1. SRC Employee: Bianca Stewart
Project: SRC Employee records in Workforce Development and Practices were: not all located
in the same place, outdated, and stored inconsistently.
The goals of this project were to:
• Access the paper records located in multiple locations
• Work with Records Management to determine standards for keeping those records
• Safely/Securely dispose of outdated records
• Design a logical filing system for those records making best use of Workforce Practices
space available
Timeline: August 31 through September 11, 2015
Overview/Results:
Specifically, in the scope of this project, Ms. Stewart was given initial instructions from me and
took the initiative to contact our records manager to get a baseline for retention of the
documents in employees’ files. Once she obtained the retention range, she sorted the files
accordingly, filed all current employees appropriately, and double-verified retention guidelines
of prior employees whose files needed to be purged.
Ms. Stewart did an exceptional job with this project. I was extremely pleased that she was able
to visualize and follow through on a job that seemed difficult for Practices to carryout in such a
quick timeframe. I can verify that Ms. Stewart touched and reviewed every record in the
Workforce and Compliance Analyst’s area and old archives stored in a file cabinet located in a
Workforce Development employee’s workstation.
In terms of timeliness, Ms. Stewart worked the project so efficiently that she had all task
completed prior to the new Workforce and Compliance Analyst starting her new job on
September 14th
. There is no way we would have been able to accomplish this without Ms.
Stewart. The deadline was for her to complete the bulk of the project before September 14th
.
She was able to complete all aspects of the project by 5:00pm on September 11th
—well ahead
of what I expected.
Ms. Stewart’s follow-up was perfect for my communication style. She was able to work
independently and make great decisions only needing to ask minimal questions. However the
questions she did ask were extremely important, well thought out and complete with proposed
solutions (I refer to this as “completed staff work” for a manager). To me, this demonstrates
her understanding of the Human Resource records, Supervision, Regulation and Credit
department and the Federal Reserve Bank of Richmond.
2. Ms. Stewart redesigned the files in the work area of our new Workforce and Compliance
Analyst in a logical manner. I feel that multiple benefits were realized from her work: An
organized work area was created for our new employee; our records liability was greatly
reduced; and she demonstrated a talent to me that I had not personally had the opportunity to
experience. If ever given the opportunity, I would always include her on a project/team that I
was responsible for managing because she fills in skills gaps where I fall short in terms of
organization. I can recommend her without reservation.
