This document discusses architecture and governance for a UC Office of the President SharePoint implementation. It describes two governing tracks - a Governance Board and Information Architecture Team. The Governance Board is responsible for meeting goals, while the Information Architecture Team implements approved features and keeps deployment on track. It also outlines roles for an executive sponsor, business owners, administrators and users to define responsibilities and manage the environment. Finally, it discusses developing policies, processes, technologies and deployment strategies to ensure success.
Architecture Board & Governance- Key to Running IT as Business. Aligning Business Strategy with IT. Agenda. Goals & Objectives; Enterprise Architect Role ...
EA governance is the practice by which enterprise architectures are managed and controlled at an enterprise-wide level. Governance processes should be tailored to the particular environment of the organization, as well as the architectural goals and objectives of that organization, and should never hinder time to market. A centralized governance body can facilitate and drive key functional and architectural decisions across the primary internal stakeholders to ensure that the enterprise architecture addresses customers’ needs.
The presenter has implemented numerous EA governance organizations. As part of a major pharmaceutical distribution company’s corporate-wide SOA adoption program, he adapted the basic governance frameworks such as TOGAF to the organization and the objectives of the SOA adoption program. This session will examine the processes that were used to create an EA Governance organization at a major energy company and lessons learned at this company, as well as at other organizations.
A Framework for Developing IoT-related Solution Architecture BlueprintsStefan Malich
Smart, connected products enable digital transformation but also entail challenges related to complexity, operational disruption, security, etc. An incremental approach guided by an IoT-related strategy and target architecture is key to address these challenges. I propose a library of IoT-related solution architecture blueprints can be used to guide the development of target architectures and architectural roadmaps. The framework (which is described in a Slidedoc format) is considered only as a starting point. It provides a holistic view on the IoT (or smart, connected products) space and structures the set of solution architecture blueprint based on a maturity model for smart, connected products and different IoT-related domains.

Shadow IT And The Failure Of IT ArchitectureAlan McSweeney
The continued existence and growth of shadow IT gives IT architecture the opportunity show leadership. IT architecture can be the gateway for business IT solution requirements, from initial solution concept through to solution realisation.
Shadow IT is a set of reactions by business functions to an actual or perceived inability or unwillingness of the IT function to respond to business needs for IT solutions. There are many aspects of shadow IT:
• Shadow Projects
• Shadow Data
• Shadow Sourcing
• Shadow Development
• Shadow Solutions
• Shadow Support Arrangements
Shadow IT takes many forms and types
1. CUST – customised solution developed by a third-party
2. DEV – personal devices used to access business systems or authenticate access to hosted solutions used for business
3. DIY – end-user computing application developed by the business
4. HOME – organisation data sent to home devices to be worked on
5. MSG – public messaging and data exchange platforms
6. OPEN – open-source software used as a stand-alone solution or incorporated into other solutions
7. OUT – outsourced service solution
8. PROD – software product acquired by the business and implemented on organisation infrastructure
9. PUB – accessing organisation applications and data using public devices or networks
10. STOR – public data storage and exchange platforms
11. SVC – hosted software solution
Uncontrolled shadow IT represents a real risk to organisations. The experience from previous shadow IT examples is that they have resulted in real financial losses. IT architecture can and should take the lead in implementing structures and processes to mitigate risks while taking maximising the benefits of shadow IT.

