Best practices and recommendations for SharePoint Site Collections. Impacts of Site Collection boundaries on taxonomy, usability, security, and features.
Almost every client we meet in our SharePoint world requests implementations of "taxonomy" and "metadata" - often times, they are asking because they've been told they should - but aren't even clear what the request means or what it is they are asking for. This presentation will attempt to clarify what Taxonomy/Metadata is and outline the different ways it is employed both within the site and across sites.
This presentation was given by Marianne van Wanrooij of Connected Solutions as part of the Sparked Toolkit Session: SharePoint Nightmares.
It discusses her SharePoint Nightmare and her solution.
Managed metadata is a hierarchical collection of centrally managed terms that you can define, and then use as attributes for items in SharePoint Server 2013.

Building an online catalogue with SharePoint 2013James Milne
SharePoint 2013 provides a number of enhancements in the areas of content management, keywords and taxonomies. In this session, we will explore how we can create an online catalogue and use term sets to guide your navigation through your content. This technique will allow you to create catalogues or knowledge base within a single site that aggregate content from across your farm.
One of the most important additions to WCM features in SharePoint 2013, that of 'Cross-Site Publishing' combines multiple powerful features in SharePoint 2013 promoting separation of content authoring from branding and design, while sharing that content across site collections with great ease.
Join us in this session while we explain all these new concepts and see the technology in action. Essential concepts such as managed navigation, tagging term sets, friendly URLs, content search web parts, category and item detail pages, result sources, and query rules will be covered.
Introduction To Microsoft SharePoint 2013Vishal Pawar
Microsoft SharePoint is a Web application platform developed by Microsoft. First launched in 2001, SharePoint has historically been associated with intranet content management and document management, but recent versions have significantly broader capabilities
SharePoint is a powerful product and can be many things to its many customers allowing each to customize it for their own unique business needs. Over the past 9 years I've worked with SharePoint, I've learned some valuable lessons and insights into key areas of the product that should come with warning labels to handle with care.
Some choices made in SharePoint can have detrimental side effects and end up to costing organizations time, rework and money to resolve. In this talk I'll share a few common ones I've learned and you will benefit by being able to recognize some of these before they become a problem in your own environment.

Take this opportunity to learn more about SP 2013 and find out about the plans other organizations have for SP 2013. Some of the common concerns now include:
Should I wait for SP 2013 or move on with SP 2010?
How do I justify for SP 2013's investment?
With great improvements in features and usability, the SP product team now says that the web/intranet team can focus more on engaging with users needs rather than vendors' implementation. So what role do we play in SP 2013, and what role do vendors play?
What does it mean for migration from earlier versions of SharePoint?

SharePoint Site Architecture: Flat, Deep or somewhere in the middle?Joanne Klein
Should you go deep with your SharePoint site architecture using only a few site collections, or should you stay flat by having a lot of site collections and very few/no sub sites within? In this "he says, she says" session, Dave and Joanne will share pros and cons of different Site Architecture options in SharePoint. Whether you've been in SharePoint for awhile or in the throes of a migration project, it's never too late to re-evaluate the way you've planned out your sites. Like most things in technology, decisions you make today may cause re-work down the road. This session isn't about what is right in ALL cases, but it will arm you with the knowledge you need to make an informed decision on the site architecture that will work best for your environment.
Back to the Basics: SharePoint Fundamentals by Joel OlesonJoel Oleson
SharePoint Fundamentals is a look back at the core information architecture and core physical infrastructure. It focuses on the core fundamentals to deployment and operations.
SharePoint developers regularly face the decision, where do I put my application’s data? Sometimes this is an easy choice, using SharePoint Lists, or a SQL Server Database, but often a better solution exists. Or at least knowing that alternatives exist is beneficial, and further knowing when to use them. There are actually many storage options that both ASP.NET and SharePoint (along with modern browsers, HTML5, JavaScript) offer. This session will discuss many of these choices with best practices in mind along with live demonstrations. Examples include SharePoint Lists, Secure Store, property bags, persisted objects, Linq (to SQL, Entity, and SharePoint), web part properties, serialization options (to/from JSON and XML), session state, viewstate, httpruntime, application state, and thread bag. Also, client side storage examples will be introduced using modern HTML5 and JavaScript techniques. Further, free 3rd party products will be introduced that can be employed. Applies to all modern versions of SharePoint including 2013.
This session will consider: - what data is available from index blocks - Cascade's object and data types and their implications on indexes - organizing transformation 'formats' for multi-/re-use Example widgets include: - Handy reports for project managers and site administrators - News aggregation and syndication blocks - Dynamic decision tree web widgets - XPath-based search and browse web widgets Bring your inspired indexing ideas and innovations for sharing.

"Impact of front-end architecture on development cost", Viktor TurskyiFwdays
I have heard many times that architecture is not important for the front-end. Also, many times I have seen how developers implement features on the front-end just following the standard rules for a framework and think that this is enough to successfully launch the project, and then the project fails. How to prevent this and what approach to choose? I have launched dozens of complex projects and during the talk we will analyze which approaches have worked for me and which have not.

