Authorities.

transport, travel, and protocol and other.
• Liaising with government bodies, improving the communication tunnels and data
exchange efficiency.
• Address protocol (PR) request in timely manner from A to Z (writing letter and issuing
the required documents from the concerned authorities).
• Maintain and timely update in database all records and submit reports related to all WFP
Dubai staffs i.e. Various visas; IOD cards; vehicle registration; alcohol permits; medicals;
etc.
• Facilitate WFP staff who are assigned to non-family duty stations with their requests for
local residency visas; vehicle registration etc.
• Share information with staff on update received from Immigration; any other local laws
and procedures, translate information from Arabic into English and circulate.
• Handling and resolving various Complains/Issues.
• Issue salary certificates in Arabic or assist with any other correspondence if required
/requested in Arabic language.
• Request for petty cash and other operational advances for visas and other related costs,
check, review and submit for timely settlements.
• Raise internal invoices for external staff visa’s cost.
• Update and circulate SOPs.
Transport in Charge:
• Maintaining that a daily physical check for WFP Vehicles and daily report are in place.
• Monitoring the vehicles speeding through the Novacom System and maintain a monthly
report for the speed limit exceeding, sending memos for exceeding speed drivers.
• Monitoring the KM usage of the WFP vehicles and arrange for the vehicle’s service with
the Service Center in coordination with the vehicle’s driver and the unit supervisor.
• Liaise with Finance team and/or Procurement, request for petty cash, Operational
Advance or raise a PO.
• Send Vehicles for services and follow up for Service Reports/Invoices and maintain a
records for both.
• Follow up and send reminders for the yearly insurance renewal of the vehicles
registration and Insurance.
• Liaise with Finance for maintaining the required fund for the registration renewal and the
insurance renewal.
• Liaise with Procurement and follow up for getting the insurance renewed for WFP
vehicles.
• Liaise with government (MOFA and RTA) for finalizing the vehicles registration renewal
on timely bases.
• Maintain and sustaining a reports for each of: Vehicles registration expiration, Insurance
Expiration, Traffic Fines, Speeding and Salik.
