Job Description:
1. Responsible for the travel and stay arrangements with Visas, forex and travel insurance for
employees / guests with a focus on providing convenient options, enhancing travel and stay
comfort while ensuring best possible efforts on saving cost.
2. Monitoring the bookings of tickets, hotels rates, etc., so as to get the best
price / deals. Comparing the rates from various sources and negotiating for the best price.
3. Establishing tie-ups with leading Hotel chains & travel agencies, Car hire vendor offering
corporate discounts.
4. Tracking and controlling Travel Budgets as per Travel policy.
5. Introducing and controlling new vendors and service providers for admin function.
6. Co-coordinating with Finance dep for Bill payment Cost saving initiatives.
7. Booking Air Tickets through travel agencies & online ( International & Domestic )
8. Visa documentation (Co-ordination with Agent+ Overseas offices +Co-ordination with
embassies+ Consulates), check if transit Visa is required. Follow up with the embassy/consulate
on the visa stamping and ensure that the passport is returned to the employee with correct visa
etc.
9. Travel Insurance (Change or cancel insurance in case employee postpones his travel or cancels
his trip)
10. Hotel Room bookings also Hotel bookings for meetings & conferences and sales promotion
events.
11. Guest House Booking-Co-ordination with Guest House care takers with the Arrival & departure of
employees.
12. Foreigners local domestic air travel, Hotel bookings & Car bookings.
13. Taking care of Company Petty Cash, Forex etc
