Setting the Stage
 The setting: Augustana College
 Brief history: Augustana Digital Commons
 Mission statement of the IR:
Augustana Digital Commons showcases outstanding
scholarly and creative works of the students, faculty,
and staff of Augustana College. By providing free and
open access to these unique materials, Augustana
Digital Commons connects the intellectual output of the
college with scholarship worldwide, thus contributing to
the formation of new knowledge. In addition, Augustana
Digital Commons preserves the college's history and
facilitates campus communication.

Identify key collaborators and
unique collections across campus
in order to build an IR that reflects
the institution’s mission and
culture.
Part I: Identify
Theatre department productions
Augustana Magazine
Campus governance documents
Teaching Museum of Art
Biology: M. ruber Genome Analysis project
Upper Mississippi Center for Sustainable
Communities
Prizewinning student papers
Intersections journal
Discuss
What part of your institutional mission and/or culture can you
tap into to help build/strengthen your IR?
What are the unique/special endeavors that are happening
on your campus that the IR can capture? Who on your
campus tend to be “early adopters”?
Who is involved in those projects, and how can you capture
their attention?
How can you prioritize among the many worthwhile
projects?
Activate librarians and key
collaborators as ambassadors
of the IR in order to coordinate
and expand outreach efforts.
Part II: Act
Examples from Augustana
 Outreach and Technical Coordinator roles
 Outreach to Admissions, Development, and
CORE
 Liaison librarians deployed
 Class upload workshops
 Registration for Celebration of Learning
 Friday Conversation for faculty
 Faculty retreat, Tech Fair, Viking Points
 Flyers, posters, bookmarks, “how to”
guides – and a mascot!
Discuss
What special “outlets” do you have where you can target a
specific group?
(Faculty retreat, new student orientation, workshop
series, grad school fair, information lunch series, etc.)
Who can help you convey the message and create energy
around the IR?
(Liaison librarians? Academic Affairs? Student
employment/internships/careers office? Individual
faculty members? Communication & Marketing? Students
who have published their work? Other?)
What are some creative or unusual ways to communicate
the IR that will catch people’s attention?
Celebrate evidence of success
in order to foster campus pride
in – and ownership of – the IR.
Part III: Celebrate & Reflect
Testimonials from students
Why should you publish your work in
Augustana Digital Commons? Just ask
Ninna or Dan!
Testimonials from faculty
“With Augustana Digital Commons, the students
completed their research papers and in one day all the
relevant work was uploaded. These student authors and I
get a report each month with the number of downloads
and where they came from.
Compared to previous years, students took
the project a lot more seriously because
they knew it would be published upon
completion. They produced amazing drafts
right from the start.”
--Dr. Lori Scott, Biology
Birthday Party Celebration
Statistics and Stories
Wow! Take a look at these numbers!
In the 20 months since the launch of Augustana Digital
Commons in August, 2015, 1900 pieces of work are available
and downloads exceed 38,000.
The most popular paper is:
When you publish your work in Augustana Digital Commons,
the whole world is your audience! Get in touch with a librarian
today and find out how to make it happen.
Discuss
What are aspects of your IR that are noteworthy and should be
publicized?
How can you best communicate the successes of the IR to
faculty and staff? To students? To upper administration?
Who are your biggest “champions” on campus, and how can
they help communicate your success? (Or, who has enjoyed
success as a result of participation with the IR, and how can you
harvest that positive experience to build more interest in the
IR?)
Moving Forward
 Reflect after each year:
 Priorities/Goals
 Team members
 Workflow
 Existing projects
 New opportunities

Academic Affairs? Student employment/internships/careers office? Individual faculty members? Communication & Marketing? Students who have published their work? Other?) What are some creative or unusual ways to communicate the IR that will catch people’s attention?
  • 17. Celebrate evidence of success in order to foster campus pride in – and ownership of – the IR. Part III: Celebrate & Reflect
  • 18. Testimonials from students Why should you publish your work in Augustana Digital Commons? Just ask Ninna or Dan!
  • 19. Testimonials from faculty “With Augustana Digital Commons, the students completed their research papers and in one day all the relevant work was uploaded. These student authors and I get a report each month with the number of downloads and where they came from. Compared to previous years, students took the project a lot more seriously because they knew it would be published upon completion. They produced amazing drafts right from the start.” --Dr. Lori Scott, Biology
  • 21. Statistics and Stories Wow! Take a look at these numbers! In the 20 months since the launch of Augustana Digital Commons in August, 2015, 1900 pieces of work are available and downloads exceed 38,000. The most popular paper is: When you publish your work in Augustana Digital Commons, the whole world is your audience! Get in touch with a librarian today and find out how to make it happen.
  • 22. Discuss What are aspects of your IR that are noteworthy and should be publicized? How can you best communicate the successes of the IR to faculty and staff? To students? To upper administration? Who are your biggest “champions” on campus, and how can they help communicate your success? (Or, who has enjoyed success as a result of participation with the IR, and how can you harvest that positive experience to build more interest in the IR?)
  • 23. Moving Forward  Reflect after each year:  Priorities/Goals  Team members  Workflow  Existing projects  New opportunities

