Background:
For SAP, a project/programdecisionwas made tocount Site MasterData as the primary source of truth
for addressinformation. Thistool comparesProfitandCostCenteraddressdatato the Site recordsand
preparesa ready-made WinShuttletemplate withcorrections.
Because addressvalidationdrivesthe determinationof the tax jurisdictioncode,validationshouldoccur
regularlytoensure thattransactionsproperlycalculate tax rates.
To simplifythe ongoingprocessof identifyingandcorrectingdiscrepanciesbetweenSite andother
Master Data addressinformation,the MSExcel tool “AddressValidationTool.xlsx”belowhasbeen
developed.
There are five worksheetsin the AddressValidationTool. Here are theirgeneral contentsanduses:
Site Data – T001W
Data only:

Profit CenterData – CEPC

2. Paste the data valuesintothe AddressValidationTool inthe worksheetaccordingtotype (ex:
T001W data extractgoesto the worksheet“Site Data – T001W). The data shouldbe pastedto
override the existingrecords (fewerrecordsthanwere usedinaprior update are unlikely).
On the ProfitCenterand CostCentertabs,discrepanciesare conditionallyformattedtobe filled
witha blue background. If a single datapointinthe Master Data ismismatched,the whole row
will be filled.
To the right of the SE16 table data (columnsJ-O) are cellscontainingformulaswhichcompare
the Profitor CostCenterdata to the equivalentSite.
FormulaResults:
MATCH – When“MATCH” appearsinthe gray-shadedfields,
the PC/CCdata matchesthe Site Master Data and no change is
needed.
NO SITE - When“NO SITE” appearsin the gray-shadedfields,
the PC/CCdata cannot be comparedwithSite MasterData
because a Site hasnot yetbeencreatedinSAP.
OTHER – Whena Value otherthan“MATCH” or “NO SITE”
appears inthe gray-shadedfields,the PC/CCaddressdatafor
that fieldisincorrect,comparedtoSite MasterData. The
returnedvalue isthe correctdata fromthe Site andwhat
3. shouldbe presentinthe PC/CCaddress.
3. As appropriate,correctthe valueswhichare mismatched.
*It is possible forSite datatobe inaccurate (misspellings,special characters,etc.),inwhichcase
adjustingCostCenterorProfitCenterdatato match wouldnotbe appropriate. Before updating
any Master Data, a careful review of the mismatchedrecordsisrecommended.
Recordswithone or more valueswhichdon’tmatchSite data can be filteredquicklybyomitting
the “0” Mismatch recordsinColumnQ (ProfitCenterData – CEPC) and ColumnP(Cost Center
Data – CSKS). Discrepantrecordscan be managedindividuallyusingthe datainthe PC and CC
data worksheets.
They can also be correctedall at once,usingthe correspondingWinShuttle datatabs. The
WinShuttle Dataworksheetscollectdatafromtheirrespective datatabsandreorganize them
intoa ready torun WinShuttle template format. Tocorrectrecords ina mass update using
WinShuttle.

b. Filtertoremove blanksfromthe datausingthe data in the Profitor CostCenternumber
columns
c. Copyall remainingdatabeginninginrow 2
d. Paste valuesintothe correspondingWinShuttle templatefile(WinShuttle templatefile
are located here).
e. Run the WinShuttle script
NextSteps:
The changedECC data can be reviewedimmediately. Itisrecommendedtorerunthe report again
immediately bycompletingsteps1and 2, thenreviewingthe datatoconfirmthat the numberof
mismatchedrecordshasdecreased.
