5. Job Profile & Responsibility:
Overall co ordination in :
Þ Maintaining and updating of all employees Personal file.
Þ Co-ordination with recruiting agents for over-seas manpower requirement.
Þ Co-ordinate with PRO’s for arranging visa / labor card / Local Medical formalities etc.
Þ Applying of Visas, for mobilization of manpower, International Air bookings, Sending PTA’s, keeping
Passports of all employees in safe custody, and updating the record of passport, i.e. renewing the
passports as and when required.
Þ Co-ordinate with Planning Department for manpower mobilization and advise manpower requirement in
line with the personnel policy of the company from time to time.
Þ Arrival of manpower as per loading charts to deployment them in their job as per the advice by
PCM/CM.
Þ Yearly / monthly consolidation of manpower position and advice mobilization / demobilization.
Þ Fixing the employees in proper nomenclature on suitable grades in line with the wages structure.
Þ Wages and Salary Administration
Þ Preparing the data sheet for employees’ increment & promotion, which is, sent to HO by proper
approval from Project Director.
Þ Maintaining computerized attendance system and daily Man Power Report.
Þ Maintaining of Operator License details & their renewal consulting with PRO.
Þ Maintaining leave & compensation-off details of employees and present to PD.
Þ Preparation of Management Information System (MIS) for P & A Dept. & the same will be sent to Head
Office on monthly basis.
Þ Preparation of demobilization / release report as required by Head Office on monthly basis. Assistance
in payroll processing with Finance Department.
Þ In all activities, reporting is being done to top management official’s viz. Sr. Personnel Manager, Project
Manager / Project Director.
Þ Prepare the demobilizing plan with consult with planning, Sr. Personnel Manager, Project Director &
other departmental heads and inform to HO.
Þ Prepare the final settlement of demobilizing personnel and booking their air ticket to their destination.
Þ Prepare the service certificate, personnel data sheet for site transfer personnel
Þ Arranging necessary gate passes to enter in to Project Site as per client requirement.
Þ Handling the vehicle / equipment registration & insurance in coordination with PRO and maintenance
department.
Þ Staff Welfare and Administration.
Þ Co Ordinate various staff welfare functions associated with the company.
Þ Dealing with various categories of employee to settle their outstanding issues.
Þ Opening of Bank Account for the employees to transaction their salary & other money matters.

Þ Monitoring the vehicle Light & Heavy.
Þ Allocation of drivers (light & heavy duty) to different vehicle.
Þ Issue of Journey Plan to all drivers and check their driving license & they are authorized to drive or not.
Þ Before start the journeys check the vehicle properly & explain to the driver and also passenger about
their journey.
Þ Check they have carried sufficient food, water, cash & other safety assets or not.
Þ Explain drivers what to do in emergency case, & also follow up.
Þ Check the vehicle, driver & passenger whether reach safely or not after completion journey.
Þ If something is happened like mechanical problem, accident or hijacking, inform to the safety
department and also senior authorities for further action.
Þ Take care of communication system like radio, mobile phones, land phones & fax to contact drivers &
inform to other destination Journey Manger.
Þ Auditing of Journey Management System with HSE department monthly, quarterly, half yearly & yearly.
