  • I often talk about library systems are more than just what happens in the ILS in fact most of the systems / workflows in a library are outside the ILS.
The ILS is used for a few processes and all other workflows are manual / excel based / and only touch the ILS at the last step.

This is where I ask the £% on e resources in one year and have the e-resources librarian talk, usually explaining that they use 4 excel workbooks and possible a homebuilt access database.

This often shocks the print based librarians due to the spend and the tools.

I use a line like “Giving e-resources librarians a tool for their work just like the print librarians have had for a decade”

  • So, it’s time to look at things differently. Address your biggest challenges RIGHT NOW to make the biggest impact. Then, as you transform, you deploy systems that fill and address your biggest needs. Our phased deployment lets you solve the most urgent problems of assessment and e-resource management first. Then you can migrate older workflows to a streamlined solution as you wish.

  • ProQuest has developed the Intota Library Services Platform to help you transform library management and your patron experience and it will be here this summer. We are taking a true platform approach and making services available as they are ready, rather than forcing you into an “all or nothing” migration. We’ve begun by addressing the biggest challenges you currently struggle with – assessment and e-resource management.

Most importantly, it is built on our Knowledgebase, which is the most complete one in the library industry. With the knowledgebase at the heart of Intota, data simply flows.

Intota integrates discovery in ways no other solution does. It eliminates batch updates to the discovery layer, instead programmatically turning on your DDA titles for your users.

And the workflows are modern, unified and efficient.

, We’ve created something that you can start with now, then eventually push out and displace the OLD ILS.

The current release is comprised of:

Assessment – usage data and insights into your entire collection (both print and electronic)
Knowledgebase – underpinned by the best authoritative database of scholarly content
Collections Management – complete tools and workflows to manage your collection
Discovery – integrated discovery of the library’s collection (print, electronic, and digital)

It’s an agile platform that grows with you. You start with Intota now, it works with your existing ILS and then over time, you displace your ILS without going through a messy migration. A natural transformation.

I’m going to talk about each of the 4 modules in the summer release

  • This graphic is a simple illustration of the way in which we’re building our new Knowledgebase for you.

INTEGRATE: We are building our new Knowledgebase on the foundation of our two, complementary metadata authorities – KnowledgeWorks, our e-resource metadata knowledgebase and Ulrich’s, our global serials directory with information about publications and their publishers. Integrating KnowledgeWorks and Ulrich’s creates a comprehensive store of rich bibliographic, provider, and publisher information – to which we’re adding new sources such as metadata from national libraries’ MARC records and metadata about digital resources.

ENHANCE: We’ve brought this authoritative metadata together in a new data model, using IFLA’s Functional Requirements for Bibliographic Records (FRBR) as our framework. We’re building new tools for our metadata librarians to use that allow them to work with all content types (for example, print and also digital material) and track resource changes over time in ways that were not possible before.

SHARE: These new capabilities and other work we’re doing make our new Knowledgebase possible. It is the Knowledgebase foundation that will be shared across Intota, Summon, and other services from ProQuest Workflow Solutions. The best part for our clients? There is no migration necessary! Because our Knowledgebase is centrally maintained, we will bring all of the new metadata and capabilities to you! You are already beginning to see some of the benefits – through Intota’s rich functionality and our new Knowledgebase Notifications – with more to come over the next year.

  • The Knowledgebase is the integrated metadata repository behind all of our services.

We begin by gathering metadata in industry standard formats such as KBART, ONIX and MARC, as well as a variety of other options from providers all over the world.

Then we process this metadata to check for data integrity and completeness under the watchful eyes of skilled professionals with metadata, subject, and language expertise. (This is where having more than seventy degreed librarians on our teams is a real benefit; they are knowledgeable about the data from ‘Step 1’ and ensure that quality is maintained throughout each step of our content processing.)

This closely curated, centrally provisioned data powers all of our services – so that our customers experience the same high quality data for resource discovery and resource access.

If you’re a librarian, this process of data gathering, processing and curation by ProQuest saves you valuable time. We do the ‘heavy lifting’ for you.

First to be founded on central KB
    Foundational
    Primary repository
    Single point of change
    Improvements everyday

    KB is growing
    Meta data of serials
We can mark up OA (found in the doaj)
UlrichsWeb – message our metadata librarians

Intota Ass – to use new KB

    26 meta data

Currently using API to new KB for dev and then extend to full Intota

Re-engineered KB will support print mono and journals
    Make relationships

FERB conceptial framework (focused on end user)
Bring in all kbs – as a central repository

    Through APIs deliver tools

3M mono – authoritative MARC for print – librarians customise records

    Ebooks – reengineer quicker

    Authoritative e-titles 88,000

  • Our proprietary normalization process connects all the different ways a title may be presented and links these variations with an authoritative title record. In this way, different versions of the same e-resource can be found and accessed with the same quality results. This is how we combine and mash the data together in KnowledgeWorks to enhance and do additional cleaning of the data providers give us.

If the metadata in a link resolver’s knowledgebase is complete and accurate, a patron should be able to search for ANY variation of a title and get the same results – with our without an ISSN. Or select ANY variation of a title in a citation and get to the full-text. That’s exactly what happens with 360 Link.

Here’s an example of how normalized metadata in KnowledgeWorks sets 360 Link apart from other link resolvers.

This list represents a subset of the multiple representations of the “Journal of the American Society of Nephrology” from a range of different providers.

The line shaded in pink represents the “authority version” of the title (where the title is represented accurately and the ISSN is the correct print ISSN).

The ISSN in green is the journal’s correct eISSN.

