- The common areas quality departments can improve may include log files. Because most companies manually track documentation, dozens of log files are created to manage this documentation such as a non-conformances log book, corrective action log book, preventative action log book, document control log book, maintenance scheduling log book, calibration log book and the list goes on and on… Many quality professionals we speak with are typically managing their daily activities utilizing multiple islands of data, such as NC ’’s on hand written paper and then re-entered into an access database or excel; maintenance can have a separate system, calibrations are tracked in excel or another custom database. Inspection Measurements are often collected on a paper control chart and are seldom reviewed and, as a result, it becomes a daunting task to collect all this information to initiate a corrective action. Because of the disconnects, quarantine areas often become overloaded and paperwork does not get completed; or more often lost in the system creating additional time and resources to research data just to get back to a point where forward actions can take place. And, falling behind could put your compliancy at risk. For example if non conformances are hand-written on a form that slowly works up the chain and additional information is often needed to act upon this NC, so much time has passed the valuable data needed is forgotten or no longer exists. In some companies the situation is so bad they need to hire additional staff to police and document quality incidents in an effort to improve quality. This obviously adds overhead costs to the company and is usually overlooked because it is not part of the value stream. We ’ve found that with many companies, quality metrics are fabricated or impossible to compile because it is so difficult and time consuming to compile the information in a disconnected quality system. Therefore the bigger picture is missing for sound decision making.
