DAM Initiative Leader
o Digital Asset Management is an initiative. To avoid that the initiative doesn’t waste away
after the project is concluded, there must be somebody who takes ownership of this.
Imagine someone who, one and the same, works as CEO, CFO and Marketing Director
for the DAM initiative.
Appoint DAM Librarians
o A librarian is someone with vast knowledge of everything a library contains, how it’s
organized and not least someone you can ask for advice. You need a similar role with
your DAM initiative
o If your DAM owner is the one who makes sure that you do the right things, the librarian
is the one who makes sure you do them right.
Responsible for the
DAM Infrastructure
To avoid misunderstandings and a potential bottleneck, IT should be included in the project
from the beginning. IT has two responsibilities when DAM is implemented:
o Secure delivery of the IT service, i.e. make sure that servers, software, backup and
support to users work.
o Contribute to the design of the solution, i.e. make sure that the solution has appropriate
capacity, performance and availability.
Project Manager
o Assign a project manager that leads the entire project, including both the project
organization of the consultant and your own resources
Project Steering Group
o The project manager also needs someone to turn to when problems occur, such as
additional costs or problems freeing up resources
o Appoint a steering group and make certain that they’re authorized to make decisions
regarding the finances and access to resources for the project

TYPES OF DAM SOLUTIONS

o Single-user solutions are the operating system’s file systems and basic programs like iPhoto, iView
Media Pro, or ThumbsPlus for image files.
o They can be implemented even for larger companies if there is only one person managing the assets.
They don’t provide teamwork features and are subject to manipulation and data loss due to mistakes in
operation.
o Workgroup solutions store all assets on a central server. This makes access control, centralized
backup, and sharing possible and easy.
o Most solutions in this category are media libraries like Portfolio Server and Cumulus. They store media
assets, enable simple ingestion into the system, provide powerful search functions, metadata entry,
and export of custom catalogs.
o Enterprise solutions are systems that manage all kinds of assets in a whole enterprise, often with
offices scattered around the world.
o torneys review agreements, accountants work on spreadsheets, managers edit reports, quality
assurance staff write checklists, human resources managers provide promotion guidelines, designers
create brochures, and so on—virtually all assets can be managed by such systems.
o E-commerce solutions comprise a special subcategory. They have to serve thousands of users at the
same time, provide the customers the information they want, and process their orders.
o If the assets themselves are sold to the users—for example, images, music, videos, or software—the
system has also to provide the possibility for the customer to receive the assets bought.

Before investing time in the implementation or testing of the DAM system, make sure that you know what you
actually need
Look at your requirements and the specifics of the system that you want to use. Here are some important questions to
consider beforehand:
Most importantly, make sure that the ownership of maintaining the system is clearly defined. If there is a problem with
the system, everyone should know who to contact so there is minimal work time wasted.
What kind of system do you want to use?
Who is going to use it?
How is it going to be used?
What do you need to run the system you want to use?
Who is responsible for maintaining the system?

TESTING

Executing the Test
While the test is running, frequently synchronize everyone on
the testing team and ask how it’s going—is anything going
wrong, or are any expected features missing?
Some users tend to hold back comments until specifically asked for
information
To help the users in evaluating the system, conduct short meetings
to discuss these kinds of issues
Different perspectives help clear up confusing areas and can be
considered when drawing conclusions
There are two approaches to getting good feedback: you can either
talk to each user directly or have small meetings with all users

To prepare the team,
there are several things
that can be done:
Educate the Administrators
System administrators are extremely important to any DAM system. Since the aim of a DAM system should always be to
centralize the data, it is crucial that the data is secure and always available. The easiest way to start getting real-world
information to your administrator is to obtain an extensive training package from the software vendor or from resellers of the
software. In these training packages, administrators should receive information on what kind of problems can occur and how to
resolve them
Introduce the System to the Team
When introducing a new system, all users need to learn enough about the system to at least get started using it. No user will
pick up a handbook and start reading unless they are extremely motivated or bored, so make sure to provide the basics and
also pointers to further information they may find more interesting (or need desperately) later
Provide Guidelines for System Usage
In the introductory session, you should provide an idea how the system is to be used. This can include anything such as
outlining simple naming conventions for the files or giving a detailed directory structure that should be used
Train “super-users” for each Team
A very good way to support all your teams is to make sure that there is at least one person in each team who really knows the
product. This is usually much more efficient than giving everyone extensive training. Each type of user has very different
requirements and different workflows
Conduct User Meetings
During the introduction phase of the DAM system, getting the user’s feedback is important. This gives everyone a chance to
talk about what they think is going wrong or what needs improvement. Don’t make these meetings too long—if users want to
discuss specific aspects of the software that don’t affect everyone else, have one-on-one meetings with them

Depending on the type of project you are working on, there may be a high potential for
process automation and optimization
While this is not necessarily something to worry about from the start, it is one of the ideal ways to profit from a
DAM system
Use Metadata
Many DAM systems offer
metadata storage. Metadata can
be used to provide the users and
the system with information about
the assets stored in the database.
The most common example is
EXIF information stored in images
made by digital cameras.
Automate Repetitive Tasks
Repetitive tasks are the first thing that can be automated once you have a well-defined data structure.
Imagine that you are creating textures for 3D visualization. This is typically done in a 2D application such as
Photoshop and the result is then exported to the format of the 3D engine being used.

To avoid that the initiative doesn’t waste away after the project is concluded, there must be somebody who takes ownership of this. Imagine someone who, one and the same, works as CEO, CFO and Marketing Director for the DAM initiative. They store media assets, enable simple ingestion into the system, provide powerful search functions, metadata entry, and export of custom catalogs. o Enterprise solutions are systems that manage all kinds of assets in a whole enterprise, often with offices scattered around the world. o torneys review agreements, accountants work on spreadsheets, managers edit reports, quality assurance staff write checklists, human resources managers provide promotion guidelines, designers create brochures, and so on—virtually all assets can be managed by such systems. o E-commerce solutions comprise a special subcategory. The easiest way to start getting real-world information to your administrator is to obtain an extensive training package from the software vendor or from resellers of the software. In these training packages, administrators should receive information on what kind of problems can occur and how to resolve them Introduce the System to the Team When introducing a new system, all users need to learn enough about the system to at least get started using it. No user will pick up a handbook and start reading unless they are extremely motivated or bored, so make sure to provide the basics and also pointers to further information they may find more interesting (or need desperately) later Provide Guidelines for System Usage In the introductory session, you should provide an idea how the system is to be used. This can include anything such as outlining simple naming conventions for the files or giving a detailed directory structure that should be used Train “super-users” for each Team A very good way to support all your teams is to make sure that there is at least one person in each team who really knows the product. This is usually much more efficient than giving everyone extensive training.
