22. Event Marketing
Promotion and advertising of the Centennial
ball was handled by the Public Information Office
of Valenzuela City led by Ms. Janice Cruz. Enchante
Events Services. assisted by sharing the posters in
of the event 2 months before the event at the Polo
in establishments of our associates free of charge.
23. 6 MONTHS PRIOR TO THE EVENT:
Coordinate with the client (marketing & HR) regarding;
• Objective and concept of the product launching
• Number of participants
• Accommodation if there's any
• Budget setting
• Ocular inspection of the venue and reservation
5 MONTHS PRIOR TO THE EVENT:
• Formulate theme for the launching
• Draft program flow
• Confirm venue, make the necessary down payment
• Food suggestion
• Contact other suppliers - sounds & light

24. 4 MONTHS PRIOR TO THE EVENT:
• Finalize program concept
• Design floor plan and layout to be approved by the client
• Contact other suppliers/performers
• Make a checklist for all the materials needed in the event
3 MONTHS PRIOR TO THE EVENT:
• Update client with the progress of the planning/launching
- Confirm number of participants
- Final layout, floor plan, program flow
• Finalizing with the supplier's concept and theme for the booths,
tarpaulin etc

25. 2 MONTHS PRIOR TO THE EVENT:

• Secure with the venue personnel all permits needed
• Provide final layout and floor plan to the venue personnel for the placement of

employees who are billeted

28. Event Billing Procedure
Enchantee Events Services requires 50%downpayment upon confirmation. Full
payment shall be made on the day of the event itself.

29. Contract Agreement
This document serves as a binding contract between Enchantee Events Services as event planner and
San Diego de Alcala Parish. The client shall pay Enchantee Events Services for services rendered according
to the payment schedule attached, within calendar days of the date and Enchante Events Services is
responsible for the planning and coordination of the event, it should be accordance from the agreement
of San Diego de Alcala Parish.
Incase that the client fail to pay the total amount of Php 1,590,912 specified in any invoice within
calendar days. A late payment is equal to 10% added to the amount due and interest of percent per
annum shall accrue from the calendar day following the invoices date.
In witness of these agreement to the terms above the parties of their authorized agents hereby affix the
signature.

30. Contract Agreement
DATE CHANGES AND CANCELLATIONS
Incase there is some changes, the Event Planner will make the best effort possible to accommodate
the new date. The Client should understand that the last-minute changes can affect the quality of the final
event and that these changes are not necessarily fault of the Event Planner.
Incase there is cancellation of the event, the Client should notify the event Planner not later than twenty-
five (25) days prior to the planned date. Should the event be cancelled after the deadline. The Event
Planner may collect the full fee owed, including any applicable interest that may arise due to late
payments.