The ISSN shown here in red is obviously an error – in this case, perhaps this error was simply introduced in the file at the provider by someone incorrectly keying the eISSN. When that file was received at Serials Solutions, the KnowledgeWorks data team found the error and corrected it. The fact of the incorrect ISSN won’t limit your patron’s ability to find this information using 360 Link. That’s because of KnowledgeWorks, which will correctly resolve links to this title even if you subscribe to the provider with the incorrect ISSN.

In addition, each alternate title in this example is associated with the authority title. So even if your researcher starts with a citation from a database that uses “JASN” as the title, they will find full-text even if the place that full-text resides is ANOTHER database – where the full title is represented.
  • First, the Knowledgebase…

The knowledgebase offers you efficiency and supports all of Intota.
It includes rich, comprehensive descriptive information with provider details to make resources easier to discover, manage, and assess.
It gives you the opportunity to make content easy to for you and your users to identify and access
Save time and reduce the steps required to keep resource management data current because we work in the background to continuously update title, database, and coverage details in the KB for you.
Easily Provide a deeper understanding of the scope and quality of individual resources, collections, and providers with reviews, recommendations, and other unique metadata.
When you update the knowledgebase with your holdings, all Intota services are updated with the same information. You don’t need to struggle with disparate systems.

I’m going to talk about each of the 4 modules in the summer release
  • Intota takes advantage of our vast ERM experience starting at Serials Solutions and into ProQuest. We’ve built on what we already offer through 360 resource manager and have created a reimagined platform that integrates seamlessly with discovery and assessment tools.
    Key benefits are:
You can greatly reduce the manual effort of managing your electronic resources.
No manual creation of title lists and providers
No need to enter ebooks title by title into your system
You don’t need to load and unload bibliographic records to make resources visible – especially important for DDA
You don’t have to deal with complicated spreadsheets
Our library of license templates reduces your data entry effort.
Streamline your staff communication – supports each stage of the electronic resources workflow - Built-in workflow tools make it easier to simplify and control the selection, acquisition, and renewal of resources. -  You can customize the administrative interface, track subscription status, set alerts for renewals and status changes, and use a renewals feature.
Implement quicklyIntegrated with the knowledgebase so your holdings are automatically updated in your discovery layer
    Advanced DDA & ebook support
Automated holdings management is the key to workflows moving forward.
We automate holdings with EBL and ebrary so that rather than you having to update the ERM and Knowledgebase, they send holdings directly to us.
This is ESPECIALLY important with DDA workflows and applicable for any evidence based use acquisition workflow (I’ll talk more about this in detailed slides)
Here, with non-owned titles you want to make visible with DDA, we expose them in the discovery layer automatically based on what your provider sends us.
Then, when a title is purchased, those holdings are sent to us so we can update status – owned or non-owned in the ERM and knowledgebase.
This is not only a great timesaver for workflow, but allows access to these titles much faster than if manually processing so you can meet your users needs.
    Integration with Discovery & Assessment
As we’ve discussed a key component is how everything fits together.
Designed for you - One of the biggest impacts is the new Intota ERM user interface. It’s easy to use and intuitive, reducing training time for staff and making your experience more enjoyable.
Some other ERM functionality to note in this release are:
    License management
Reporting and analysis tools – easily export contact info, perform simple analysis on use, identify ROI
    Subscription and renewal support
Consolidate and organize your subscription data in one place
    Automate renewals
    Track status
    Alerts
    Cost and fund code tracking
    a. Allows you to enter amounts paid for a resource and associated fund codes.Integrates seamlessly with Assessment to provide full cost per use for all of your e-resources.
Provides fund tracking for your e-resources in ways that your ILS can’t

Add multiple-payment information to resources at any level: collection, provider, database, or title.
Cost is used in generation of cost-per-use metrics in Assessment
Include fund names or codes to track payment distribution.

It’s an agile platform that grows with you. You start with Intota now, it works with your existing ILS and then over time, you displace your ILS without going through a messy migration. A natural transformation.

I’m going to talk about each of the 4 modules in the summer release
  • With The Summon Service and 360 Link - Intota delivers an unprecedented discovery experience that enables easy, efficient, and equal access to a library’s collection, while instilling user confidence and trust in the library for all types of users.
Offers an intuitive, easy, and compelling starting point for library research
It’s the google like experience your patrons expect
Enables your library to scale their services and connect with more users
Makes content more discoverable and accessible
Increases usage of library resources and improves ROI
Delivers the most comprehensive collection coverage
Presents relevant results without vendor or platform bias
The Summon unified index is the key. Summon indexes all resources –print, electronic and digital – in a single index for fast retrieval and true relevance ranking. Users discover all of your resources at once. Customizable facets allow easy navigation through the result set.
With features such as Topic Explorer, query expansion and Best Bets, Summon, users are informed and engaged as they discover the full breadth of what the library has to offer.
Through a combination of our OpenURL link resolver and enhanced direct linking, Intota assures users one-click access to the full text of articles. Our link resolver is the most accurate in the industry because it inherits daily updates from the Knowledgebase. There is no separate workflow to register resources to the link resolver – Intota is integrated.

  • We load your library data (shown in green at the top): print holdings, eBook holdings, print usage, and counter usage. We will be pulling in ILL requests shortly (this feature is actually a roadmapped item and is not part of the product at launch). Combined with our unique assets--Knowledgebase, Ulrich’s data, Books in Print and the Summon Index – we can provide views into the library data that have previously been very difficult if not impossible to achieve. This is all encompassing…no one else can offer this service .

Noted that the links to Citation Weighting for clients of Refworks Flow and Hathi Trust data is forthcoming (not at launch). We will first be featuring those titles available to the public in the Hathi Trust for comparison to your collection.

All of this data comes together in Intota Assessment to provide views into your data: views of usage, recommendations for both acquisition or for deselection (or weeding) and reporting and dashboards.

NOTE: Intota Assessment provides usage analysis/views into your data that no one else can provide.
