1 - INTRODUCTION
OfficeCentral is a cloud-based software and consists of important modules to manage a company’s operations which
are Human Resources Management, Payroll, Accounting, Customer Relationship Management and Point of Sale.
OfficeCentral has been designed and developed specially for Small and Medium Enterprises companies to help them
manage their companies easily and effectively.

2 – FINANCE
OfficeCentral consists of a Finance Module to enable you to record financial-related transactions such as claims and
payments. Below are the submodule in the Finance module:

2.1 CONFIGURATIONS
Before you start using OfficeCentral, you need to set some configurations. This is to ensure user will use the system
smoothly and user can configure setting that suit with your company’s operations. To do this, you need to go to
“Finance” and click on the “Configurations” button as shown below:
2.1.1 SETTING
Here, you can set how you would like your Payment Voucher reference number to look like. The system will
automatically generate the reference number based on your settings here. You can also use the default settings
already available in your account.
1. Select “CONFIGURATIONS” and click on “SETTINGS”.
2. After you click the button, you will see this page.

B You can refer reference here to setting reference number format at #A.
3. When you have done please click the button “SAVE CHANGES” at the top right hand.
2.1.2 APPROVER
In OfficeCentral, you can set approvers in order to approve applications/requests of claims, advance, payment
requisition, payment voucher and petty cash voucher. Here, you can set approvers for Finance module. To set
approver, please follow the guide below:
1. Select “CONFIGURATIONS” and click on “APPROVER”.
2. After you click the button, you will see this page. Please select which staff you want to set approver and click
on “Set Staff Approver” as per the picture below:

3. After click “SET STAFF APPROVERS”, you will see the following page:
4. The screenshot shown below is how it will looks like when you click on “Add Approver” in the picture above.
You will need to put in the approval level, select the approver’s name and click

A Here you can type a number of approval level. For example 1.

User can choose name of approver here. Name of approver need to be register in staff profile and also
need to create as a user to able that particular approver can login in the system.
C
User can choose name of staff to be approved here. Name of staffs need to be register in staff profile and
also need to create as a user to able that particular staff can login in the system.
D After done key in the information, please click “CREATE”.
APPROVER can be setup for multiple levels starting from Level 1 and onwards. You can also setup multiple approvers
on the same level. All transactions must be approved at the lower level before going to the higher level.
Note: If you have only 1 user in the
company’s OfficeCentral account, you do
not have to setup the approver.
2.1.3 EXPENSES CATEGORIES
The expenses categories in finance module will be using in claims. To setup expenses categories, please follow the
guide below:
1. Select on “CONFIGURATION”, “EXPENSE CATEGORIES” and click on “VIEW LIST ”
2. After click view list, you will see the following page.

Description:
A To add a new claim type, click on the ADD button.
B Click EDIT to modify the data.
C Click DELETE to delete the data.
3. Once you clicked “ADD”, you will see the following screen.
Description:
A Put the expenses category name here.
B Put number of attachment need to attach (if required).
C Put a default description if any.

2.1.4 EXPENSES
After add new configure expenses categories, you have to set expenses.
1. To add new Expenses, go to “FINANCE”, “CONFIGURATIONS”, choose “EXPENSES” and click on “ADD NEW”.
2. After click “ADD NEW”, you will see the following page:

A Choose expenses category here.
B Write a name of the expenses here.
C Here, you can choose whether a expenses have fixed price or not. If you choose YES, you have to set the
price.
3. After done, please click “SAVE”.

2.2 CLAIMS
In the claims module, your staffs can submit claims for company’s related expenses that they have spent on and you
can manage the claims submissions by your staffs.
2.2.1 WHY?
By having claims module, your staff’s can submit claims electronically and all the approvals can be done from within
the system. This will reduce time and cost as compared to manual processing. The staff can also view the payment
status online without having to contact the Finance department, reducing operational costs.
2.2.2 DASHBOARD
Dashboards in Finance module allows user to view overall report of finance. It consists of dashboard of claims by
type, claims by expenses, claims by project, claims last six months, highest claims by staff, claim submitted by month,
cumulative claims amount, claims vs sales by month and claim vs salary by month.

