This document summarizes a presentation on evaluating a reading support project in Botswana that utilized WhatsApp data. The project aimed to improve early grade reading through teacher training, coaching and materials. Due to COVID-19, coaches communicated with teachers virtually using WhatsApp groups. The evaluation team analyzed available WhatsApp data from 14 coaches qualitatively and quantitatively. Qualitative analysis involved reviewing messages and media for themes in coaching. Quantitative analysis included group sizes and frequencies of messages from coaches and influencers. Results showed group sizes ranged from 3 to 92 participants, with a total of 4,693 messages exchanged across 14 groups.

Academics and engagement data - learner analytics in the real worldJisc
Speaker: Linda Hanna, interim head of strategic projects, University of Essex.
Rolling out an institution-wide learner analytics system presents many challenges. System and data challenges abound, legal and ethical issues arise, and stakeholder engagement can feel like an uphill struggle.
The University of Essex is in the third year of a four-year project to introduce staff and student dashboards across all its departments and is ready to share some insights and experiences. Following a year-long pilot, the Learner Engagement Activity Portal (LEAP) is now being used by staff and students across multiple campuses. Now that student engagement information is at their fingertips, academic staff are being asked to understand and use this data to inform decisions about how to best support students and different models for using student engagement data in academic departments are emerging.
This session will give an overview of the Essex project, discuss how some of the many challenges have been overcome and highlight the need for developing the digital skills of academic staff to take advantage of the richer set of student data available via a learner analytics solution.

18. COVID-19 Pivot
6/2/2021 18
RSP instructed Coaches to use WhatsApp due to COVID-19
Coaches reported that they used WhatsApp to respond to
questions from teachers, to send out activities and other
education materials to assist teachers
“I have WhatsApp groups with my coaching teachers and my
LTSM schools teachers. I sent them a message every day.”
(Coach 9)
#gLocalEval2021 and Tag @KhulisaMS
19. Teacher Survey
But, RSP collected no monitoring data on this “virtual coaching”
via WhatsApp
The COVID-19 pivot was an important shift and Khulisa needed
to triangulate the data
#gLocalEval2021 and Tag @KhulisaMS
23. 23
Pivoted
• Projects pivot due to uncertainty
• WhatsApp is phased in
• Research/evaluation objectives did not
factor the data source in. e.g. pre
COVID-19
• Analytical/evaluation questions for the
data source are formulated on
inspection
First
approach . . .

33. Reasons why coaches couldn’t
provide WhatsApp Data
• Some coaches had already returned their
phone to the project implementer so they
couldn't access the chats anymore
• Other coaches had changed phones and
lost their history
• Another coach broke her phone

39. Analysis….
QUALITATIVE: THE QUALITY OF COACHING DURING LOCK DOWN
1. Date of Commencement? End date?
2. What are the conversations in the group? Dominant themes?
3. What kind of multi-media was shared?
4. Is there an influencer/champion?
5. What is the role of the coach, describe the coaching style?
39
#gLocalEval2021 and Tag @KhulisaMS
40. 6. How do the teachers respond to the group?
7. What is the purpose of the group? Does the group adhere to its objectives e.g.
Fidelity to material; coach communicates with teachers etc.?
8. How does the group respond to COVID-19 challenges?
9. Any other unique information?
40
Analysis….
#gLocalEval2021 and Tag @KhulisaMS
41. In practice?

Going through EVERYTHING . . .
Reading every line, keeping up with
the threads, looking out for any and
all information in the group, analysing
the shared files in chronology…
Disadvantages of pivoting…
#gLocalEval2021 and Tag @KhulisaMS
42. Sleuthing for…
• Time stamps
• Thematic, content and text analysis on the txt files e.g. recurring
words or topics, discussions related to the research; unique topics
e.g. COVID1-19; (Software? )
• Tonality: Formal v Informal
• Mediums shared: listening to voice notes, looking at the shared
pictures and document; chronology?
• How participants respond : interactive, short, vibrant
• How the admin/coach responds: facilitate and encourage discussions;
the culture they create within the group; conflict management.
42
#gLocalEval2021 and Tag @KhulisaMS
53. QUANTITATIVE ANALYSIS
7/9/2020 53
The analysis considered quantitative questions such as:
• The number of participants in the group?
• Influencers or champions?
• The frequency of the administrator coach’s interaction in the group?
• The frequency of the influencers?
#gLocalEval2021 and Tag @KhulisaMS
54. QUANTIFYING WHATSAPP
7/9/2020 54
1. Convert txt file into a structured data set
• Convert txt file into a structured data set that can be used for quantitative analysis
using Python, R or other stats package
• The txt file will be read as 2 columns:
• First column will contain the date
• Second column will contain the time, authors/senders and the message.
• Label the columns accordingly
• Split the second column into time, sender and message

57. QUANTIFYING WHATSAPP
7/9/2020 57
2. Clean the dataset
• Remove instances where a message reflects the group creation,
someone was added to the group, some left the group and message
was deleted
• Add new columns from the date column such as day of the week,
month, year, emoji, etc.
• Anonymize data
#gLocalEval2021 and Tag @KhulisaMS
58. QUANTIFYING WHATSAPP
7/9/2020 58
2. Clean the dataset: Standardize the text (cont.)
• Convert to lower case
• Take out punctuation
• Remove stop words
• Use stemming and lemmatization
#gLocalEval2021 and Tag @KhulisaMS
Stemming and lemmatization are methods used by
analysts to analyze the meaning behind a word.
Stemming uses the stem of the word while lemmatization,
the context in which the word is being used
59. QUANTIFYING WHATSAPP
7/9/2020 59
3. Quantitative analysis
• Number of messages sent by person (Week, Month, Year)
• Average number of words per messages
• Number of messages per day
• Wordcloud

67. COVID-19 Pivot - Findings
6/2/2021 67
Coaches reported that they would call teachers to try and offer
more support and guidance, but it was difficult to coach over the
phone
Coaches also reported that teachers were often unresponsive
Reportedly the cost of data became an issue:
“The interaction was there, but not that much. Mobile data
is a challenge. Some teachers said they didn't download
what I sent them because they don't have enough data.”
(Coach 9)

• Just telling colleagues to set up WhatsApp groups with their
beneficiaries is insufficient
• Provide guidance on rules of engagement
• Ensure consent and privacy is respected
• Decide if participants can be given data to post and receive resources
OR resources can be loaded on a zero-rated website
• Share resources/posts
• Identify influencers to engage further
• If an important intervention, ensure that you set up monitoring system
• Incorporate results into your data-driven decision making
