INTRODUCTION
 Letter is an important means of
communication by which the messages are
conveyed from one place to another. There are
ordinarily 2 kinds of LETTERS.
THE 2 TYPES OF LETTER ARE:
FORMAL
LETTER
• Letters include letters
to teachers, officers and
newspapers
• Letters include
complaints to polices,
job applications etc.
INFORMAL
LETTER
• Letters include private
letters to relations,
friends and notes of
invitations.
Every letter has 6 important steps.
These are:-
 The heading consisting of your own address, the date,
and the receiver’s address. Everything should be done
on the right hand side of the letter.
 After the receiver’s address, subject of the letter
should be written.
 The salutation i.e. Courteous greeting.
 The body of the letter: contents or the message.
 Subscription- courteous leave taking or conclusion.
 Writer’s name- signature.

DO’S FOR WRITING A LETTER
 Always use a full sheet of paper for your letters;
never a half sheet despite its economy
 Give every subject its own paragraph.
 Letters should always be handwritten;
 Always match the style of writing to the letter type
of letter being written; i.e. a formal letter should
be polite but distant in tone.
 Fold your letter correctly the first time, never
attempt to refold.
 Read the letter over carefully before sending it.
There should be nothing wrong in the formal letter.
DONT’S FOR WRITING A LETTER
 Never write an anonymous letter. It is the sign of a coward.
Anyone who receives such a letter should not give any
consideration to its content.
 Never write personal conversation on a postcard as they are
considered a "cheap" version of a letter.
 Formal letters should never be written on lined paper.
 Never use underlining in a letter to further emphasize your
meaning.
 Do not abbreviate; abbreviation is the sign of hasty writing.
 Do not erase or cross out misspelled words in a letter
 Avoid the "postscript" in everything but the most friendly letter.
 Do not write missed thoughts in the letter's margins. Place them
on a separate page.
 Donot use any kind of slang languages.