2.2.3 DIFFERENT CLAIMS, ADVANCE & PAYMENT REQUISITION.
CLAIMS ADVANCE PAYMENT REQUISITION
A request or demand for money, or
the amount of money asked for.
To make a payment before it is due
to the payee. For example, an
employer may advance an employee
part of his/her paycheck the week
before pay day so the employee may
make a needed payment. If this
happens, the amount of the
employee's paycheck is reduced by
the amount of the advance.
Employees within a company would
use a purchase requisition if they
needed additional supplies.
2.2.4 MY CLAIMS
The following is to show the claims that you have submitted in the system.
1. To view your claim, please go to “CLAIMS” and then click the “MY CLAIMS” button.
2. After click MY CLAIMS, you will see the folloing page:
Descriptions:
A If you want to submit new claim, click “ADD CLAIM”.
B If you want to submit new medical claim, click “ADD MEDICAL CLAIM”.
C If you want to download the claim click “DOWNLOAD”, you can choose in PDF, EXCEL or WORD
D Here you can download claims form in excel format, words format or PDF format.
E After save the claims, user have to click SUBMIT in order for approver can approve the claims.
F Here, you can click DETAILS, EDIT and DELETE.

2.2.5 SUBMIT (MY CLAIMS)
1. When you click the button “ADD”, you will reach to the following screen:
Description:
A Please select the claim type that you would like to submit.
B Enter the subject of the claim.
C
You can choose the date for the claim.
D Enter the description of the claim.
E If this claim is connected to an advance, select the related advance here.
F If this claim is connected to Movement, select the movement here.
G Select project if this claim is related to a project. Only administrators can add a new project at “Home”.
H Add all the claims’ items here.
I Click “Save” after putting in all the claim items here.
Note: You are required to fill up all fields marked with *

2.2.6 MY SUPERVISEES
Here supervisor can see claims submitted by supervisees and also supervisor can create a new claims on behalf of
supervisees. You need to fill the relevant information.
1. To view list the claim for the others staff, please go to “MY SUPERVISEES”, then click the button “VIEW
LIST”.
2. You can view the list of claims that have been submitted in “VIEW LIST”.
Descriptions:
A By clicking this button, you can add new claims.
B Here supervisor can download list of claims submitted by supervisees.
C Click “Submit”, if you as supervisees want to submit for approval.
Click “Details” to view the details of the claims.
Click “Edit” to modify the claim’s information. This claim can only be edited if the status is still pending
and no approval has been done.
Click “Delete” to delete the claim. This claim can only be deleted if the status is still pending and no
approval has been done.

D Click icons PDF/Word/Excel to download the claim form information in the selected format.
3. To add new supervisees’ claim, click on “ADD”. After click “ADD”, you will see the following page. Please fill
up the information.
Description:
A Please choose staff name.
B Please select the claim type that you would like to submit.
C
Enter the title of the claim.
D You can choose the date for the claim.
E Enter the description of the claim.
F If this claim is connected to an advance, select the related advance here.
G If this claim is connected to Movement, select the movement here.
H Select project if this claim is related to a project. Only administrators can add a new project at “Home”.
I Add all the claims’ items here.
4. After done, please click “SAVE”.

2.2.7 VIEW LIST CLAIMS (OVERALL)
1. In the view list (overall), you as a admin can see all the claims submit by all staff.
2. After click “VIEW LIST”, you will see the following page:
Descriptions:
A You can click here to add new medical claim.
B You can click here to add new claim.
C Here, you can download list of claims submitted by all staffs.
D After you tick claims at D (i), you can choose APPROVE, REJECT or DELETE if you want to do in bulk.
E Here, admin can approve or reject the claims. This button will be appearing after staff click SUBMIT
buton.
F Here, admin can do the following things:
Submit: Submit means that, staff will click this button if the claim is final and no modify required.
Details: Can view details of the claim.
Edit: If modify is required, please click Edit.
Delete: If you want to delete the claim, click on Delete.

2.2.7.1 ADD MEDICAL CLAIM
This function only can be access by administrator. To add new medical claims, please follow the following steps:
1. Click on “ADD MEDICAL CLAIMS”. After click that button, you will see the following page:
Descriptions:
A Choose staff name here.
B Please choose category here.
C Please enter the title here. For example, medical claim.
D Please choose claim date here.
E Select project if any.
F If panel hospital not register yet, please click ‘+’ to register.
G If panel hospital already register, choose name of hospital here. Normally when choose panel hospital here,
panel hospital name and panel hospital address will be auto fill.
H Choose an advance if any.
I Choose a movement if any.
J Please key in claims item here.

