Effective meeting design is the artful expression of today’s creative leader. Thoughtful preparation is key to generating the results you want to create within your team, project, department, and organization.
Reports show that the average worker loses at much as 31 hours a month to unproductive meetings. That's four work days each month and that 1/2 of all meetings are unnecessary.
The multitasking environment of today often leaves little room for focusing on what’s important in organizing, designing, and leading effective meetings. Meeting leaders are often stymied in the land of overwhelm spinning on the hamster wheel of too many meetings, too little time, too little attention, and too few meaningful results. Futility and frustration permeate the collective response to meetings.

Individual commitment to team success is important for effective teamwork. Successful teams have clear expectations and roles, develop trust and commitment among members, and focus on collaborative problem solving. Building an effective team is a process that involves forming the group, addressing conflicts that arise, agreeing on team norms, and ultimately performing well together through open communication and understanding individual strengths.
Speak Using Both Sides of Your Brain Like a Collaborative LeaderSusan Antoft
The document provides information on collaborative leadership and team dynamics. It discusses how collaborative leaders focus on both managing tasks and sustaining relationships. They use questioning rather than telling to build trust and foster collaboration. Leaders must adapt their approach across the different stages of team development (forming, storming, norming, performing), focusing more on tasks early on and relationships later. Signs of successful collaboration include teams being self-organizing, empowered, and consensus-driven rather than leader-driven.
Sample slides from workshops (slideshare)Michael Short
The document contains slides from a presentation on organizational culture and team dynamics. It discusses topics like psychological safety, defining culture and values, leadership challenges, and building effective teams. The slides use exercises and metaphors to explore how a team views its past, present and future, and to develop a shared understanding of its culture and ways of working.
Maximising teamwork in delivering software products Ryan Dawson
Maximising teamwork has a big impact on effectiveness but it isn’t easy. It requires everyone to challenge themselves, come out of their silos, build trust and be disciplined about improvement. Some challenges are different for different roles. We’ll see routes to improvement for the team by looking at each role through the lens of its main biases and how to correct for them.
This document discusses team building and leadership strategies. It provides 12 tips for successful team building, including having clear expectations, commitment from team members, competence, and effective communication. It outlines the characteristics of effective team leaders, team members, and teams. Some key aspects of effective teams are that members care for and support one another, communicate well, and work toward a common goal. The document also examines the stages of team building: forming, storming, norming, and performing.
Team building is a leadership strategy that can improve productivity, profitability, and other organizational outcomes. Effective teams have clear expectations and roles, competent members committed to shared goals, and processes for collaboration, communication, decision-making, and handling conflicts. While teamwork does not come naturally, leaders can promote it by clarifying goals, defining roles, and providing coaching to help members and the team develop skills over various stages from forming to storming, norming, and high performing. Both leaders and members have important roles to play in nurturing team ability through open communication, belief in the team, and inspiring individual and collective effort toward common objectives.
Leveraging Core Values for Healthier, More Productive TeamsTechWell
Although all teams require a healthy level of interaction, high-performing teams' interactions are all based on trust, respect, and shared goals. Such teams find ways to overcome the fear of conflict, and quickly identify and resolve issues that are getting in the way. Scott Ross shares how, when the Omnyx software R&D department determined their culture was hindering performance, they crafted a core values statement that has served them well for the past three years. Scott describes the ways they proactively and intentionally use their value statement to drive the culture they seek and discusses the results they have achieved. Take back the list of resources that Scott uses daily to help himself and others see how their actions add to and take away from their core values. Return to the office prepared to use this same process with your team and start on the road to a high-performing team whose members love to come to work every day.
1. Effective communication is a core skill for designers as they need to justify their design decisions to stakeholders.
2. The document outlines seven things to focus on when communicating design: understand the business goals; set the stage properly for meetings; be confident as the expert; be engaging with stakeholders; don't take questions as change requests but as understanding; guide the feedback loop to get useful input; and don't get defensive when receiving feedback.
