3. GAIN PF is the part of the IFMS (Integrated
Financial Management System)
It is an online Provident Fund Accounting
system
It minimises the reconciliation issues and
enhances the transparency .
The implementation of GAIN PF is as per
GO (P) No. 39/2016 Fin dtd 16.03.2016.
It is applicable w.e.f 01-04-2016
4. GAIN PF is applicable to the PF
accounts of all employees working in
the all aided institutions under the:-
Director of Collegiate Education (DCE),
Director of Technical Education (DTE),
Director of Higher Secondary Education
(DHSE),
Director of Public Instructions (DPI),
Director of Vocational Higher Secondary
Education (DVHSE),
Director of Panchayaths, Agriculture
Department, Homoeopathy Department and
Ayurveda Medical Education Department
5. All matters relating to Provident
Fund accounts of these employees
such as enrollment, maintenance
of accounts, issuing of credit cards,
submission and processing of loan
and closure applications, etc. are
to be done only through GAINPF
system with effect from
01.04.2016.

6. All Aided High Schools will have three
type of users :-
Individual User -- All Teaching and Non-
teaching staffs – for processing TA, NRA and TA
to NRA Conversion
Clerk -- for Scrutiny of application
HM -- for Forwarding of the application to
respective higher offices
7. All Aided LP/UP Schools will have two
type of users :-
Individual User -- All Teaching and Non-
teaching staffs -- for processing of TA, NRA and
TA to NRA Conversion
HM -- for Scrutiny and Forwarding of the
application to respective higher offices

Login with school user id and
password.
There will be 3 menus namely Home,
Settings and Reset Password
Select ‘Settings’ menu – click set
menu – select an employee (either
HM, clerk or SITC/Computer expert
staff) and Click Set Menu
Management Menu.
His/her name will appear at bottom
10. Login with PEN number of the admin
user/management user as user id and
date of birth password.
Select menu management – select
HM – tick the following check
boxes:-
Loan processing -Verification,
Approval Entry - Opening balance,
Ob loan,
Approval - Opening Balance.
Verification - Opening balance,
Ob loan,
11. Login with PEN number of the HM
as user id and date of birth as
password.
Select name of staff- Select Entry
menu and add Opening balance
based on the credit card of 2014-15 and
verify it.
(Subscription total, Refund total
after last credit card, Withdrawal
after last credit card total, Arrears to
be excluded from last credit card,
12. Remember the initial 4 steps by HM before
an employee can apply for loan:-
Entry menu--Opening balance,
Verification menu--Opening Balance
Entry menu--OB Loan
Verification menu--OB Loan
13. iNdividual user
Use SPARK PEN as user id and date of
birth as password and Login to GAIN PF
website.
Apply for KASEPF loan (TA, NRA &
Civersion of TA to NRA)
Submit the Manual application also till the
system is fully conversant with the credit
statement.
14. Clerk
Login with SPARK PEN and date of birth
Select menu -View the application
Check the loan application as per the laid
down rules
Verify with the application given by the
staff
Scrutiny the application
15. HM
Login with SPARK PEN and date of birth
View the application
Check the loan application as per the laid