Solution Architecture Centre Of ExcellenceAlan McSweeney
This is an extract from the book An Introduction to Solution Architecture (https://www.amazon.com/dp/1797567616) that discusses the topic of a Solution Architecture Centre Of Excellence.
The solution architecture function should aspire to be a Solution Architecture Centre Of Excellence (SACOE). This is concerned with developing a mature function that is highly-skilled at solution architecture and design and provides solution and consulting leadership to the organisation.
Developing an SACOE requires vision and resources of both the solution architecture function and information technology management.
The solution architecture function has the capability to develop both the business insight and solution and technology expertise to act as the business/technology authority and be the bridge between the business and technology domains of the organisation.
Structured Approach to Solution ArchitectureAlan McSweeney
The role of solution architecture is to identify answer to a business problem and set of solution options and their components. There will be many potential solutions to a problem with varying degrees of suitability to the underlying business need. Solution options are derived from a combination of Solution Architecture Dimensions/Views which describe characteristics, features, qualities, requirements and Solution Design Factors, Limitations And Boundaries which delineate limitations. Use of structured approach can assist with solution design to create consistency. The TOGAF approach to enterprise architecture can be adapted to perform some of the analysis and design for elements of Solution Architecture Dimensions/Views.

Many who have entered the young profession of IT Architecture have done so through a ?back door.? One can enter by virtue of lots of IT experience, but sooner or later that person will hit the wall as the challenges and expectations of the position set in. Iasa?s structuring of the IT architecture profession--Five Pillars, certifications, and professional development activities--help you see what you?ve been good at, what you?ve been averse to, and what you?ve not accepted as part of the job but really was. For individual practitioners, understanding this is energizing. For companies, having an architecture organization that consists of knowledgeable, energized staff who work under clearly defined roles and responsibilities can be the difference between success and failure. Hear about opportunities for individuals and companies to leverage the wealth of resources Iasa offers and be part of its work to move the profession forward.

The SharePoint Governance Plan is a guidebook outlining the administration, maintenance, and support of X Corporation’s SharePoint environments. It identifies lines of ownership for both business and technical teams, defining who is responsible for what areas of the system. Furthermore it establishes rules for appropriate usage of the SharePoint environments.
An effective governance plan ensures the system is managed and used in accordance with its designed intent to prevent it from becoming an unmanageable system. The management of an enterprise-wide system involves both a strategic, business-minded board to craft rules and procedures for the use of the system and also a tactical, technically-competent team to manage the routine operational tasks that keep the system running. Users of the system will be empowered by a support and developer community sponsored by the business leaders.
The primary goals of this project are to:
1. Create the people infrastructure to govern and support the SharePoint environments
2. Document initial governing policies and procedures of the SharePoint environments
3. Communicate the need for the business to provide support via people resources.

While generic in nature, there are some components of SharePoint (MOSS 2007) that require specific consideration, and are discussed and addressed by the interviewed subject matter experts and the included case studies.
In particular, the powerful Team Site features and easy deployment features (Site Collections) of SharePoint make it even more demanding of a rigorous plan and detailed governance model. While intranet governance provides clarity and rules: namely the titles, roles and responsibilities of its owners, managers, stakeholders and contributors.
Sadly, very few organizations actually have a well-defined governance model, and many of those have spent hundreds-of-thousands to millions of dollars on their website or intranet – amounting to extraordinary investments left to chance and execution on a whim.

Search and Society: Reimagining Information Access for Radical FuturesBhaskar Mitra
The field of Information retrieval (IR) is currently undergoing a transformative shift, at least partly due to the emerging applications of generative AI to information access. In this talk, we will deliberate on the sociotechnical implications of generative AI for information access. We will argue that there is both a critical necessity and an exciting opportunity for the IR community to re-center our research agendas on societal needs while dismantling the artificial separation between the work on fairness, accountability, transparency, and ethics in IR and the rest of IR research. Instead of adopting a reactionary strategy of trying to mitigate potential social harms from emerging technologies, the community should aim to proactively set the research agenda for the kinds of systems we should build inspired by diverse explicitly stated sociotechnical imaginaries. The sociotechnical imaginaries that underpin the design and development of information access technologies needs to be explicitly articulated, and we need to develop theories of change in context of these diverse perspectives. Our guiding future imaginaries must be informed by other academic fields, such as democratic theory and critical theory, and should be co-developed with social science scholars, legal scholars, civil rights and social justice activists, and artists, among others.