2.2.8 APPROVE
There are two ways on how to approve Claims:
First way:
1. To approve or reject a claim, you need go to “FINANCE”, “CLAIMS”, “VIEW LIST”, click on “APPROVE.
2. After that you will see this page.
Here you can click “Approve”
to approve a claim or “Reject”
to reject a claim.

Second way:
1. Select “CLAIMS” and click on “ADD NEW”.
2. After that, you will below into this page. First you must fill the information. When you finish fill the
information, don’t forget to click “SAVE” button.
3. You must go to the bottom to add item. You can see list at status of approval, form there you can make the
changes if you want to approved or rejected. After that, you can click “SAVE” button.

2.2.9 ADD NEW CLAIMS
To add new claims, please follow the following steps:
1. Click on “ADD NEW”. After click that button, you will see the following page:
Descriptions:
A Choose staff name here.
B Please choose category here.
C Please enter the title here. For example, milleage claim.
D Please choose claim date here.
E Select project if any.
F Add all the claims’ items here.

If this claim is connected to an advance, select the related advance here.
H If this claim is connected to Movement, select the movement here.

2.3 ADVANCES
To access Advances module, click on “Advances”. Here you can view all the advances that have been submitted by all
staffs.
2.3.1 WHY?
Without an advance management module, you may need to manage all advances manually. By using OfficeCentral
Advance submodule, all the submission and approvals can be done online, reducing costs and time in managing
advances.
Personal Overall
MY ADVANCES You will only see the advances submit
by your own.
SUBMIT Can only submit for yourself.
APPROVE ADVANCES You will see the pending advances of
all staff under approver.
MY SUPERVISEES You will add advances on behalf of
your supervisees.
VIEW LIST You will see all list of advances by all
staff in the company.
ADD NEW You add new advances of the other
staffs.

2.3.2 DASHBOARD
Dashboards in Finance module allows user to view overall report of finance. It consists of dashboard advances by
expenses, advance by project, and advance trend by month.
Note: The OVERALL part will only see by
admin.

2.3.3 MY ADVANCES
Here you can view the advances that you have submitted.
1. To view list of advances, please go to “ADVANCES” , and click on “MY ADVANCES”.
2. Next you will arrive to the following screen:
Descriptions:
A To add new advances, please click “ADD”.
B Click “Submit”, if you as supervisees want to submit for approval.
Click “Details” to view the details of the advance.
Click “Edit” to modify the advance’s information. This advance can only be edited if the status is still pending
and no approval has been done.
Click “Delete” to delete the advance. This advance can only be deleted if the status is still pending and no
approval has been done.
C This is the status of the advance.
D Here, you can download advance in PDF, WORD or EXCEL.
3. After click “ADD”, you will see the following page:

2.3.4 APPROVE ADVANCES
There are two ways to approve advances. Here you can view the pending advances for all staffs under approver.
First way
1. To approve or reject the advances, go to “ADVANCES”, then click “APPROVE ADVANCES”.
2. After that you will see the page as follow:
Descriptions:
A Choose whether to APPROVE, REJECT or UNAPPROVE the advances. This function will be using if you want
to approve, reject or unapprove in bulk.
B Please tick advances, approver want to approve, reject or unapprove in bulk.
C Here, approver can approve or reject advances by individual.
D Here, approver can view details of advance.
Second way
1. Select “ADVANCES” and click on “VIEW LIST”.

