Best practice storage methods
Maintain Moisture Levels: Maintain a humidity level between 35 –55 percent in all paper handling
and storage areas to avoid issues caused by fluctuating moisture levels. You can use humidifiers
or dehumidifiers to control the environment in smaller rooms, but larger rooms, like warehouses,
can be more challenging.
Beat the Heat: Humidity is important, but so is temperature. Paper should be stored in a controlled
atmosphere, preferably at a temperature between 68 and 76 °F, whether that’s in a warehouse, an
office or a press room. It also should be stored out of direct sunlight, which can impact the
temperature of the paper as well as the colour.
Protect the Packaging: Try to maintain consistent temperatures and humidity levels in all paper
storage and handling areas, even when the business is closed.
Lay It Flat: In addition to keeping paper wrapped in its original packaging, printers also should
store reams flat rather than on end. Not only can this protect the packaging, but it can also help
prevent buckling or other edge damage.

The importance of routine printer maintenance cannot be
overstated. Poor print quality and printer downtime negatively
affects your users and your budget, from lost productivity and
frustration, to reprinting costs that can really add up in terms of
wasted resources (toner & paper).
○Routine printer maintenance is just like your car’s 3500 mile oil
change. Like your car, your printer needs routine maintenance
to reduce the risk of a breakdown. A good rule for a
maintenance kit and fuser with every 6th toner replacement for
optimal performance.

Record keeping practices
All records require a basic level of security to ensure their authenticity and integrity. Records with
security classifications, or containing sensitive information, should be handled, protected, stored and
disposed of according to NSW Government requirements and the Australian Government Protective
Security Policy Framework.
Only authorised users should be able to access records.
The staff working in storage areas, should be aware of their responsibilities regarding security and
have appropriate security clearances.
Building security risk assessment should be undertaken to identify and mitigate security risks and to
develop a security plan for the storage facility and storage areas. At a minimum, records storage
areas and facilities should be intruder resistant, monitored with perimeter alarms and ‘back to base’
systems, CCTV, and access controls. This can be achieved by using entry controls, perimeter and
intruder detection alarms.
It is important that security monitoring of storage areas and facilities is audited or monitored, to
ensure that security measures are working correctly. 17
Filing systems procedures
Once a Flinders lawyer is retained by a client, the work team must create a file for that client.
Standard procedure for starting a new file is as follows:
1.Procure a new according file folder.
2. Add the client's name by either writing it with a black marker or by adding a typed label.
3. Within the accordion file folder should be added a manila folder. Inside this folder a copy of
the retainer check, any notes the attorney made during the initial consultation, and contact
information for the client (phone, business address and number, and home address).
Additionally, add originals or copies of any correspondence brought to the office by the client
pertaining to the matter.
4. Leave this file available for the day in the event that your attorney would like to add more to
it before filing. If, at the end of the day it is not needed, file it in whatever manner is standard in
your particular office.

Documents contained within a client's file should always be considered private no matter how
minor the matter or case. As a professional, it is important that you keep the contents of any file
under the strictest confidence.
You will be privy to a great deal of information that is not for general consumption, so you
should always keep in mind that your job requires you to maintain the confidentiality of your
attorney's clients.
This means you should never disclose, share, discuss, or gossip about a case or matter being
handled by your boss, nor should you discuss the matter with the client directly unless your job
requires you to do so.

Best practice storage methods Maintain Moisture Levels: Maintain a humidity level between 35 –55 percent in all paper handling and storage areas to avoid issues caused by fluctuating moisture levels. You can use humidifiers or dehumidifiers to control the environment in smaller rooms, but larger rooms, like warehouses, can be more challenging. Beat the Heat: Humidity is important, but so is temperature. Paper should be stored in a controlled atmosphere, preferably at a temperature between 68 and 76 °F, whether that’s in a warehouse, an office or a press room. It also should be stored out of direct sunlight, which can impact the temperature of the paper as well as the colour. Protect the Packaging: Try to maintain consistent temperatures and humidity levels in all paper storage and handling areas, even when the business is closed. Lay It Flat: In addition to keeping paper wrapped in its original packaging, printers also should store reams flat rather than on end. Not only can this protect the packaging, but it can also help prevent buckling or other edge damage. 14
  • 13. Routine maintenance ○ ○ The importance of routine printer maintenance cannot be overstated. Poor print quality and printer downtime negatively affects your users and your budget, from lost productivity and frustration, to reprinting costs that can really add up in terms of wasted resources (toner & paper). ○Routine printer maintenance is just like your car’s 3500 mile oil change. Like your car, your printer needs routine maintenance to reduce the risk of a breakdown. A good rule for a maintenance kit and fuser with every 6th toner replacement for optimal performance. 15
  • 15. Record keeping practices All records require a basic level of security to ensure their authenticity and integrity. Records with security classifications, or containing sensitive information, should be handled, protected, stored and disposed of according to NSW Government requirements and the Australian Government Protective Security Policy Framework. Only authorised users should be able to access records. The staff working in storage areas, should be aware of their responsibilities regarding security and have appropriate security clearances. Building security risk assessment should be undertaken to identify and mitigate security risks and to develop a security plan for the storage facility and storage areas. At a minimum, records storage areas and facilities should be intruder resistant, monitored with perimeter alarms and ‘back to base’ systems, CCTV, and access controls. This can be achieved by using entry controls, perimeter and intruder detection alarms. It is important that security monitoring of storage areas and facilities is audited or monitored, to ensure that security measures are working correctly. 17

Standard procedure for starting a new file is as follows: 1.Procure a new according file folder. 2. Add the client's name by either writing it with a black marker or by adding a typed label. 3. Within the accordion file folder should be added a manila folder. Inside this folder a copy of the retainer check, any notes the attorney made during the initial consultation, and contact information for the client (phone, business address and number, and home address). Additionally, add originals or copies of any correspondence brought to the office by the client pertaining to the matter. 4. Leave this file available for the day in the event that your attorney would like to add more to it before filing. If, at the end of the day it is not needed, file it in whatever manner is standard in your particular office. 18
  • 17. Security and recording practices Documents contained within a client's file should always be considered private no matter how minor the matter or case. As a professional, it is important that you keep the contents of any file under the strictest confidence. You will be privy to a great deal of information that is not for general consumption, so you should always keep in mind that your job requires you to maintain the confidentiality of your attorney's clients. This means you should never disclose, share, discuss, or gossip about a case or matter being handled by your boss, nor should you discuss the matter with the client directly unless your job requires you to do so. 19
  • 19. Work health and safety requirements The policies apply to staff, contractors, other workers and customers. They outline the objectives and duties of the department as well as the duties of all: -Staff and other workers -Officers -Other people.
