Day Before Meeting – LVH need to take list of visitors from
VP – assign VH team members for calling to visitors and
share the information about meeting and meeting etiquettes.
Add visitor to the chapter visitor group.
Share – Meeting flyer, roster and invitation in the visitor
group.
Meeting Day – Sit with attendance coordinator on
registration desk for visitor registration.
LVH and VH team need to keep in touch with visitors before
the meeting.
After meeting take visitor orientation and ask visitor to fill
visitor feedback form.
Member Growth
Coordinator
3 Days Before Meeting – Check whether any DD is pending.
If any quickly work on that and complete at least before 1
day of meeting and keep in touch with VP for any induction
in the meeting.
Meeting Day – Join VH team for visitor orientation and
collect feedback forms from the VH team. Take follow up of
visitors on a same day and update the Google sheet and
share it with VP and VP team.
After Meeting Days - If Visitor is ready to join then arrange
Due Diligence (MGC + Any coordinator from VP team)
Share DD Report in the Vice President's group and get the
approval of the member to induct in VP group and update
the google sheet accordingly.
Attendance Coordinator
1 Day Before Meeting – Promote the meeting in groups &
broadcast attendance messages – try some new way to
have 100% attendance.
Meeting Day – Sit on registration desk for attendance of
the members.
Provide attendance report and call & msg members who
are absent. Approve Medical Absent with the consent of VP
& SD.
If the coordinator is going to be absent in the meeting, he /
she has to inform the vice president so that the vice
president can assign another coordinator well in advance
to mark absences and substitutes. so that the regular
attendance coordinator can have the data after the meeting
Activity Coordinator
4-5 Days Before Meeting – Contact all the members who
have committed to do activities in last meeting by sharing
the report.
1- 2 Days Before Meeting – Calls / Msg to the members
who are in zero activity list. – Take the list from VP.
Meeting Day– Check randomly - activities of members and
confirm with the report provided by VP.
KYM Coordinator
Promote & book next KYMs using groups & broadcast. Try
to arrange at least 1 KYM in a month.
2 Days Before KYM – Start trail in the group and ask
member to register on portal.
VBN Application
Coordinator
4-5 Days Before Meeting – Keep in touch with mentor
coordinator and give personal training to the new member
about VBN connect after mentoring is done.
Also keep in touch with those old members who still find
some difficulties in entering the data and guide them.
Member Retention
Coordinator
7 Days Before the month– check whether any renewal
pending for next month. If yes – call the member and help
him/her for renewal.
If the member is asking to leave the network, find out why
he / she is not willing to continue. Try to solve his / her
issues by your self or take help of the management team.
Keep in touch with attendance coordinator and visit those
members who are absent for more than 2-3 times or
sending substitute continuously.
Policy & Procedure
Coordinator
2 Days Before Meeting – Discuss with VP and decide
policy and procedure for the next meeting. (Keep in mind
which is more needed to the chapter at that moment)
Announce the policy during the meeting with proper
explanation (Keep the same in 30 sec).
VBN Club Coordinator
Help members to level up in their Club points, Guide them
how they can upgrade themselves by doing some
activates.
Analyst previous quarter data of the members.
Keep the chapter Bronze less and having maximum
members in Platinum and Gold.

Visitor Host Team Day Before Meeting – LVH need to take list of visitors from VP – assign VH team members for calling to visitors and share the information about meeting and meeting etiquettes. Add visitor to the chapter visitor group. Share – Meeting flyer, roster and invitation in the visitor group. Meeting Day – Sit with attendance coordinator on registration desk for visitor registration. LVH and VH team need to keep in touch with visitors before the meeting. After meeting take visitor orientation and ask visitor to fill visitor feedback form.
  • 5. Member Growth Coordinator 3 Days Before Meeting – Check whether any DD is pending. If any quickly work on that and complete at least before 1 day of meeting and keep in touch with VP for any induction in the meeting. Meeting Day – Join VH team for visitor orientation and collect feedback forms from the VH team. Take follow up of visitors on a same day and update the Google sheet and share it with VP and VP team. After Meeting Days - If Visitor is ready to join then arrange Due Diligence (MGC + Any coordinator from VP team) Share DD Report in the Vice President's group and get the approval of the member to induct in VP group and update the google sheet accordingly.
  • 6. Attendance Coordinator 1 Day Before Meeting – Promote the meeting in groups & broadcast attendance messages – try some new way to have 100% attendance. Meeting Day – Sit on registration desk for attendance of the members. Provide attendance report and call & msg members who are absent. Approve Medical Absent with the consent of VP & SD. If the coordinator is going to be absent in the meeting, he / she has to inform the vice president so that the vice president can assign another coordinator well in advance to mark absences and substitutes. so that the regular attendance coordinator can have the data after the meeting

Activity Coordinator 4-5 Days Before Meeting – Contact all the members who have committed to do activities in last meeting by sharing the report. 1- 2 Days Before Meeting – Calls / Msg to the members who are in zero activity list. – Take the list from VP. Meeting Day– Check randomly - activities of members and confirm with the report provided by VP.
  • 8. KYM Coordinator Promote & book next KYMs using groups & broadcast. Try to arrange at least 1 KYM in a month. 2 Days Before KYM – Start trail in the group and ask member to register on portal.
  • 9. VBN Application Coordinator 4-5 Days Before Meeting – Keep in touch with mentor coordinator and give personal training to the new member about VBN connect after mentoring is done. Also keep in touch with those old members who still find some difficulties in entering the data and guide them.
  • 10. Member Retention Coordinator 7 Days Before the month– check whether any renewal pending for next month. If yes – call the member and help him/her for renewal. If the member is asking to leave the network, find out why he / she is not willing to continue. Try to solve his / her issues by your self or take help of the management team. Keep in touch with attendance coordinator and visit those members who are absent for more than 2-3 times or sending substitute continuously.
  • 11. Policy & Procedure Coordinator 2 Days Before Meeting – Discuss with VP and decide policy and procedure for the next meeting. (Keep in mind which is more needed to the chapter at that moment) Announce the policy during the meeting with proper explanation (Keep the same in 30 sec).
  • 12. VBN Club Coordinator Help members to level up in their Club points, Guide them how they can upgrade themselves by doing some activates. Analyst previous quarter data of the members. Keep the chapter Bronze less and having maximum members in Platinum and Gold.