2. After that, you will be going into this page. Next, you will see the (approve and reject) button under tab
action.
2.3.5 MY SUPERVISEES
The following are the advances of all staffs from your company that have been submit by admin, supervisor or by
staff itself.
1. To view list supervisees’ advance, go to “ADVANCES”, choose “MY SUPERVISEES”, and and click on “VIEW
LIST”.
2. After that you will see the page as below.
3. To add new advance for supervisees, click on “ADD”. After click “ADD”, you will see the following page:

2.3.6 VIEW LIST (OVERALL)
Here administrator can see list of advances submit by all staff.
1. To access this page go to “ADVANCES”, and then click on “VIEW LIST” button.
2. After you click the button, you will see as page below:

2.4 PAYMENT REQUISITION
A Payment requisition is a request from a department or staff for permission to pay a bill.
1. To access this module, go to “Finance” and click on “Payment Requisitions”.
2. Here, you can view all payment requisitions that have been submitted within your company. This module is
normally used by non-finance officers to requests for issuance of payment to third party such as contractors
or vendors.
Personal Overall
MY PAYMENT REQUISITIONS You will only see the payment
requisitions by your own.
SUBMIT You can submit for yourself.
VIEW LIST You will see all list for payment
requisitions by all staff in the
company.
ADD NEW Add new payment requisitions for
other staffs.
Note: The OVERALL part will only see by admin.

2.4.1 DASHBOARD

2.4.2 MY PAYMENT REQUISITIONS
Here you can view the list of payment requisitions submitted by you.
1. To view list payment requisitions go to “PAYMENT REQUISITIONS”, then click “MY PAYMENT REQUITIONS”.
2. After you click the button, you will see the page as below.
3. To add new payment requisition, please click on “ADD” button. After click “ADD” you will see the following
page:

Descriptions:
A Select whether the payment should be made to account or staff or others.
B Select the account/staff for the payment to be issued to.
C Enter the description of the payment such as payment for purchase of 1 box of A4 papers.
D Enter any remarks or comments related to this Payment Requisition.
E Enter the name at the bank account for payment purposes.
F Enter the bank’s name.
G Enter the bank’s account number.
H Click “Create” or “Save” to submit the new payment requisition.
I You can click “SAVE” button after you finish key in the data.

2.4.3 APPROVE PAYMENT REQUISITIONS
To approve payment requisition, please follow the step as follow:
1. Go to “PAYMENT REQUISITION”, and click on “APPROVE PAYMENT REQUISITIONS”. After that you will see
the following page:
Descriptions:
A Choose whether to APPROVE, REJECT or UNAPPROVE the advances. This function will be using if you want
to approve, reject or unapprove in bulk.
B Please tick payment requisition, which approver want to approve, reject or unapprove in bulk.
C Here, approver can approve or reject payment requisition by individual.
D Here, approver can view details of payment requisition.

2.4.4 MY SUPERVISEES
Here you can view list of payment requisitions for all staff under you.
1. When you click view list for supervisees, you will see the page as follow:
Descriptions:
A Click here to add new payment requisition.
B To approve or reject a payment requisition, please click here.
C Here, supervisor can do the following things:
Details: Can view details of a payment requisition.
Edit: If modify is required, please click Edit.
Delete: If you want to delete a payment requisition, click on Delete.
2. To add new payment requisition, please click on “ADD” button. After click “ADD”, you will see the following

C Select the account/staff for the payment to be issued to. Normally when you choose account here, the
payment information and bank information will auto fill, if you already key in the bank information in the
CRM.
D Enter the purpose of the payment such as payment for purchase of 1 box of A4 papers.
E Please enter the payment requisition items here.
F Enter any remarks or comments related to this Payment Requisition.
G Enter the name of the bank for payment purposes.
H Enter the bank’s name.
I Choose project name if a payment requisition related with the project.

2.4.5 VIEW LIST (OVERALL)
The following are the payment requisitions submitted by all staffs in your company. This view will be see by
administrator only.
1. To view list all payment requisitions, click on “PAYMENT REQUISITIONS”, then click on “VIEW LIST”.
2. After you click view list button, you will see the following page:
Descriptions:
A Click here to add new payment requisition.
B To approve or reject payment requisition, you can click here.
C To unapprove payment requisition, click here. This button will appear after you approve a payment
requisition.
D In this section you can do the following things:
• Click “Details” to view the details of payment requsition.
• Click “Edit” to modify a payment requisition’s information. A payment requisition can only be
edited if the status is still pending and no approval has been done.
• Click “Delete” to delete a payment requisition. A payment requisition can only be deleted if the
status is still pending and no approval has been done.

