Aziza is applying to various colleges and is required to write an essay about her ambitions for
each college. After spending weeks on the essay, she has finally completed it. Before submitting
it, she wants to revise it a few times. Which of the following questions will aziza ask herself
when checking the style and tone of her essay? (a) Have I said everything I wanted to say? (b)
Are the transitions between ideas smooth? (c) Have I presented my content so that it can be
easily absorbed? (c) Have I presented my content so that it can be easily absorbed? (d) Have I
used you-attitude in ;my content? (e) Is the document visually inviting?
Solution
All the questions Aziza is thinking about are important from the point of view of the letter being
presented. Each of the question addresses a specific part of communication through writing.
Part A deals with content that the writer wants to put ahead and communicate to the reader.
PArt B deals withthe continuity of the thoughts to keep the reader interested in the content and
engaged so that he/she reads the whole content
Part C deals with the ease of understanding the content brings with it. Sometimes the reader is
not conversant with ideas presented in the writeup. IT is the responsbility of the writer to present
ideas in a manner that the writeup can be understood by anyone as in this case wwe really dont
know who will be reading the letter.
Part D is the way business letters are structured so that the point of view becomes that of a reader
and not the writer. Since people like to see things with their viewpoint this helps in bringing the
content through their stae of mind.
Part E is related to visual presentation as it is important for the document to be neat and tidy with
proper paragraphs and spacings. This helps in keeping the concentration of the reader on the
content.
