If you estimate too low, you'll pay for part of the job out of your own pocket. That hurts your cash flow. Estimating is a skill, and skills can't be acquired in a day. They take practice. But you certainly can improve your estimating ability and knowledge by establishing a procedure, following it, and reviewing actual costs after the job to see what you're doing right and what you're doing wrong. Good estimating is a system, a particular method that if employed the same way every time, will provide estimated amounts that are equal to actual costs. The problem is that most estimators are in a big hurry to get some numbers together and throw them at the customer. "How cheap can I do this job", "how low can I get my numbers so the customer will buy me" is not the right attitude.

If you’re new to QuickBooks we recommend starting with Mastering QuickBooks Level  The Chart of Accounts The cornerstone of any construction company's communication system is the Chart of Accounts, no matter if they are building castles for kings or pens for pigs. It serves as an information catch-all that should be designed for easy understanding and implementation by the company's accountants, estimators, project managers, foremen and field personnel. By segregating operating, marketing, general and administrative expenses, various performance criteria can be effectively analyzed, resulting in better and more confident decision making. Without a properly structured Chart of Accounts, it is impossible to provide meaningful information to the decision makers. Contractors with a poorly designed Chart of Accounts-and thus a poorly designed communication and decision making system-generally fail. Successful contractors, not so coincidentally, also have a successful Chart of Accounts. An inadequate Chart of Accounts simply cannot give decision makers the information necessary for running their company. The Chart of Accounts is unique to each company and should be designed accordingly. Consideration should be given to the size and complexity (i.e. multi locations, divisions, etc.) of the company, as well as the experience of company personnel. Avoid using sample Charts of Accounts that accompany software packages, such as QuickBooks.
  32. PAYMENT SCHEDULE: USE THE RIGHT PAYMENT SCHEDULE - If you want positive cash flow in your construction business, make sure you're using the right payment schedule on your contracts. Your contracts should have a clearly outlined payment schedule, listing the down payment, all progress payments and a final payment, due on day of substantial completion of the job. Progress payments should be clearly scheduled at the start of a work phase, not at the completion of that work. You are not a bank: or lender and are under no obligation to finance your customers projects. Set a payment schedule that allows for positive cash flow, and enforce it. Handling Change Orders: If you are a contractor who wants to maintain a positive cash flow in your construction business, you need to have a clear process for handling Change Orders. When a client requests a CWO, you need to make sure the paperwork includes a payment schedule that keeps your cash flow positive. Never make changes to any job without having a signed Change Work Order first.
