A brief description of a new invoicing module added to wikiprojects, where project stakeholders can define project payment terms, invoice their clients, and generate related reports
2. Invoicing in projects a typical scenario
• How much are we going to certify or invoice this
month? A typical question raised by management, to
project managers at the end of each month.
• The project manager with his team start searching in the
payment schedule for items to be certified based on
works done, so as to prepare certification/invoice.
• The document gets presented to the client or his
representative for negotiation which will end up with an
agreed item.
• This whole process happens in spread sheets that
travels back and forth between stakeholders. via email.
3. A Critique of the described manual process
• Data is dispersed and distributed between:
– Site staff who knows the progress.
– PMO staff who knows the payment schedule values and
policies, but need operational information to be able to
determine amounts to be invoiced and documentation to back it
up.
• Controls of what was invoiced and when is manual and
again based on personal use tool such as spread
sheets, and email exchanges.
4. Step 1: Define Profit Centers or Payment
Schedule Items
Under the
invoice tab,
click on profit
center
PMO configures in
wikiprojects payment
items according to
project contract.
5. Step 2: Prepare Invoice
1. Select the
invoice header
data
2. Select the profit
center/payment
schedule that you will
use for invoicing
3. Select from the list
of tasks progressed
which to invoice and
enter the amount.
4. Items will move from
the pending items to
the invoice details
6. Step 3: Reports and Invoice Printing
After a series of
negotiation with the
clients and going back
and forth between the
edit and view invoice
screens
You can export your invoice
to excel, print in your
required format, or generate
invoice summary reports.
