Secretary II / Surgical Scheduler
Secretary and Surgical Scheduler to 5 Doctors within the Cancer Center performing administrative functions while utilizing discretion,
as well as, surgical scheduling for patients requiring surgery (Outlook, Sharepoint, IDX (Flowcast), and Epic Programs). Duties
include disability paperwork, credentialing paperwork for doctors, dictation mail-outs, screening telephone calls from patients,
preparation and submission of reimbursements/vouchers/expense reports for payment, meeting with and getting patients ready for
surgery, pull/print out from Epic - lab reports, ekgs, chest x-rays, clearances, H/P’s for doctors signatures, (testing and physician order
forms) all paperwork (everything needed for PAT – Pre-Admission Nursing Station), track patients for clearances (medical and
cardiac clearances), fax paperwork over to PAT Office, make phone calls to Quest Diagnostic or Labcorp, or the location or doctors
(PCP) office where the patient went to get labs, ekgs, etc. Authorizations/Pre-certing for surgery – calling insurance companies to get
patient pre-certed or get the process started. Faxes for GynOnc – Retrieve faxes throughout the day for clearances, lab work, x-rays,
ekgs, etc. for patient charts. Daily Mail for doctors (opening/distributing). Concierge front desk coverage, when needed.
Meetings/Minutes – Set up meetings on Outlook, (catering if needed, booking room), take meeting minutes, type up, and send out,
also put minutes on Sharepoint. Lab Coats for Doctors – Making sure Lab Coats are sent downstairs to Concierge front desk for pick-
up (sent out to cleaners through Errand Solutions). Maintaining monthly on-call calendars for GynOnc Department and Patient
Coverage Calendars (done six months at a time). Make sure outlook calendars, flowcast, and my calendar match up. I then distribute
to hospital and everyone at Cancer Center.
