This document discusses MeetMe, a tool for scheduling and controlling Cisco Telepresence meetings. It allows employees to easily schedule meetings through Outlook or a web calendar, selecting participants and reserving audio/video ports and meeting rooms. The meeting organizer receives a link to control the meeting, adding or removing participants, muting microphones, and changing layouts. When scheduling, MeetMe considers the availability of Telepresence resources like ports and servers. It also enables secured meetings and confirmation of privileged meetings. MeetMe benefits include easier scheduling without engineers and control by organizers without assistance.

MeetMe offers your employees an easy to use interfaces to schedule TelePresence
meetings MS Outlook plug-in or web-calendar:
 while scheduling the meeting an employee selects participants (specifying the type of
connection – audio/video/room) reserves meeting rooms and additional audio/video ports;
 participants get the invitation email containing connection details;
 the meeting is created on MCU.

3. Conference Control Interface
Meeting organizer receives the link to conference control interface. Just one click and without any
authentication he is allowed to control the meeting with his tablet or notebook:
Meeting control features include:
add/remove conference participants (convenient directory, URI and IP calls support)
mute/unmute mics;
control any endpoints’ camera;
change conference layout;
delegate meeting control to another participant.

4. Cisco Telepresence Resources Reservation
When scheduling a conference the MeetMe product considers the availability of the following
Cisco Telepresence resources:
audio/video ports – in case there is not enough audio/video ports available, the user will be
offered to choose another time for the meeting;
Cisco Expressway ports – to limit the number of external video-connections;
Telepresence MCU – choose which Telepresence servers are available for everyone to
schedule the meeting, and which ones – for privileged employees only.
In addition, MeetMe manages:
secured meetings – when planning the secured conference, only endpoints of the secured
sub-network can be added;
meeting confirmation – each scheduled meeting may require the supervisors’ confirmation
to be hosted on MCU.
