sector organizations as certified auditors was granted to the HNDA holders in 1968. From 2001, HNDA programme is conducted by the Sri Lanka Institute of Advanced Technological Education (SLIATE) at the Advanced Technological Institute (ATIs).   • 13. 5 | P a g e After completing HNDA program, the HNDA holders can start their carrier as registered auditor and audit companies except public companies. The syllabus of the HNDA programme was recently revised by taking into the account of the syllabus of the Institute of Chartered Accountants of Sri Lanka and some other syllabuses. The HNDA programme is conducted over four years on full time and part time basis. SLIATE has been conducting this programme from its inception in 1965 with the mission of creating excellent higher national diploma holders who are competent enough and equipped with modern technology in the fields of accounting and finance in order to contribute for the sustainable development of the country. 2.4 Vision & Mission Our Vision Excellent in action to achieve SLIATE vision.   • 14. 6 | P a g e CHAPTER – 03 ORGANIZATION’S PROFILE 3.1 About Eastern University Sri Lanka The Eastern University, Sri Lanka, was established on the 01st of October 1986 by a University Order dated 26th September 1986 issued under Section 2 of the Universities Act No: 16 of 1978. The University was preceded by the Batticaloa University College established on 01st August 1981 which was started in the buildings of the Vantharumoolai Madya Maha Vidyalayam. In addition, over 100 acres of land have been added to the original Campus. Student hostels and staff quarters have been constructed on this land and many new buildings are planned. The Batticaloa University College began with two faculties: The Faculty of Science and the Faculty of Agriculture and both these faculties were affiliated to the University of Peradeniya. Two new Faculties viz. the Faculty of Commerce & Management with the Departments of Economics, Commerce & Management, and the Faculty of Cultural Studies with the Departments of Arabic, Islamic Studies and Fine Arts were established in 1988. The Faculty of Cultural Studies was then expanded to include the Department of Languages and the Department of Social Science and renamed the Faculty of Arts & Culture in 1991.   • 15. 7 | P a g e 3.2 Trincomalee Campus at Trincomalee This institution originally established as Trincomalee Affiliated University College (AUC) in April 1993 under ordinance No-01of 1993 by the Universities Act No.16 of 1978, section 24A, The Trincomalee Campus of the Eastern University was established with effect from 15th June 2001 by Gazette notification dated 6th June 2001. The Campus administration was initially located at No 315, Dockyard Road, Trincomalee and it is now located at Konesapuri, 10km north of Trincomalee. The land represents the beauty of the coastline and the serenity of the rural and rustic life of Trincomalee. 3.3 Swami Vipulananda Institute of Aesthetic Studies (SVIAS) at Kallady,Batticaloa The Swami Vipulananda College of Music and Dance (SVCMD) was established in 1981 by the Ministry of Regional Affairs and Hindu Culture. Subsequently the SVCMD was ceremonially handed over to the Ministry of Higher Education by the Ministry of Cultural Affairs on 20th April 2001. It was affiliated to the Eastern University Sri Lanka in 01st January 2002, and the University Grants Commission permitted the Eastern University, Sri Lanka to enroll Diploma Holders of the Swami Vipulananda College of Music and Dance for a degree programme in the Department of Fine Arts. Swami Vipulananda Institute of Aesthetic Studies(SVIAS) was established by the Gazette Notification of the Democratic Socialist Republic of Sri Lanka (No. 1392/22 of 03.06.2005) under the order made by the section 24 B of the University Act.   • 16. 8 | P a g e 3.4 Faculty of Health-Care Sciences at Batticaloa The Faculty of Health -Care Sciences was established in November 2005 by the Gazette Notification. The initial programme conducted by EUSL in Human Health Sciences was the Post Basic Diploma in Nursing. The year 2006 was significant year to Faculty of Health-Care Sciences. This year was also the Silver Jubilee year of EUSL. The Inauguration function of FHCS has taken place in this year. The 1st Batch of students reading for Medicine was enrolled and the course Commenced on June 2006. Another significant year for the Faculty is the year 2008. The first batch of students for BSc. Nursing was enrolled and the course was commenced in this year. Furthermore the Faculty also conducts BSc. Nursing (External) degree to those who were Staff Nurses qualified from Colleges of Nursing in Sri Lanka. Currently 02 batches of students are following this programme. 3.5 Location and Physical Layout EUSL is at Vantharumoolai, Chenkalady.   • 17. 9 | P a g e The main administrative block of the Eastern University, Sri Lanka (senate building) located in Vantharumoolai which is 15 km away from Batticaloa town and four faculties Vz: Faculty of Agriculture, Faculty of Science, Faculty of Commerce & Management and Faculty of Arts & Culture are housed here. Faculty of Health Care Sciences is situated 15 km away from Vantharumooali in Batticaloa town which is offering MBBS and BSc in Nursing Degrees. Swamy Vipulananda Institute of Aesthetic Studies is situated 3km away from the Faculty of Health Care Sciences in Kallady Uppodai which is offering BFA in Music, Dance, Drama & Theatre Arts and Visual & Technological Arts. Trincomalee campus is located 180 km away from the Vantharumoolai at Konesapuri in Trincomalee district having two faculties & one unit Vz: Faculty of Communication and Business studies, Faculty of Applied Sciences and Siddha Medicine Unit. 3.6 Our Vision & Mission Our Vision Centre of excellence for higher learning in Sri Lanka. Our Mission To facilitate learning, research, and dissemination of knowledge to produce competent graduate through conducive environment with industry-community collaboration to serve socio-economic and cultural needs of the community. 3.7 The organization structure of the University Figure 10 Organizational Structure