3. To add new payment requisition, click on “ADD”. After you click “ADD”, you will see the following page:

A Please choose staff name.
B Select whether the payment should be made to account or staff or others.

payment information and bank information will auto fill, if you already key in the bank information in the
CRM.

2.5 PAYMENT VOUCHERS
To access Payment Voucher submodule, click on “Payment Voucher”. In this module, you can view all the payment
vouchers that have been issued by your staffs.
2.5.1 WHY?
By using online payment voucher management, you can manage and view your payment vouchers information from
wherever you are. This makes it easier for you to find payment voucher in the future as well. This will help to reduce
time and costs in managing your company’s payment vouchers.
2.5.2 APPROVE PAYMENT VOUCHERS
Here you can view the list of payment vouchers need of your approval.
1. To see the list, click on “PAYMENT VOUCHERS” , then click “APPROVE PAYMENT VOUCHERS”.
2. After that you will see the page as follow. If you want to approve the payment voucher please click
“APPROVE” and “REJECT” to reject the payment vouchers. If you want to view the detail of payment
vouchers, click the “DETAILS” button to view details.

2.5.3 VIEW LIST (OVERALL)
1. To access this module, go to “PAYMENT VOUCHERS” and click on “VIEW LIST”.
2. After click “VIEW LIST”, you will see the following page:
Descriptions:
A You can click here to add new payment voucher.
B Here, you can download payment voucher list.
C
Here, you can do the following things:
Details: Can view details of a payment voucher.
Edit: If modify is required, please click Edit.
Delete: If you want to delete a payment voucher, click on Delete.
Approve: Administrator can approve a payment voucher here.
Reject: Administrator can reject a payment voucher here.

2.5.3.1 VIEW DETAILS
The screen below shows the details of the Payment Voucher, when you click on “DETAILS” button. To update the
payment voucher status to paid, click on the Payment Status and update it to “Paid”. Click on the button “Update
Payment Status” to update the payment status.
3. After you click “ADD”, you will see the page as follow:

B If you select staff/account, the name will automatically show here, you only have to choose the

name. If you choose Others, you will need to enter the name manually.
C Enter the subject of the Payment Voucher.
D This are the items that you would like to pay for.
E Select type of payment whether you are paying for claims, advances, payment requisition or others.
F Enter remarks if any.
G Enter the name pay to here (usually the name on the bank account).
H Enter the name of the bank
I Enter the bank’s name for the payment purposes.
J Click “SAVE” to create the payment voucher.

2.5.4 ADD NEW (WIZARD)
The wizard will be using if you want to pay to one person in single payment voucher.
1. To access this page click on “PAYMENT VOUCHERS”, then click “ADD NEW (WIZARD)” button.
2. After that, you will going to this page.
Descriptions:
1 Then you can choose the staff that you want to issue a payment vouchers.
2 After you finish choose staff name, you must tick either nor claims, advances, and payment requisition to
issue a payment vouchers.
3 After done, please click “NEXT”.

3. After click “NEXT”, you will see the following page.
Descriptions:
A Here, you have to enter purpose of issue payment voucher.
B Normally, this section will auto fill but you have to key in description only.

2.5.5 INTEGRATION
2.5.5.1 IMPORT SALARY (WIZARD)
The uses of this function to import salary from payroll module, if you are using payroll. From salary slips, we can
generate payment voucher. Please remember, salary slips have to finalize before can import.
1. To access this page, go to “PAYMENT VOUCHER”, “INTEGRATION”, and click on “IMPORT SALARY
(WIZARD)”.
2. After click that button, you will see the following page:
Descriptions:
A Here you can choose option 1 or option 2.
Option 1: Will generate all salary slips in one single payment voucher.
Option 2: Will generate one payment voucher for each salary slips.
B Here you can choose whether to generate payment voucher for statutory bodies or not. It have 2 options.
C Please filter your salary slips here.
D Please select salary slips to import as payment voucher.

3. After done, please click “NEXT”. Once click “NEXT”, you will see the following page. Click “SUBMIT”, after
confirm.
2.5.5.2 UNIMPORTED PV’s
The uses of this function, if you do not want to import payment voucher to Accounting module.
1. To access this page, go to “PAYMENT VOUCHER”, choose “INTEGRATION” and click on “UNIMPORTED
PV’s)”
2. After that, you will see this page.
Descriptions:
1 Choose payment voucher that do not want to import to Accounting module.
2 After that, click on this button.

