Running effective team meetings:
Send out agendas in advance
Example: Every team member should be provided with an outline of when the
meeting is going to occur and the topics that are being addressed. This will help
the team prepare for a conclusion of the task at hand.
A way to promote effective team meetings is to have the agenda sent out to everyone on the team
prior to the meeting. This will allow all team members to take the time to look over the topics
that will be talked about and discussed, giving them the opportunity to gather information or
write down questions that they would like to ask. Having the agendas sent out beforehand will
help the meetings be more efficient and productive since everyone on the team will be prepared
and ready to discuss the topics at hand.
Have a discussion board up so that the virtual team will be allowed to give and receive
input.
Examples: Utilizing websites like Ready Talk, Google hangouts, Facetime, and
Skype can help teams visually see what is going on. When teams can “see” the
information provided it gives them a better perspective of what is going on. This
also builds trust and morale for the team, especially in a virtual world.
2. Being able to utilize websites like Ready Talk and Google hangouts allows the team members to
come together and essentially see what is going on. Using these websites, along with using a
discussion board where the team members can add their input to one shared work space allows
the team to efficiently work together as they are able to see what the others have contributed and
have a better perspective of what is going on. Having this type of collaboration for the team
helps build trust and keep morale high, which can be very helpful for teams in the virtual world.
Set ground rules for the team
Examples: Every team member should reduce background noise, by doing this it
keeps the team focused and on track.
When working in a team, especially a virtual team, ground rules need to be established in order
to make sure everything runs smoothly. A good example of that is when there is a meeting using
methods such as telephone conferences; all team members will be considerate of others by
reducing the background noise. This may not seem like a big issue, but if there are 3 team
members trying to have a conversation and there is any type of background noise it will become
distracting to everyone on the call, making the meeting less effective and at times run longer than
needed. Setting ground rules that everyone can agree upon will help the team come together
more efficiently and effectively and will also ensure that each team member is completing their
task to the standards of the team.

3. Accountability
Example: Every team member is responsible for their participation and
interaction. Failure to do so could result in their demotion or termination.
When interacting with others there needs to be a set of team ground rules and norms that all team
members abide by. The first being accountability. It is important that each team member is
responsible for their participation and interaction. Since we are working in virtual teams each
person needs to be held responsible for their own actions and be able to motivate themselves to
get their part done. Failure to do so could result in their demotion or termination.
Privacy
Example: Do not give out others' e-mail addresses, phone numbers, or anything
relating to personal or professional information without first obtaining permission
to do so. Team member’s personal and professional information represents a vital
component of one's virtual personal space.
It is important to remember that every member of the team is responsible for the privacy of the
team member personal information. The reason for this is to keep the teams morale working at a
high level and it provides trust in each team member.
Courteous and Professional Virtual Behavior
Example: Courteous and professional virtual behavior is the most basic rules that
govern etiquette. When asking for information, use courteous language such as
"please," and "I would appreciate it" a failure to apply these basic rules may give
rise to dislike, disrespect, and uncooperative relationships.
4. Each member of the team must have appropriate behavior when communication is needed within
the team. Everyone is responsible for courteous to each team member. During communication
saying words like “please, thank you, and I would appreciate it” are appropriate in these
situations. The reason for this is it builds respect and trust for each team member.
Appreciation
Example: Each response you receive from team members, outside consultants, or
individuals contacted for information, deserves a reply of gratitude. A simple
“thank you” should be applied and make a difference in trust.
When teams are collaborating, every member, outside consultant, or individuals contacted for
information should provide great appreciation. The reason for this is that it helps build a great
working environment. Appreciation makes individuals come back for more because they know
that everyone is happy with each other.