  • 18. 10 | P a g e 3.8 Infrastructure Facilities and Student Support a) Study System The university provides education facilities to all the internal students allocated and admitted by the UGC. The external degree programmes includes specially designed printed lesson material for a self-learner, discussion and classes, seminars, workshops, tutorial classes, laboratory, library and field work, e-mail and internet. The printed material offers the student the equivalent of lectures and tutorials. Students are provided with lesson material throughout the course. Teaching also includes a system of continuous assessments, assignments, tests, internship training, field trips, project work etc. The assessments have a dual purpose viz. a tool as well as a means of helping the students to assess their own progress. Assignments are marked and returned to the student. The continuous assessment component also forms a part of the overall mark of the final examination. Academic Counseling and Career Guidance of students in the appropriate selection of courses in selection of General/Special degree programme are provided by all faculties. b) Programmes The university has progressively increased the number of programmes offered at its inception to around 47. These programmes range from conventional, non-conventional, job oriented to continuing further education. The programmes are at Certificate, Diploma, Degree, Postgraduate and Doctoral level which provide an opportunity for entry at different levels. c) Outreach The university is located on 126 acres land at Vantharumoolai, Chenkalady. Academic and Administrative Secretariats have been established in the Old Complex area and the faculty complexes are proposed to build in the New Complex area. All facilities to students and staff are arranged in the university complex areas. The Faculty of Health-Care Sciences is located in Batticaloa Town is operating on 3 acres and steps have been taken to relocate at the new premises at Pillayarady, Batticaloa on 50 acres.
  • 19. 11 | P a g e d) Collaboration and Partnerships The EUSL considers collaboration and partnership with other institutions locally and globally to be of great importance in developing curricula for programmes of study, staff development as well as the development of infrastructure. The university collaborates with the conventional universities, research institutes, the corporate sector and NGOs. The EUSL has established strong links with several universities overseas, both conventional and open in India, Thailand and Norway. e) Community services The provision of educational facilities to students through external mode is in itself a huge community service. Students have the opportunity to learn English language and Information Technology. Another community service provided by the EUSL is to maintain model pre-schools in and around Batticaloa for the benefit of the children and people of the area.   • 20. 12 | P a g e 3.9 Facilities for Employees According to two factor theory of job satisfaction, salary is just a hygiene factor. Motivation factors are important for effective work. EUSL provides several facilities for the employees. a) Domestic Environment EUSL is like one big family. All the current and ex-employees are members of this EUSL family. Employees consider the Organization to be their own responsibility b) Lunch and snacks The employees are provided by lunch from the office. Also, there is tea, coffee and snacks available all the time. c) Indoor and outdoor games The EUSL compound is dedicated for outdoor games like cricket etc. Also, one of the balconies is equipped with indoor game tools like carom, chess d) Recreation EUSL has different ways for recreation of employee. Release parties, picnics, ‘Annual party & AGM’ outings are part of it. I am sure these are only a small fraction of the facilities available at EUSL. Figure 13 CICT Figure 14 Convocation
  • 21. 13 | P a g e e) Office Schedule Office starts at 08:30 am and ends at 4:15 pm, from Monday to Friday. There is a 12:30 hour break from 1:00 pm for lunch. 3.10 Internship Job & Duties The Finance Department is a key of university, which is controlling all other sector by monetary. All financial transactions in all departments are held here. Universities Fund is allocated through government budget from Government grants, subsidies and loan. There are 3 main division of finance department.  Bursar’s Division  Finance & Budget  Supply & Store Finance department manages the fund available for the operations of the business, by making a balance between the fund inflow and fund outflow. Bursar’s Division Finance department headed by Bursar. He is assisted by 3 assistant bursars. They are responsible for each division in respectively bursar’s division, Finance & Budget & Supply & Store. Bursar’s Division deals with book loans, advances salaries of all employees & etc. I trained about salary work with supervisor’s permission. The university’s employee contribution as follows. Accordingly member of the Provident Fund contribute 10% of the earnings to the Universities Provident Fund and at the same time employer makes a contribution of 15% of the Fund.   • 22. 