6. Match-Realizations
Some things to prepare for arrival:
Make sure they have submitted their EPPA
Ask your Trainees to land in NAIA1 & NAIA 2
Expect your EP to come roughly an hour after ETA
Memorize airline number
As them to call you upon arrival
Ask for trainees to apply for international roaming
just in case
Give your contact number, what you’re wearing
and a photo if you can. (Same with EP)
7. Realizations
• This is when your EP arrives.
• Make it a point to pick-up that EP especially if
he/she has followed EPPA protocol.
• Attend the welcome dinner, make it a point to
accommodate your EP BUT DO NOT BABY YOUR EP.
• Feel free to check up on him/her during his/her stay
but do not give into their every whim.
• Since they went on exchange, it’s expected that
they’ll be independent.
MATCHING is a three-step process that begins with Raising then goes into Matching and finally into Realizing. Raising is involves securing the company, creating the job questionnaire, creating the job description and uploading the TN form on the AIESEC.net system. Then paying the respective fee in order to be able to change the form from NEW to AVAILABLE so that you could promote and match it.Matching involves literally “matching” what our TN Form needs to an EP we can find on the system based on skills, interests and start & end dates. We get this through emails sent to us, or by looking via search tools. When we do find the “perfect match” we go through the screening process, interviews, expectation setting and then the exchange of Acceptance Notes.Realizing basically this is when the trainee arrives in our country. They’re realized at the first day at work.
MATCHING IS FRUSTRATING but not difficult.EMAIL: This can be from an interested EP to you or from you to an EP/EPM. (Use search tools)PRE-SCREEN QUESTIONS: (Given that the EP you sent an email to became interested OR you got interested in the EP, send the pre-screen questions as a way to do preliminary screening. To “filter” out your possible trainees.ACCEPT/REJECT: Make a decision based on the quality of the answers and the english. If it’s a Yes, proceed to the next step if not, Reject POLITELY. Still wish him/her luck.SKYPE INTERVIEW: Schedule a skype interview. I require my TLs to do this via video call so you can really see what the EP is up to. You have the upper hand in scheduling but be mindful of the time differences as well. Evaluate based on competency, expectation, language. If you’re matching for a project, each PROJ has a questionnaire template to assist you during the interview.ASSESSMENT: On our part, this is the final decision, you have to determine whether or not you’ll get the EP. Again, be polite when you reject.If it’s a YES, send CONGRATULATORY EMAIL and specify that you need his/her EP Acceptance note (which is basically a contract saying that s/he will no longer look for another internship but stay with ours) AND also ask for their Passport number. ASK FOR IT TO COME WITHIN THREE DAYS. (Templates in various countries differ so it’s best to be safe. This will help you when you make the invitation letter.)PREPARE TN AN & Invitation Letter: Fill Out the template based on the EP Acceptance note. Cross check on AIESEC.net and then save as PDF. MAKE SURE YOU PREPARE THIS WITHIN 9 DAYS.SEND THE TN AN, Invitation Letter and EP AN to the VP in Charge, she will finalize the match. (DO NOT SEND THE TN AN, Invitation Letter to the EP until the match on AIESEC.net is finalized.) WAIT FOR FLIGHT DETAILS, UPDATE THE TRACKER and SEND THE EPPA: These are all documents that carry over to realizations.