Editor's Notes

  1. ●The setting at Augustana College ●Brief history of Augustana Digital Commons (new dean who understood digital repositories, losing materials initially created in digital format, Senior Inquiry, implementation of CORE) ●Start with mission statement: Augustana Digital Commons showcases outstanding scholarly and creative works of the students, faculty, and staff of Augustana College. By providing free and open access to these unique materials, Augustana Digital Commons connects the intellectual output of the college with scholarship worldwide, thus contributing to the formation of new knowledge. In addition, Augustana Digital Commons preserves the college's history and facilitates campus communication.
  2. We feel the mission for Augustana Digital Commons ties strongly with Augustana’s student learning outcomes, particularly in the areas of Understand, Communicate and Wonder. As we developed Augustana Digital Commons, it was clear to us that we would need to move forward in three separate ways to build awareness, momentum and staying power. As we move forward today, we break our workshop into three sections giving a brief overview of what we did, but then allow you to discuss some questions at each of your tables and give you the opportunity to share them with the group. We are providing handouts that will aid you in these discussions.
  3. Part I: Identify Identify key collaborators and unique collections across campus in order to build an IR that reflects the institution’s mission and culture. Examples of “ripe” targets at Augustana College
  4. Theatre productions: A new theatre opened this year, so we wanted to capitalize on the excitement and energy around the project by sharing photos, production details, programs and publicity with each production. This will be the archive for all productions moving forward and accessible to alumni who want access to these materials.
  5. Augustana Magazine: didn’t have a web-friendly presence, and new college website is in the works. A member of our Development Office asked if it would be more accessible as a browsable magazine in Augustana Digital Commons, so we have it set up in this way.
  6. Campus governance documents to facilitate sharing information. This is also the archive for weekly faculty newsletters going back about 35 years, for future researchers.
  7. Augustana Teaching Museum of Art: new director with interest in a digital presence and engagement with students in new ways; archive for exhibitions and items from permanent collection; tied to student learning outcomes for the college.
  8. Biology: M. ruber Genome Analysis Project The goal of this project is to develop M. ruber into a model organism for incorporating research in genome analysis into the curriculum of our individual undergraduate programs. Undergrad student research projects needed a platform to be published and shared.
  9. Upper Mississippi Center for Sustainable Communities: partnerships with local organizations and cities, involve student research and community collaboration. Augustana Digital Commons acts as conduit by which the completed reports, maps, and data are shared with community partners and the public.
  10. Prizewinning student papers: In the past, winners were announced, but there was no way to save and distribute them; publication as a reward for these high achieving students and an opportunity to share their work with a world wide audience.
  11. Intersections journal: journal of ELCA colleges and editor is at Augustana. We have the entire 43 year run archived in Augustana Digital Commons.
  12. Your institution: Questions for discussion Identify key collaborators and unique collections across campus in order to build an IR that reflects the institution’s mission and culture. What part of your institutional mission and/or culture can you tap into to help build/strengthen your IR? What are the unique/special endeavors that are happening on your campus that the IR can capture? Who on your campus tend to be “early adopters”? Who is involved in those projects, and how can you capture their attention? How can you prioritize among the many worthwhile projects?
  13. Part II: Act Connie: Activate librarians and key collaborators as ambassadors of the IR in order to coordinate and expand outreach efforts.
  14. Examples of methods of outreach efforts at Augustana College: Outreach Coordinator setting up meetings, sending campus wide emails, organizing publicity efforts / Technical Coordinator working on building the site and developing workflow Outreach Coordinator worked with Admissions, Development, and CORE in summer before launch to identify ways the IR could partner with them Liaison librarians deployed to their academic departments (division meetings, personal correspondence, etc.) Class upload workshops Registration for Celebration of Learning goes through Augustana Digital Commons Friday Conversation held early in the year to discuss the landscape of scholarly publishing, why the college invested in an IR, and introduce DC Faculty retreat, ITS Tech Fair, Viking Points Flyers, posters, Jorge the dragon, bookmarks, “how to” guides
  15. Your Institution: Questions for discussion Connie: Activate librarians and key collaborators as ambassadors of the IR in order to coordinate and expand outreach efforts. What special “outlets” do you have where you can target a specific group? (Such as a faculty retreat, new student orientation, workshop series, grad school fair, information lunch series, etc.) Who can help you convey the message and create energy around the IR? (liaison librarians? Academic affairs? Student employment/internships/careers office? Individual faculty members? Communication & Marketing? Students who have published their work? Other?) What are some creative or unusual ways to communicate the IR that will catch people’s attention?
  16. Part III: Celebrate and Reflect Celebrate evidence of success in order to foster campus pride in – and ownership of – the IR.
  17. Examples of building on success in order to garner more involvement in the IR at Augustana College: Capturing testimonials from students whose publication had a personal impact, including the video of students talking about the benefits they’d already experienced by publication in Augustana Digital Commons.
  18. Testimonial from faculty (Lori Scott)
  19. Party a couple weeks before Celebration of Learning event to celebrate the one-year birthday of Augustana Digital Commons. About 200 people stopped by for cake and learned more about submitting their work to the repository.
  20. Sharing download statistics, number of items, countries involved, in e-mail announcements, division meetings, and library blog posts.
  21. Your institution: Questions for discussion Connie: Celebrate evidence of success in order to foster campus pride in – and ownership of – the IR.   What are aspects of your IR that are noteworthy and should be publicized? How can you best communicate the successes of the IR to faculty and staff? To students? To upper administration? Who are your biggest “champions” on campus, and how can they help communicate your success? (Or, who has enjoyed success as a result of participation with the IR, and how can you harvest that positive experience to build more interest in the IR?)
  22. Part IV: Moving Forward Evaluating after each year, priorities, re-evaluate team/workflow balance, where is your momentum, what areas are underrepresented?
