To view the overall scope of any corporate operation and identify:
– How the data is structured and used across all departments and ensure that it is on one
location, in the right format, accessible to all, ensuring real-time reporting to management.
– How the network is designed (internally for corporate daily operations and externally if they
have a web presence), ensuring reliability with the most current hardware and software,
redundancy to protect it from failure, and with backup systems to protect the safety of their
data.
– How they connect globally with voice and data and provide a way to consistently delivery it at
the most competitive costs with the most current technology. This can encompass telephone
systems, video conferencing, mobile devices and internet services.
– How to create a plan to make the necessary changes to achieve these objectives without
affecting the company’s operations and reduce costs.
3. Southern Star Shipping Co. Inc.
Project Period: 1999 – 2012
This is a blueprint example with some of the methods and systems used at this
corporation to achieve full data integration, a complete network upgrade, while
reducing their communication costs (including free VPN inter-office communications).
This plan was implemented during a 12 year period, but the span will fluctuate from
company to company.
The implementation period is also dependent on:
1. The size of company’s operations
2. The type of objectives to be achieved and most importantly
3. The type of technology available and emerging at that time.
4. Data
• Data was stored on individual computers or on paper forms
• No consistent format
• Not shared inside departments, nor across departments
• Data that was entered in multiple forms, with errors, was time consuming,
wasting worker productivity
• Reporting was done in Excel spreadsheets through macros with design
errors, experiencing many problems each quarter and end of year
Solution
• Data format was changed to be consistent across the company, stored on a
network location and accessed through MS Access databases
• Management was now able to get real-time data and reports, quarterly and yearly,
as well as being able to access it at their desktops with copies of the executable
databases being used by the departments
5. A corporation with 100+ sub corporations, consolidating it’s accounting trial balance,
balance sheet and income statement across to the parent company
6. • Instead of entering data for each company and having to re-calculate as it becomes part
of the next consolidated into next level, it’s only entered at the first level.
