JOB DESCRIPTION – ADMINISTRATOR/JUNIOR
VERIFICATION ANALYST
A. Principal Duties and Responsibilities
1. Responsible for the Administration of the Office which includes but is not limited to:
 Answering the telephone
 Message recording
 Diary management
 Receiving of clients
 Receiving of client documentation
 Providing refreshments to clients when required
 Postage
 Ordering of office requirements
 Setting up client files including printing of forms and dividers
 Setting up of meetings including projector set up
 Management of printers
 Client liaison from an administrative perspective such as requests for documents
 File achiving
2. Responsible for document control, under the supervision of the Verification Manager:
 compiling new documents or amend existing documents on instruction from the
verification manager
 ensuring that each document has a control page recording its history
 ensuring that each document has a footer reflecting its document number and the
date of origination or amendment
 creating a distribution list to record the distribution and receipt of documents by
analysts and verification manager
 ensuring that the analysts have documents that are up-to-date and that all
obsolete documents retrieved from the analysts are destroyed
 compile certificates from a draft approved by the verification manager
 maintain a register of documents and a master file for hard copies
3. Write, design and distribute advertising and marketing material for AAA BEE
Verification Agency.
4. Promoting the AAA BEE Verification Brand.
5. Prepare agendas and take minutes at AAA BEE Verification Agency management
meetings.
6. Be conversant in English and Zulu.

7. Be computer literate.
8. Be conversant with legislation and regulations pertaining to BEE as it pertains to the
position. Have an understanding of company law and accounting systems.
9. Responsible for performing EME verifications under the supervision of the
Verification Manager/ Senior Analyst:
 The analyst receives completed documentation from the client for checking and
scoring
 The client information is assessed for accuracy and correctness per checklist
 Outstanding information is communicated to client timeously with regular follow
up
 Decisions regarding Related Entities are resolved with the Verification Manager
 The analyst drafts Scorecard for managers’ approval and sign off
 Once certificate signed off, it is scanned and a copy is emailed to client
 Client confirmation letter and registers need to be prepared
 Certificate needs to be posted or kept aside for collection by client
 All filing (electronic and hard copy) to be concluded
 Communicate to clients with regards renewals and new requests
10. Assists and supports the QSE and Generic verification process:
 Reviews request form together with Verification Manager
 Explanations and discussions on BEE codes and documentary evidence
requirements
 Assists Verification Manager/Senior Analyst with follow-up on documentary
evidence and other preparatory work for pre-verification and on-site meetings.
 Helps with draft Scorecard for client.
 Assists VM with verification plan.
 Drafts client correspondence.
 Assists with report.
11. Be willing to undergo any training pertaining to all aspects of the job.
12. Reports to the Managing Director/Verification Manager.

1. Have understanding of the documentation system according to
SANAS requirements as laid down by R47-02 and any
additions or future amendments:
 Compile, collate, amend and maintain all verification
documentation
 Control and distribute up-to-date documents to all staff
concerned
 Manage and archive obsolete documents
 Control security of filing system
NUMERACY
Ability to perform basic
calculations pertaining to
the verification process
1. Ability to perform basic calculations such as:
 Value Added Supplier
 total procurement spend
 EBITDA
2. Have some knowledge of statistical sampling
Have a basic understanding of company financial statements.
