- Create the Management file in electronic and paper. To prepare the Management Agreement and Tenancy
Contract. Edit the Agreement where and when necessary for any additional clauses request by the Tenants
and/or Owner.
- Prepares the monthly renewal reports. Contact the Tenants to confirm their intentions and arrange collection
of payments and new tenancy contract. Calculate any rent adjustements.
- Direct contact with the owners regarding amendment in the rent, lease agreement and maintenance.
- To respond to Tenants’ phone calls, emails and enquiries.
- To maintain a complete set of duplicate keys for all Managed properties. Maintain the logging system for “In”
and “Out of keys. Duplicate the keys when necessary with the approval of the Property Manager and
Managing Director.
- Prepares monthly Move Out reports and hand-in to the Property Coordinator. Assist the Property Coordinator
with the “Move In” and “Move Out” procedure.
- Receive maintenance request and arrange contractor for rectification. Inform the owner of the required repairs
and quotation for approval.
- To monitor contractor invoices and subject to Tenant’s confirmation of work completed, present invoices to
Accountant for payment.
- Inform the Leasing Manager and IT Manager of the available property.To add in the availability list for Agent’s
information.
- Monitor and update the clients documents.
- Ensure the DEWA, Empower/Palm Utilities receipts, keys, lease agreement are ready before the “Move In”
date and hand in to the person who will do the Handover to the Tenant.
- Prepare the documents and arrange the driver to connect the DEWA, Empower/Palm Utilities etc.
- Arrange the documents for Ejari registration.
- Received client maintenance request and coordinate work correction
- Liaise between Owners, Tenants and Contractors for quotations.
- Logging of all calls, emails and job request in CRM and follow up with clients to ensure works proceed
- Obtain job service request report and images to monitor quality of works completed.
- Process invoices and keep accurate reports.
- Monitor external contractors to ensure they are competitive and good performance.
- Check the clients maintenance packages have had scheduled works completed.
- Liaise with colleagues on status of maintenance works. Organize cleaning and pest control prior to new
tenant check in.
- Assist in day to day functions of the Property Management Department.
- Represent the company in a professional manner at all times.