3. By focusing on business goals, preparing thoroughly for meetings, and handling feedback professionally, designers can communicate their work successfully to gain approval.
This document discusses the importance of having a strategic vision and outlines key elements of developing a meaningful life and vision. It notes that without a clear vision, one risks being directionless and at risk of undesirable outcomes. An effective vision should be timeless, correct, and noble. It provides examples of visions from companies like Volkswagen and 3M. Developing a vision requires objective setting using SMART goals, prioritizing top priorities, planning activities, and controlling time to achieve goals and visions.
Group Partners was created to fill a gap in the consulting industry by providing clear briefs and avoiding solving the wrong problems. They have developed an approach called Structured Visual Thinking (SVT) that brings visualization to complex issues in a way that enables everyone to understand. SVT involves three dimensions - Structure, Visual, and Thinking. Group Partners applies SVT throughout their engagements, particularly through interactive workshops. They have developed frameworks like 4D that provide structure to challenges and help organizations shape their future.
The document discusses the importance of personal and team skills development. It states that companies are becoming more competitive, so technical training and skills like communication are essential for staff to develop competition abilities and get promotions. It emphasizes that individualism is less important today and team skills that work effectively and efficiently are demanded. It outlines characteristics of high performance like clear purpose, empowerment, relationships, flexibility and optimal performance. It then discusses various personal and team skills in more detail like setting aims, active listening, reviewing and feedback, and working systematically. The conclusion is that every field now requires both individual and team skills as competition has increased, and those who compete and improve skills will survive.
This document provides an overview and agenda for a two-day training on project management. Day one will cover getting started with a project, including defining goals and success criteria, mobilizing the team and organization, and planning the work. Day two will focus on managing the project, including managing deadlines, resources, and change, as well as how to properly hand over and close down a project. The learning points emphasize how to establish relationships with sponsors, deliver projects on time and budget, support teams, and ensure sustainable change.
This document provides advice from Steve Van Ingen on effectively leading project teams. It discusses the importance of:
- Keeping your eye on the critical success factors and project drivers
- Eliminating communication failures through clear, appropriate communication
- Actively listening to leverage the expertise of team members
- Setting and monitoring goals for the team and individuals
- Taking responsibility for failures while attributing successes to the team
- Developing a comprehensive execution plan and taking ownership of it
- Choosing a positive attitude and pumping up the team
The document emphasizes clear focus, effective communication, respecting team members, accountability, planning, and maintaining a positive outlook.
As designers, we use empathy to solve critical leadership problems in our teams, and as servant leaders, our purpose is to serve others in a meaningful and productive manner.
The document discusses key aspects of effective teamwork and leadership. It emphasizes that a team requires (1) a common goal and vision, (2) clear roles and responsibilities for members, and (3) open communication. As a leader, it is important to plan the team structure based on goals, identify each member's strengths, set expectations, and foster trust and respect among members. Regular meetings and feedback are also vital for team success. The leader must motivate members by appealing to their needs and goals and delivering on the team's shared purpose.
TMA World Viewpoint 14 Leading Virtual TeamsTMA World
The document provides 10 principles for leading virtual teams:
1) Be proactive by understanding challenges and increasing team confidence.
2) Focus on relationships before tasks by building trust through early personal connections.
3) Seek clarity and focus early on by clarifying purpose, roles, and objectives to prevent ambiguity.
4) Create a sense of order and predictability through shared processes, communication norms, and accessibility to reduce uncertainty.
An effective team has shared leadership, develops their own scope of work and commits time to complete tasks. Team members are mutually accountable for work products and individual performance is based on team achievements. The document discusses how to create effective teams by sharing leadership roles, developing accountability, scheduling work, and creating work products together. It also outlines the stages teams typically go through, from initially forming to storming, norming, and high performing. Qualities of a good leader are described as supporting the team and prioritizing both people and production.