2.6 PETTY CASH VOUCHERS
To access this submodule, click on “Petty Cash Vouchers”. Here, you can view all petty cash vouchers that have been
issued.
2.6.1 APPROVE PETTY CASH VOUCHERS
Here you can view list of petty cash vouchers that need of your approval.
1. To approve or reject go to “PETTY CASH VOUCHERS” and click on “APPROVE PETTY CASH VOUCHERS”.
2. After that, you will going into this page. Click approve or reject button to reject or approve petty cash
voucher.

2.6.2 VIEW LIST OF PETTY CASH VOUCHERS (OVERALL)
1. To view list of petty cash vouchers, go to “PETTY CASH VOUCHERS” and click on “VIEW LIST”.
2. Petty cash vouchers is normally used to record payment that is paid using petty cash.
Descriptions:
A Click on the “Add” button to add a new petty cash voucher.
B To approve or reject petty cash, click here.
C This are the things that can be done:
• “Details” to view the details of the payment requisition.
• “Edit” to modify the payment requisition’s information. This payment requisition can only be
edited if the status is still pending and no approval has been done.
• “Delete” to delete the payment requisition. This payment requisition can only be deleted if the
status is still pending and no approval has been done.

3. The screen below show when you click “DETAILS” button of the Petty Cash Voucher. You can update the
payment status here and click “Update Payment Status” to save the changes.
4. To add new petty cash voucher, please click on “ADD” or “ADD NEW”.
Descriptions:
A Select the payment to be made to whether to a staff, an account (from CRM module) or others.
B Once selected, select the account or staff name. If you select others, please key in the name here
manually.
C Enter the description of the payment voucher.
D Select the payment type. You can use it to pay for claims, advance or payment requisition.
E Enter the details of payment.
F Enter the amount for payment.

All rights reserved. 4 2 – FINANCE OfficeCentral consists of a Finance Module to enable you to record financial-related transactions such as claims and payments. Below are the submodule in the Finance module: OfficeCentral Finance Claims Advances Payment Requisitions Payment Vouchers Petty Cash Vouchers
  • 6. © 2019 - Authentic Venture Sdn Bhd. All rights reserved. 5 2.1 CONFIGURATIONS Before you start using OfficeCentral, you need to set some configurations. This is to ensure user will use the system smoothly and user can configure setting that suit with your company’s operations. To do this, you need to go to “Finance” and click on the “Configurations” button as shown below: 2.1.1 SETTING Here, you can set how you would like your Payment Voucher reference number to look like. The system will automatically generate the reference number based on your settings here. You can also use the default settings already available in your account. 1. Select “CONFIGURATIONS” and click on “SETTINGS”. 2. After you click the button, you will see this page.

B You can refer reference here to setting reference number format at #A. 3. When you have done please click the button “SAVE CHANGES” at the top right hand. 2.1.2 APPROVER In OfficeCentral, you can set approvers in order to approve applications/requests of claims, advance, payment requisition, payment voucher and petty cash voucher. Here, you can set approvers for Finance module. To set approver, please follow the guide below: 1. Select “CONFIGURATIONS” and click on “APPROVER”. 2. After you click the button, you will see this page. Please select which staff you want to set approver and click on “Set Staff Approver” as per the picture below: B A

The screenshot shown below is how it will looks like when you click on “Add Approver” in the picture above. You will need to put in the approval level, select the approver’s name and click A B C D

Name of approver need to be register in staff profile and also need to create as a user to able that particular approver can login in the system. C User can choose name of staff to be approved here. Name of staffs need to be register in staff profile and also need to create as a user to able that particular staff can login in the system. D After done key in the information, please click “CREATE”. APPROVER can be setup for multiple levels starting from Level 1 and onwards. You can also setup multiple approvers on the same level. All transactions must be approved at the lower level before going to the higher level. Note: If you have only 1 user in the company’s OfficeCentral account, you do not have to setup the approver. 2.1.3 EXPENSES CATEGORIES The expenses categories in finance module will be using in claims. To setup expenses categories, please follow the guide below: 1. Select on “CONFIGURATION”, “EXPENSE CATEGORIES” and click on “VIEW LIST ” 2. After click view list, you will see the following page. To add new Expenses, go to “FINANCE”, “CONFIGURATIONS”, choose “EXPENSES” and click on “ADD NEW”. 2. After click “ADD NEW”, you will see the following page: Descriptions: A Choose expenses category here. B Write a name of the expenses here. C Here, you can choose whether a expenses have fixed price or not. If you choose YES, you have to set the price. 3. After done, please click “SAVE”. A C B