14 | P a g e University Grants Commission established a Pension Scheme which is optional for employees who were in service prior to 1 for employees appointed after this date. In respect of the members who joined the Pension Fund, employer’s contribution of 15% of the earnings splits into two components viz. 7% and 8%. This component of 8% is contributed to Pension Fund and 7% is contributed to the Universities Provident Fund. Finance & Budget In Finance & Budget, I worked under the supervision of Mr. K. A. H. K. Jayarathna. He gives me brief introduction about this Finance & Budget section and give me chance to work on accounts. He first manually and then on a software made a sample entry for me to properly understand the process and then give me a chance to enter lot of different entries. Under this finance & budget, worked 3 book keepers, record keeper & senior staff assistant According to the office rules and regulations I have proceed like a regular employee. That’s why I had to serve from 08:30am to 04:15pm. After entering into the office I would sign attendance sheet like other officials, and then sit on assigned section and there was specific desk for me. Within office hour every employees of relevant section guided me in order for better improvement. As an internee I also had some certain responsibilities and duties that had to perform very sincerely. Since initially I was in financial department there I had to work as an assistant of different employee who was working on that relevant department During internship period I have learned lots of things. I have got to know how office system are working and got some good experience in society. Here I classified my tasks into three categories like book & budget, bills payable & bank section. a) Book and Budget In this Part, I have worked under the supervision of Mr. Gunapalan. In this section we mostly do:  Collection of accounts from different sections  Preparation of trial balance and final accounts  Co-ordination with auditors  Helping statutory auditor  Observe the trail balance and observe the implementation of Sri Lanka Accounting Standards (SLAS)  Uses of Formulae in Making P&L statement and Balance Sheet.  Whole accounting procedure starts from by making entries and its effects goes on trial balance, P&L and on Balance Sheet
  • 23. 15 | P a g e b) Bills Payable In this Part, I have worked under the supervision of Mr. K. Kishnathas & Mr. S. Prashanth. In this section we mostly do:  Record payment vouchers in DB.  Prepare monthly expenditure report.  Prepare VAT report.  Maintain expenditure control. This section handles the payment to be made to the suppliers. This includes the receiving of stores receipt vouchers, purchase order and their verification in terms of quality and quantity. Once the claims are found satisfactory, the payment is made as per the terms. c) Bank Section On my 4th month of training I was sent to cash and bank section report to Mrs. D. Sinthuja. I also inquired regarding the necessary course of action by the organization in the event of any discrepancy between the balance as per company’s books and the bank statement. I identify the causes of the variance and prepared the account. I faced a challenge, that the huge amount of refundable deposit are presented under non-current liability and it show the Unpresented under the reconciliation of the financial statements of the university. d) Votes & ledgers In this Part, I have worked under the supervision of Mrs. T. Malini. She deals with day to day cash book writing, cheque printing & etc. The six bank accounts use for transaction of EUSL. The use of each accounts transaction was differently. I am thankful to Sir Mr. K. A. H. K. Jayarathna & staff that he shared knowledge and makes me understand about each and everything about EUSL. Thank you so much Sir for giving me such great time. 3.11 Challenges First challenge I faced was language when speak with my internship supervisor, was the major challenge for me at the beginning. Handling the various kind of suppliers who are different in age and gender, some suppliers never try to understand the situation and the always put pressure on us.
  • 24. 16 | P a g e Working with experienced people, made me feel uncomfortable sometimes because of their working speed is too high. Newly professional environment Manage supervisor & staff 3.12 Limitation Not enough the computers Delay for get their official needs Cannot learn more details about other departments. Not enough space in the finance office. It was very close. 3.13 Recommendations Specific tasks should be assign to internees & all the duties & responsibility of each employee should be clear Should introduce & Try to more use of latest accounting package in to the work, so that the employees can do their work active mindedly. Give a chance for participate the seminars to the trainees. 3.14 Self-Evaluation I would like to evaluate myself under two topics namely expectation and reality. Firstly, I had little bit nerves and hesitation as I did not know anything about the EUSL and staffs. I expect that would be difficult manage six months at EUSL as it is a beginning and only one University in Batticaloa. But it’s not took a long time to adopt to the organizations environment as the staffs are too friendly and well communicative. I felt it would be so difficult to catch up the procedure of financial system at first because, even though they told some of procedures at first it was somewhat difficult to understand. So I interested to ask more things them first but the staffs were amazing the taught me patiently. Then I catch up the things in bill payable section like vouchers and its supporting documents and finally the checking and prepared the expenditure report.
