As collections become predominantly digital, the needs for managing and providing access to a library's holdings have changed. As a result, the management practices and workflows librarians employ must also evolve. ProQuest believes it's time for systems to transform by adopting a new model in library automation. Join Jane Burke, Michelle D'Couto and three Intota development partners as they discuss new functionality, as well as key findings from the implementation of this Library Services Platform.

Next Steps of Transformation
20. Transform the economics of your technology
Transform how you deliver services to users
Transform the way you work
Our Goal: Transform Your Library
Editor's Notes
So, it’s time to look at things differently. Address your biggest challenges RIGHT NOW to make the biggest impact. Then, as you transform, you deploy systems that fill and address your biggest needs. Our phased deployment lets you solve the most urgent problems of assessment and e-resource management first. Then you can migrate older workflows to a streamlined solution as you wish.
V
Modern users are demanding access to content in different ways and this has resulted in a shift in collections libraries are building.
This is data from the National Center for Education Statistics and it illustrates the shift from print to electronic in collections. You can see that we have reached the “tipping point” where a small percent of collections budgets are spent on print.. Your print collection is still important, especially as a research collection, but electronic outweighs print in terms of time and priorities for support . You need to focus on your future and transform how you manage your collections.
Questions for audience:
What percentage of your current acquisitions budget is spent on electronic content?
What percentage of you staff time is spent on supporting the management of electronic content?
What percentage of your systems budget supports your workflow for electronic materials?
Most of your budget is spent on electronic resources
Right now, managing electronic resource lifecycle is probably separated from your work with the print collection. Often it is also more work than print – and it should be simple – no need to do physical processing, manage backlogs of physical materials, But systems don’t support electronic resources well so it’s inordinately complex. Without the right systems, libraries need multiple spreadsheets and tracking mechanisms to manage an annual lifecyle.
And emerging acquisition models like DDA are another separate workflow, one that you often struggle to support.
Discovery and assessment of these electronic materials is increasingly key to how your success is defined. On top of that, users expect, no demand, instant access to materials and one of your goals is to support your users needs.
Libraries need a new direction rather than a road that leads them to simply add the new into their old workflows.
First, the Knowledgebase…
The knowledgebase offers you efficiency and supports all of Intota.
It includes rich, comprehensive descriptive information with provider details to make resources easier to discover, manage, and assess.
It gives you the opportunity to make content easy to for you and your users to identify and access
Save time and reduce the steps required to keep resource management data current because we work in the background to continuously update title, database, and coverage details in the KB for you.
Easily Provide a deeper understanding of the scope and quality of individual resources, collections, and providers with reviews, recommendations, and other unique metadata.
When you update the knowledgebase with your holdings, all Intota services are updated with the same information. You don’t need to struggle with disparate systems.
Intota takes advantage of our vast ERM experience starting at Serials Solutions and into ProQuest. We’ve built on what we already offer through 360 resource manager and have created a reimagined platform that integrates seamlessly with discovery and assessment tools.
Key benefits are:
You can greatly reduce the manual effort of managing your electronic resources.
No manual creation of title lists and providers
No need to enter ebooks title by title into your system
You don’t need to load and unload bibliographic records to make resources visible – especially important for DDA
You don’t have to deal with complicated spreadsheets
Our library of license templates reduces your data entry effort.
Streamline your staff communication – supports each stage of the electronic resources workflow - Built-in workflow tools make it easier to simplify and control the selection, acquisition, and renewal of resources. - You can customize the administrative interface, track subscription status, set alerts for renewals and status changes, and use a renewals feature.
Implement quicklyIntegrated with the knowledgebase so your holdings are automatically updated in your discovery layer
Advanced DDA & ebook support
Automated holdings management is the key to workflows moving forward.
We automate holdings with EBL and ebrary so that rather than you having to update the ERM and Knowledgebase, they send holdings directly to us.
This is ESPECIALLY important with DDA workflows and applicable for any evidence based use acquisition workflow (I’ll talk more about this in detailed slides)
Here, with non-owned titles you want to make visible with DDA, we expose them in the discovery layer automatically based on what your provider sends us.
Then, when a title is purchased, those holdings are sent to us so we can update status – owned or non-owned in the ERM and knowledgebase.
This is not only a great timesaver for workflow, but allows access to these titles much faster than if manually processing so you can meet your users needs.
Integration with Discovery & Assessment
As we’ve discussed a key component is how everything fits together.
