The document outlines contingency plans for a film production. It discusses creating a spreadsheet of actors' schedules to coordinate filming days and having additional filming days scheduled to account for any issues. It also emphasizes booking equipment weeks in advance and communicating equipment needs and availability with owners to ensure all required items are available when needed and prevent problems from ruining the production. A risk assessment is also created to identify potential risks like tree trunks, traffic, and equipment and outline preventative measures to minimize costs and wasted time from any incidents.

CONTINGENCY PLANNING FOR SMOOTH PRODUCTION
1. CONTINGENCY PLAN
The importance of a contingency plan is vital within any
industry. By blueprinting a contingency plan prior to start to
produce the media text ensures if any problems occur they can
easily rectify by creating a backup plan which can be
implemented if any problems occur in the first attempt of
production. These problems include weather, illness or
sometimes a mis communication. In the industry, professionals
must manage a large group of people at the same time and If one person or equipment
doesn’t turn up the whole production will be affected. This will relate to my production as I
will create a spreadsheet for the actors of when and where they should be. Furthermore, I
will have a meeting to sort of travel and accommodation arrangements prior to filming to
eliminate confusion and ultimately increase efficiency. For my production I will aim to have
multiple days of filming throughout the allocated editing procedure. Although professionals
will aim to decrease any expenditure, as I am creating a pro-bono production I can use the
actor’s multiple times without affecting the final profit. Every actor is keen as I have done
extensive research on them prior to filming. Each of the actor has given me their schedule
which allows me to allocate shoots between times. Furthermore, some actors may not be
needed every day, therefore to increase efficiency I have only allocated shoots dependent
on availability of both actors and equipment.
EQUIPMENT BOOKING
Booking the equipment multiple weeks in advance allows me to ensure I will every
piece of desired equipment prior to filming. I don’t want to have great actors
with a poor camera, I must ensure all my equipment reaches industry standards.
Prior to first filming on the first shoot, I will have booked all my equipment at least
4 weeks before. This will enable me to make sure I have all the perfect peripherals
which will aid me to increasing professionality. I will need to book the camera with
the school which I have close links to. Lingfield College have enabled me to use their
equipment free of charge meaning I don’t have to budget for it in the pre- production stage.
However, the school require the cameras and other filming equipment everyday therefore I
will need to give back the camera after each filming shoot and ensure I have it again prior to
filming again. I will have to make sure the camera owner has my plan so
can ensure I will guarantee all requiredequipment when I need it. This
will needto communicate clearlyas withoutone itemcan ruinthe whole
production.
2. RISK ASSESSMENT
The risk assessment procedure is fundamental throughout any industry as it allows any
company to outline and blueprint any possible risks. By doing this process it ultimately saves
the company lots of time and money as if anything was to go wrong, the company will be
liable resulting in thousands of pounds being lost in compensation and legal fees. Not only
will this cost a shear amount of money but will waste lots of valuable time especially if you
are working to a strict deadline. As part of my production I will have an extremely strict and
competitive deadline with multiple of targets in quick succession. Therefore prior to the
production stage I must carry out an extensive risk assessment with any possible risks. These
risks include any tree trunks, low branches or even the weather. When filming everyone must
keep hydrated, therefore I will implement enough breaks to increase the performance of my
actors.
I have designed a Risk Assessment for my production:
RISK LOCATION HOW TO PREVENT
RISK
Tree Trunks Park When walking around- look
where you are going
Cars on road Crossing roads Look left and right whilst
crossing the road and
beware of cyclists
Swallowing tablets (fake
drugs)
Bedroom The tablets must be very
small, and the actor must
drink lots of water after
Other people Public Place Beware of others – need to
make sure no one is in
background disturbing the
scene
Bed Bedroom When sitting on bed –
beware of broken part to
headrest
Swinging Doors House Close doors carefully and
look around to see other
people
Swings / playground
equipment
Park Make sure other people are
not using equipment. If they
are beware of flying swings
and other equipment.
