when to use extra documented procedure rather than required by the standard
1. Q. when to use any extra documented procedures rather than the ones mentioned “ required by the
standard?
Ans. In qualifying any organization for any of the quality management systems, even environmental ,
health and safety, laboratory or food safety ,,,,etc. the organization consultant, “ system expert” tends
to create the least number of procedures to be documented and reflecting the system operations,
usually one or two of the procedures are created for the system , based on the myth that the large the
number of the procedures documented in the system applied, the more complicated the system
implementation and application, however, it has another point of view to understand the exact needed
procedures to reflect the implemented system applied in the organization,,,
Yes it became subjected to audit plans by mandates , even if it was an extra procedure, and not
mandatory needed by the standard , but, in certain cases, it became as well an urgent to add an extra
procedure plus to the ones needed by the standard, these cases may be summarized as “
-
The need to demonstrate compliance with legal and any other regulatory requirement
When it became impossible to have work instruction reflecting exactly what is needed to be
done.
When there is a need to ensure that the activity is undertaken consistently
There is an advantage of doing so.
In any of the above mentioned situation, it is recommended to put in working procedure to cover its
need, knowing that, just adding these created procedure to the system, means that it will be subjected
to audit, either internal or external, which means for sure more commitment to its implementation and
resulting records..
