- PSA Suite was built upon Dynamics 365 and was launched in 2011, it is the most use Professional Services tool with Microsoft Dynamics 365. As you can see Dynamics also leverages Azure, Cortana and Office 365.
- Project templates are key in the PSA Suite. They represent your project’s structure and, as such, they are used to budget, forecast, track and invoice the time and expenses of your projects. This is why a project template must always be assigned to each project upon its creation. A template will consist of project item groups and, at the sub-level, of project items to which you can also attach project item activities. The project item level is where you will define the different financial contract types of your project. The PSA Suite will let you manage all 7 contract types. Because the project item is where the financial contract type is defined, it is also where your entries will primarily be booked (budget, forecast & actuals). It is also possible, however, to create project item activities under your project items; they will provide you with a Gantt chart which, in turn, will give you the capability to generate a budget and a forecast in addition to a project plan. Project item activities are also used to perform Resource Management in the PSA Suite. Finally, you can book time towards a project item activity but only once you have selected a project item.
- The PSA Suite will also provide you with the alternate option of creating a Gantt chart at the project template level. When creating a project, the project plan (Gantt chart) will be automatically generated based on the Gantt chart of the project template you will have selected. From here you will be able to modify it according to the project and generate a budget* and a sales forecast in addition to your project plan. Resource Management will also be possible via your project item activities.
- Best practice is to define a budget template at the project template level (note that you can only have one budget template per project template). A budget template will consists of budget lines with start/end dates, quantities, hour types, resources, etc for hours, expenses, products and equipment. When creating your project, the budget will be automatically generated based on the budget template of the project template you will have selected. From here you will be able to modify it according to the project and, if wanted, generate a project plan (Gantt Chart) and forecast as well as perform resource management (request resources function). Leveraging the budget template will provide you with a baseline which you will be able to compare with your plan, forecast and actuals.