Designed for you - One of the biggest impacts is the new Intota ERM user interface. It’s easy to use and intuitive, reducing training time for staff and making your experience more enjoyable.
Some other ERM functionality to note in this release are:
License management
Reporting and analysis tools – easily export contact info, perform simple analysis on use, identify ROI
Subscription and renewal support
Consolidate and organize your subscription data in one place
Automate renewals
Track status
Alerts
Cost and fund code tracking
a. Allows you to enter amounts paid for a resource and associated fund codes.Integrates seamlessly with Assessment to provide full cost per use for all of your e-resources.
Provides fund tracking for your e-resources in ways that your ILS can’t
Add multiple-payment information to resources at any level: collection, provider, database, or title.
Cost is used in generation of cost-per-use metrics in Assessment
Include fund names or codes to track payment distribution.
Dda/emerging models
Need a comparative slide for those that already have an ERM (though us, III, etc.)
With The Summon Service and 360 Link - Intota delivers an unprecedented discovery experience that enables easy, efficient, and equal access to a library’s collection, while instilling user confidence and trust in the library for all types of users.
Offers an intuitive, easy, and compelling starting point for library research
It’s the google like experience your patrons expect
Enables your library to scale their services and connect with more users
Makes content more discoverable and accessible
Increases usage of library resources and improves ROI

Presents relevant results without vendor or platform bias
The Summon unified index is the key. Summon indexes all resources –print, electronic and digital – in a single index for fast retrieval and true relevance ranking. Users discover all of your resources at once. Customizable facets allow easy navigation through the result set.
With features such as Topic Explorer, query expansion and Best Bets, Summon, users are informed and engaged as they discover the full breadth of what the library has to offer.
Through a combination of our OpenURL link resolver and enhanced direct linking, Intota assures users one-click access to the full text of articles. Our link resolver is the most accurate in the industry because it inherits daily updates from the Knowledgebase. There is no separate workflow to register resources to the link resolver – Intota is integrated.
Currently, most libraries don’t have a comprehensive way to examine their collection quantitatively. There is increased emphasis on the ability to be a “data-driven” library, which means calculating ROI on your collection investment and prove the value of the library.
Proving the value of the library is more difficult than ever because:
Time spent gathering the data for assessment reporting has been very staff intensive.
Are you currently doing any assessment projects? How often do they occur?
The current ILS does not have all the data required and comprehensive reports from the system are difficult to obtain. Many librarians are using multiple spreadsheets for collection analysis.
How are you currently pulling data for your projects?
Intota Assessment provides Collection Assessment capabilities for both monographs and serials, in both electronic and print formats. It allows for quantitative and qualitative analysis. It is completely Project COUNTER compliant and SUSHI compliant, providing you with full usage information.
We are uniquely positioned to take the library data (electronic and print collection information), apply some of our unique assets (Knowledgebase, Ulrich’s, RCL, Books in Print) and enable you to have views into their data that are not possible with any other solution on the market today.
Intota Assessment offers an easy to use interface that does not require a systems expert to manipulate.
Finally, because it is so simple it allows you to repurpose time. One of our dev partners at Marist college noted in a presentation she gave at ALA Midwinter that because the reports are so easy, she has the ability to provide more information to her public services team on a regular basis, strengthening the cooperation between those two units.
ProQuest has developed the Intota Library Services Platform to help you transform library management and your patron experience and it will be here this summer. We are taking a true platform approach and making services available as they are ready, rather than forcing you into an “all or nothing” migration. We’ve begun by addressing the biggest challenges you currently struggle with – assessment and e-resource management.
Most importantly, it is built on our Knowledgebase, which is the most complete one in the library industry. With the knowledgebase at the heart of Intota, data simply flows.
Intota integrates discovery in ways no other solution does. It eliminates batch updates to the discovery layer, instead programmatically turning on your DDA titles for your users.
And the workflows are modern, unified and efficient.
, We’ve created something that you can start with now, then eventually push out and displace the OLD ILS.
The current release is comprised of:
Assessment – usage data and insights into your entire collection (both print and electronic)
Knowledgebase – underpinned by the best authoritative database of scholarly content
Collections Management – complete tools and workflows to manage your collection
Discovery – integrated discovery of the library’s collection (print, electronic, and digital)
It’s an agile platform that grows with you. You start with Intota now, it works with your existing ILS and then over time, you displace your ILS without going through a messy migration. A natural transformation.
I’m going to talk about each of the 4 modules in the summer release
