4. Set up accounting procedures to be followed to ensure proper management of fixed assets.
5. Communicate with sub-ordinates on challenges facing the department.
6. Examine documentation ie internal requisitions, quotations and capex approval documents to
ensure that there is compliance of procedures before acquisition of capex items. If operational
items are submitted then disallow further processing and return to originators to reallocate.
7. Examine contracts for clarity in terms of financial obligations, security (eg. performance
guarantees.
8. Ensure all capex acquired is in terms of budget and Board Approval documents.
9. Control write off / retirements of assets.
10. Signatory to the companies BTS, Creditors and sundry creditors account.
11. Approving of payments on Electronic Fund Transfer system of Citi Bank and Standard Bank
systems.

MONTHLY
1. Assist or check sub-ordinates reconciliation of:
a. Assets processed in fixed assets Module.
b. Items not processed due to Construction in Progress (C.I.P)
c. Fixed Assets Module to General Ledger Control Account of cost and depreciation.
2. Reconcile Works Breakdown Structure Report (Budget Report) to Actual.
3. Verify inventory receipts at warehouse with that in general ledger accounts.
WEAR & TEAR

Liase with Warehouse staff regarding any inventory issues that affect fixed assets department. 5. Trace fixed assets stock on hand in warehouse to fixed assets module. 6. Attend tender meetings to ensure that there is transparency and that proper procedures are followed when purchasing. 7. Improve fixed assets system and liase with IS to ensure smooth trasitions in implementation. 6
  • 7. MONTHLY 1. Assist or check sub-ordinates reconciliation of: a. Assets processed in fixed assets Module. b. Items not processed due to Construction in Progress (C.I.P) c. Fixed Assets Module to General Ledger Control Account of cost and depreciation. 2. Reconcile Works Breakdown Structure Report (Budget Report) to Actual. 3. Verify inventory receipts at warehouse with that in general ledger accounts. WEAR & TEAR 1. Set up procedure to be followed by sub –ordinate relating to wear & tear. 2. Ensure that schedules prepared comply with the SARS requirements. 3. Advise Financial Manager on wear & tear amount to be claimed. 4. Advise Financial Manager on recoupment and /scrapping allowance to be claimed on Tax return OTHER DUTIES 1. Prepare schedules required for Auditors at yearend and as and when required. 2.