All rights reserved. 11 2.2 CLAIMS In the claims module, your staffs can submit claims for company’s related expenses that they have spent on and you can manage the claims submissions by your staffs. 2.2.1 WHY? By having claims module, your staff’s can submit claims electronically and all the approvals can be done from within the system. This will reduce time and cost as compared to manual processing. The staff can also view the payment status online without having to contact the Finance department, reducing operational costs. 2.2.2 DASHBOARD Dashboards in Finance module allows user to view overall report of finance. It consists of dashboard of claims by type, claims by expenses, claims by project, claims last six months, highest claims by staff, claim submitted by month, cumulative claims amount, claims vs sales by month and claim vs salary by month.

CLAIMS ADVANCE PAYMENT REQUISITION A request or demand for money, or the amount of money asked for. To make a payment before it is due to the payee. For example, an employer may advance an employee part of his/her paycheck the week before pay day so the employee may make a needed payment. If this happens, the amount of the employee's paycheck is reduced by the amount of the advance. Employees within a company would use a purchase requisition if they needed additional supplies. 2.2.4 MY CLAIMS The following is to show the claims that you have submitted in the system. 1. To view your claim, please go to “CLAIMS” and then click the “MY CLAIMS” button. 2. After click MY CLAIMS, you will see the folloing page: Descriptions: A If you want to submit new claim, click “ADD CLAIM”. B If you want to submit new medical claim, click “ADD MEDICAL CLAIM”. C If you want to download the claim click “DOWNLOAD”, you can choose in PDF, EXCEL or WORD D Here you can download claims form in excel format, words format or PDF format. E After save the claims, user have to click SUBMIT in order for approver can approve the claims. F Here, you can click DETAILS, EDIT and DELETE. A B C D E F

When you click the button “ADD”, you will reach to the following screen: Description: A Please select the claim type that you would like to submit. B Enter the subject of the claim. C You can choose the date for the claim. D Enter the description of the claim. E If this claim is connected to an advance, select the related advance here. F If this claim is connected to Movement, select the movement here. G Select project if this claim is related to a project. Only administrators can add a new project at “Home”. All rights reserved. 15 2.2.6 MY SUPERVISEES Here supervisor can see claims submitted by supervisees and also supervisor can create a new claims on behalf of supervisees. You need to fill the relevant information. 1. To view list the claim for the others staff, please go to “MY SUPERVISEES”, then click the button “VIEW LIST”. 2. You can view the list of claims that have been submitted in “VIEW LIST”. Descriptions: A By clicking this button, you can add new claims. B Here supervisor can download list of claims submitted by supervisees. C Click “Submit”, if you as supervisees want to submit for approval. Click “Details” to view the details of the claims. Click “Edit” to modify the claim’s information. This claim can only be edited if the status is still pending and no approval has been done. Click “Delete” to delete the claim. This claim can only be deleted if the status is still pending and no approval has been done.

B Please select the claim type that you would like to submit. C Enter the title of the claim. D You can choose the date for the claim. E Enter the description of the claim. F If this claim is connected to an advance, select the related advance here. G If this claim is connected to Movement, select the movement here. After click “VIEW LIST”, you will see the following page: Descriptions: A You can click here to add new medical claim. B You can click here to add new claim. C Here, you can download list of claims submitted by all staffs. D After you tick claims at D (i), you can choose APPROVE, REJECT or DELETE if you want to do in bulk. E Here, admin can approve or reject the claims. This button will be appearing after staff click SUBMIT buton. F Here, admin can do the following things: Submit: Submit means that, staff will click this button if the claim is final and no modify required. Details: Can view details of the claim. To add new medical claims, please follow the following steps: 1. Click on “ADD MEDICAL CLAIMS”. After click that button, you will see the following page: Descriptions: A Choose staff name here. B Please choose category here. C Please enter the title here. For example, medical claim. D Please choose claim date here. E Select project if any. F If panel hospital not register yet, please click ‘+’ to register. G If panel hospital already register, choose name of hospital here. Normally when choose panel hospital here, panel hospital name and panel hospital address will be auto fill. H Choose an advance if any. I Choose a movement if any. J Please key in claims item here. To approve or reject a claim, you need go to “FINANCE”, “CLAIMS”, “VIEW LIST”, click on “APPROVE. 2. After that you will see this page. Here you can click “Approve” to approve a claim or “Reject” to reject a claim.