  • 25. 17 | P a g e Then the bank reconciliation also toughs at first but I managed to make familiar with accounts. Then I found myself very active at work and easily adopt to the environment and able to maintain good relationship with co-workers. As soon as possible I catch up the things what they taught me but there are many things in a financial system but it’s difficult to learn all the things within six months’ period of time. Also there is not enough time, therefore limit task given for trainees. When it comes to finance and budget section I was afraid and also interested to work as that was very busy unit but I managed to catchup the things as staffs guide me very patiently. Here more than the system I learned how important to being an emotionally intelligent, friendly and world with pressure. Also I had many chance to implement some theories what I learned during my degree programme, was very helpful to me like handling difficult suppliers, academic service and organizational behavior. After my training period I realized how important it was to being punctual and well personality. So now I will be punctual when it comes to professional work as well as personality like dressing sense, communication and maintain relationship. I got some knowledge, especially in EUSL, head’s leadership skill and way of communicating to employees and suppliers and problem handling. From others staffs how to treat new comers and suppliers as well as the way they maintain the relation among them was amazing (small example they share their meals with other co-workers even the person busies at that time they waited for other person and also they allocate the small portion of meals to their members as well.) Finally, I got familiar with all the procedures what they taught me and adopt to the environment as other staffs never treat me as a trainee, they treat me like the one of their employee. Then only I became to about myself very active and attractive and will able to adopt to the environment and also able to work as team. Before I didn’t think that I was a good team player but now I know that. 3.15 Lesson Learned I did my six months internship program in EUSL. I got the opportunity to work in finance department of the organization. I found myself very fortunate for being able to work with EUSL. The report has been prepared on the basis of experience gathered during the period of internship. Within this period, I mainly worked with department namely finance and budget department. I also work with bursar unit for a short time. EUSL does not follow any specific guideline for the internship students. The department treated me as one of them employees not just an intern. So, I had to do a lot of work.
  • 26. 18 | P a g e I started my work in finance and budget department in book & budget section where I learned how to prepare the trail balance & final accounts and collection of accounts from different accounts like store accounts. Here I got some experience about whole accounting procedure starts from by making entries and its effects goes on trial balance, P&L and on balance sheet. The staffs of the office are very friendly and they patiently answered all my questions and the guided me in a very well manner. Also learned how to treat a new co-worker and hoe to build relationship with co- workers. Next to bills payable I worked in same department where I learned what are supporting document required for prepare the vouchers, record payment vouchers in DB and maintain expenditure control. This section handles the payment to be made to the suppliers. Wonderful experience that was. Salary unit is always update and close relative to the bank as well as I worked there very few times. Within that time, I learned some basic procedures about calculate the EPF & ETF contribution, PAYE TAX calculation, other benefits, updating and checking increments . This section always under supervision of bursar. Cash & Bank section is also relative to the bank. It’s mainly duty is prepare the bank reconciliation. Last days I worked votes & ledger section where I learned day to day cash book writing & cheque printing. This unit need a good public relation as they always busy with suppliers. Over this six month in EUSL was an amazing experience as I learned more things than the office operating system. Also here I daily balance the passbook quantity and mandates. This unit need a good public relation as they always busy with customers. . Here in learned how to work with pressure and impotence of being emotional intelligent. 3.16 Conclusion and Way forward The time spent for the internship at EUSL were no doubt a source of great learning for me about many things particularly working in Finance Department. So I feel lucky to have EUSL as the place of my work experience. I had no any idea of the challenges to be faced before putting my foot in the professional world. My internship period was six months and I believe I have got more knowledge and solved challenge than my expectation. I personally had a wonderful time throughout my 24 weeks of internship, especially because I found everyone friendly, honest and helpful. During this period I have work hard under kind guidance of most experienced professional staff. They have given me lots of tips and techniques, which will help me in my professional life. They have shared their experience and their expertise with me.
  • 27. 19 | P a g e There is consideration for each other, in times of happiness and in times of pressure of work, and each one is looking to complement the other either by working late or by forgoing his/her personal commitments. As well as there are many memorable moments difficult situation I faced working in the EUSL. Whole of the staff are very well disciplined, encouraging and provide total guidance for the completion of the practicum period. As a human being, I noticed many changes in my attitude. I am so confident and more likely to do any work in accounting field now. On the whole it was a pleasurable experience for me as an internee. I Internship is a very good thing for a diplomat as got an opportunity to learn about society. I believe that my internship is effective. But I felt I would be more effective if these things happen,  Internship period should be at least 12 months.