Epistemic Interaction - tuning interfaces to provide information for AI supportAlan Dix
Paper presented at SYNERGY workshop at AVI 2024, Genoa, Italy. 3rd June 2024
https://alandix.com/academic/papers/synergy2024-epistemic/
As machine learning integrates deeper into human-computer interactions, the concept of epistemic interaction emerges, aiming to refine these interactions to enhance system adaptability. This approach encourages minor, intentional adjustments in user behaviour to enrich the data available for system learning. This paper introduces epistemic interaction within the context of human-system communication, illustrating how deliberate interaction design can improve system understanding and adaptation. Through concrete examples, we demonstrate the potential of epistemic interaction to significantly advance human-computer interaction by leveraging intuitive human communication strategies to inform system design and functionality, offering a novel pathway for enriching user-system engagements.

4. SharePoint Governance SharePoint governance uses roles and responsibilities, policies, process, and technology to clarify ambiguity, manage UCOP goals, and ensure overall long-term success of your SharePoint environment. In addition, a solid deployment strategy brings IR&C all together.
5. Roles and Responsibilities Executive Sponsor. Provides executive-level sponsorship for SharePoint. The primary responsibility of the Executive Sponsor is strategic, positioning SharePoint as a critical mechanism for achieving business value and helping to communicate the value of the SharePoint environment to the management levels of the organization.
6. SharePoint Governance Board. Serves as a governing body with ultimate responsibility for meeting the firm’s goals with respect to SharePoint. This board typically comprises representatives of each of the major businesses represented in SharePoint.
7. Information Architecture Team. Often called the Deployment Team, this group will meet on a concurrent track with the Governance Board, drilling down into technical issues, implementing products and features raised through user discovery and approved by the Governance Board, keeping the overall deployment on track
8. SharePoint Business Sponsor. Manages the overall design and functionality integrity of SharePoint from a business perspective. The SharePoint Business Owner doesn’t have to be an IR&C expert, but the job function typically includes responsibility for internal communications, intranet portals, external communications, and external portals.
9. SharePoint Central Administrator. Manages the overall design and functionality integrity of the SharePoint farm from an IR&C perspective. Ensures the technical integrity of the solution. Makes regular backups of the portal and its content. Also may set up and maintain the security model, especially the components in Active Directory
10. Site Collection Administrator. Serves as the centralized, primary role for ensuring that settings for the site collection are configured properly. The Site Collection Administrator needs deep training on SharePoint and must understand the business need for the site collection.
11. Site Administrator. Serves as the centralized, primary role for ensuring that content for a particular site is properly collected, reviewed, published, and maintained over time. 15. SharePoint Policies Policies define the UCOP fundamentals, such as what site owners and developers must/must not or should/should not do. Policies typically include items such as what can/cannot be posted, how security must be managed, and developer change-control mandates. Policies typically are developed by the SharePoint solutions team, which must include representatives from both the technology and business stakeholder communities.
16. Policy Considerations At what level does the UCOP enable self-service? Can users create their own sites or are they IR&C-provisioned? When does IR&C perform actions on behalf of users? What quota should be allowed? How will data or sites be expired?
17. What customizations/development will UCOP allow? Can users modify web parts on team sites? Can they modify web parts on pages that are part of the corporate intranet publishing portal? Will some web parts be "fixed" on the page, or will page owners be allowed to customize all of the content on their pages?
18. Who is allowed to set up or request site-wide content types or site columns? How much central control do you want to have over the values in site columns? What is the right way to add permissions? By user? AD group? SharePoint group?
19. Multi-Tiered Service It may make sense to support multiple tiers of service, each having a different set of policies.
21. Processes Examples include the steps used by IR&C to create a new site, the process by which development teams add custom web parts to the production environment, or the steps that users should take to update Internet content. As an example, you might want to define a methodology for team-based SharePoint development that combines custom code and managed content with steps on how those updates will get into production