First you must fill the information. When you finish fill the information, don’t forget to click “SAVE” button. 3. You must go to the bottom to add item. You can see list at status of approval, form there you can make the changes if you want to approved or rejected. After that, you can click “SAVE” button.

Here you can view all the advances that have been submitted by all staffs. 2.3.1 WHY? Without an advance management module, you may need to manage all advances manually. By using OfficeCentral Advance submodule, all the submission and approvals can be done online, reducing costs and time in managing advances. Personal Overall MY ADVANCES You will only see the advances submit by your own. SUBMIT Can only submit for yourself. APPROVE ADVANCES You will see the pending advances of all staff under approver. MY SUPERVISEES You will add advances on behalf of your supervisees. VIEW LIST You will see all list of advances by all staff in the company. ADD NEW You add new advances of the other staffs.

This function will be using if you want to approve, reject or unapprove in bulk. B Please tick advances, approver want to approve, reject or unapprove in bulk. To access this module, go to “Finance” and click on “Payment Requisitions”. 2. Here, you can view all payment requisitions that have been submitted within your company. This module is normally used by non-finance officers to requests for issuance of payment to third party such as contractors or vendors. Personal Overall MY PAYMENT REQUISITIONS You will only see the payment requisitions by your own. SUBMIT You can submit for yourself. VIEW LIST You will see all list for payment requisitions by all staff in the company. ADD NEW Add new payment requisitions for other staffs. Note: The OVERALL part will only see by admin.

In this module, you can view all the payment vouchers that have been issued by your staffs. 2.5.1 WHY? By using online payment voucher management, you can manage and view your payment vouchers information from wherever you are. This makes it easier for you to find payment voucher in the future as well. This will help to reduce time and costs in managing your company’s payment vouchers. 2.5.2 APPROVE PAYMENT VOUCHERS Here you can view the list of payment vouchers need of your approval. 1. To see the list, click on “PAYMENT VOUCHERS” , then click “APPROVE PAYMENT VOUCHERS”. 2. After that you will see the page as follow. If you want to approve the payment voucher please click “APPROVE” and “REJECT” to reject the payment vouchers. If you want to view the detail of payment vouchers, click the “DETAILS” button to view details.

G Enter the name pay to here (usually the name on the bank account). H Enter the name of the bank I Enter the bank’s name for the payment purposes. J Click “SAVE” to create the payment voucher.

To access this page click on “PAYMENT VOUCHERS”, then click “ADD NEW (WIZARD)” button. 2. After that, you will going to this page. Descriptions: 1 Then you can choose the staff that you want to issue a payment vouchers. 2 After you finish choose staff name, you must tick either nor claims, advances, and payment requisition to issue a payment vouchers. 3 After done, please click “NEXT”. 1 2 3

From salary slips, we can generate payment voucher. Please remember, salary slips have to finalize before can import. 1. To access this page, go to “PAYMENT VOUCHER”, “INTEGRATION”, and click on “IMPORT SALARY (WIZARD)”. 2. After click that button, you will see the following page: Descriptions: A Here you can choose option 1 or option 2. Option 1: Will generate all salary slips in one single payment voucher. Option 2: Will generate one payment voucher for each salary slips. B Here you can choose whether to generate payment voucher for statutory bodies or not. It have 2 options. C Please filter your salary slips here. D Please select salary slips to import as payment voucher. D C B A

To approve or reject go to “PETTY CASH VOUCHERS” and click on “APPROVE PETTY CASH VOUCHERS”. 2. After that, you will going into this page. Click approve or reject button to reject or approve petty cash voucher.