Neuro-symbolic is not enough, we need neuro-*semantic*Frank van Harmelen
Neuro-symbolic (NeSy) AI is on the rise. However, simply machine learning on just any symbolic structure is not sufficient to really harvest the gains of NeSy. These will only be gained when the symbolic structures have an actual semantics. I give an operational definition of semantics as “predictable inference”.
All of this illustrated with link prediction over knowledge graphs, but the argument is general.

All these questions and more will be explored as we talk about matching clients’ needs with what your agency offers without pulling teeth or pulling your hair out. Practical tips, and strategies for successful relationship building that leads to closing the deal.
2. Our Clients Have Challenges with Site Collections!
Client 1 has 4 site collections in their SharePoint 2007 farm, each with more than 500
GB of documents. Each site collection was stored in its own content database.
Client 2 has created site collections for every small team, department, etc. Anyone
who wanted a site essentially got their own site collection. They have ~400 site
collections for ~600 GB of content and about ~2500 sites.
Both clients are experiencing management and usability challenges!
Many of our clients have challenges with understanding how
and when to deploy site collections in SharePoint….
3. What is a SharePoint Site Collection?
A LOGICAL hierarchical collection of sites.
A Site Collection is also PHYSICAL – all
content is stored within a single content
database (although a content DB can host
multiple site collections).
Key administration and governance
boundary for management of sites – many
key settings are found with the Site
Collection settings,
URL path root starts at the Site Collection.
A Site Collection has one “root” site which
is the top level site and many sub-sites.
Each Personal Site (e.g. my site) is its own
Site Collection.
4. Site Collection Settings Govern Many
Important Aspects of Sites
Site Collection
Administrators
Search Settings (sources,
types, scopes, etc.)
Site Collection Features
Recycle Bin
Audit Settings and Reports
Content Type Retention
Policies

Web Parts
Master Pages and Page
Layouts
Solutions
These features apply to all sites in the Site Collection
The Site Collection Administrator(s) have access to all of these settings!
5. Site Collection Boundaries Impact Security
Site Collections can define custom roles that are available to all sites within the Site
Collection
The Site Collection Administrator has full control over EVERYTHING within the Site
Collection
Site Collection Administrators have access to the Site Collection settings (see previous
slide)
Site Collections can align to physical security provided by their content database (e.g.
database encryption, different storage locations, etc.)
6. Site Collection Boundaries Impact Usability
Site Collection Boundary Controls:
• Navigation
• Top Link Bar
• Quick Launch Bar
• Breadcrumb trail
• Look and Feel Gallery
• Theme Gallery
• Publishing Features (master pages, inheritance
of look and feel, content publishing workflow)
7. Site Collection Boundaries Impacts Taxonomy
Site Collection is where Content Types are defined (although these can be syndicated
across Site Collections through the Content Type Hub)
Workflows are deployed to each Site Collection
Site Columns are defined in each Site Collection
Lookup Columns are scoped to each Site Collection with no ability to replicate across
Site Collections
Retention policy definitions are defined within a Site Collection
8. In Most Cases, Provisioning a Site is Better
than Provisioning a new Site Collection
Sites are template based and can be customized heavily – they act as re-usable
provisioning templates. There is no concept in SharePoint of a Site Collection
Template.
Security zoning and inheritance of security permissions can happen anywhere within
the site structure – no need to create a new site collection just for a new set of
permissions.
Site Collection settings are very broad and can be confusing to business users without
significant training.
Site Collection settings expose very secured sites within to security risks through
misconfiguration of site collection settings – having these configured properly is
especially important for high sensitivity sites.
9. SharePoint Site Collection Limits and
Boundaries
On Premise
Site Collections per Farm 750,000 (500,000 for Personal Sites, 250,000 other site collections)
Web Sites per Site Collection 250,000 per site collection
Site Collection Size 200 GB for general usage scenarios, recommendation is 100 GB or less for each site collection
Number of Device Channels per Site Collection 10
Office 365 Small Business
Maximum Size per Site Collection Up to 1 TB
Site Collections Per Tenant 1
Subsites per Site Collection 2000
Office 365 Midsize Business
Maximum Size per Site Collection Up to 1 TB
Site Collections Per Tenant 20
Subsites per Site Collection 2000
Office 365 Enterprise
Maximum Size per Site Collection Up to 1 TB
Subsites per Site Collection 10,000
Subsites per Site Collection 2000
10. Reasons to Create Additional Site Collections
Good
Different features deployed (e.g. publishing vs.
collaboration)
Different taxonomy features deployed (e.g. site
collection specifically for document management
or records management)
To isolate custom applications or deployed
features (will help with future migrations)
Different security roles and isolation levels
Size is expected to be greater than 100 GB
Site Collection settings are of value to vary per site
collection (e.g. one site collection with auditing
turned on, another with it turned off)
Aligned to logical information management zones
Bad
No strategy at all defined
Upon request by the user
Need to isolate security (usually this can be done
through sites instead)
Everyone gets their own site collection
One big monster site collection
