Director of Studies Job Description
EF Education First (Academic Partnerships)
The DOS reports to the Academic Operations Manager, consults with the Account Manager (AM) and works alongside the
Business Development Manager (BD) to ensure the academic integrity of the language programmes and the development of the
project.
Qualifications
Essential
• College/University graduate
• A recognized TEFL qualification
• A minimum of 3 years EFL teaching experience
• Computer literate (Proficient in MS Office Package)
• Evidence of commitment to professional development
• Previous supervisory experience, preferably in an educational environment
Preferable
• High level EFL teaching qualification and/or a degree in TEFL or related subject
• Experienced in teaching young adults and/or in a university context
• Previous management experience in multicultural environments (preferably Asia/China)

Working Hours and Locations
The DOS works for 40 hours per week distributed in agreement with the AOM, including academic classroom hours.
The DOS is required to work 5 days per week during. Management duties may occasionally require hours above 40 per week.
The DOS may have duties on campus(es) or off-site. The DOS is responsible for overseeing and maintaining the smooth and
efficient running of the projects which they manage.
The DOS is required to teach maximum 16 ACH per week. Any ACH over that will be considered overtime.
Main Responsibilities
A. Communication
The DOS is required to have a full understanding of the needs of the different staff members working for EF Education First and
have a strong awareness of the customer requirements. The DOS needs to be an effective communicator skilled at influencing
the team in the best interest of EF Education First. Communication is subdivided into the following levels:
1. Academic team level
• Organize and lead regular academic team meetings and effectively communicate management decisions and
company updates to teachers
• Increase cultural appreciation for the different nationalities working within the team and awareness of the needs of
the different departments operating within
• Maintain effective communication between mentors and mentees, co-teachers and other working pairs and groups
• Develop and maintain an effective professional relationship with members of the academic team
2. Project Level
• Meet regularly with the AOM and other supervisors to exchange all relevant information
• Implement academic changes resulting from company developments and group decisions, in agreement with the
AOM
• Work closely with the AOM and others to ensure the effective inter-departmental co-operation
• Pro-actively develop open channels of communication between academic team, university staff and other members
of the department
• Attend and lead weekly staff meetings to cover complaints, student disciplinary matters, academic queries and
course management duties
• Deal with staff (teacher, AOM, AM, BD) concerns promptly and effectively, communicating needs as necessary

• Provide the AOM and other supervisors with copies of the academic team meeting minutes
3. Regional Level
• Consult with the AOM regarding the academic quality and concerns in the project
• Pro-actively develop open channels of communication with other DOSes
• Mentor new Directors or Studies within your region as assigned by the AOM
• Keep AOM informed of, and seek approval for, changes regarding the project’s academic program and systems
• Share project’s initiatives and best practice with other projects
• Share project performance and plans with AOM
• Attend DOS meetings
• Occasionally attend conferences or training meetings that require travel
B. Scheduling & Teacher Utility
• Liaise with the AM to ensure the effective scheduling of classes, extra-curricular activities and events
• Understand the how group size and utility affect the performance of the project and assist the AM in scheduling teachers
and classes in the best interest of the centre
• Schedule the DOS and teachers the required number of academic classroom hours and maximise staff efficiency and
effectiveness within the forty-hour working week in agreement with the AOM
• Maintain and ensure the accuracy of the centre’s schedule in order to effectively communicate: class times, course
management procedures, administrative and extra curricular duties to all staff members
• Substitute and arrange cover for classes in the best interest of the centre
C. Continuous Professional Development (CPD)
• Take an active role in personal assessment and development
• Train teachers in and induct them to operational procedures and EF Education First products
• Encourage, facilitate and participate in the professional development of teachers
• Observe each teacher at least once per semester and ensure at least one other observation is conducted by the DOS, ST,
AOM or another department member in a supervisory academic role
• Conduct teacher appraisals on set frequency following consultation with the AQM, AOM, AM and other department
members
• Provide regular training to the AM, BD and other department members regarding the academic product
• Work with the AM and teachers to ensure and maintain the academic quality of the project
• Lead and/or arrange regular seminars and workshops in teacher development
• Take guidance from AQM in matters concerning CPD
• Co-operate with the other Directors of Studies in the region to arrange and facilitate academic workshops
• Participate in seminars offered by the AOM or other EF departments and employees
• Set goals for and monitor the completion of CPD Projects and provide support and training as necessary
D. Academic Administration
• Co-ordinate and implement all operational procedures in a timely manner
• Organize and participate in promotional activities as directed by the AOM, in consultation with AM and BD
• Oversee the work, development and behavior of students within the project
• Maintain teacher personal files, including but not limited to CV and classroom observation and appraisal forms
• Be familiar with the EF Contract, work manual and Employment & Payroll system
• Manage the teacher holiday, sick leave and disciplinary action through the Employment & Payroll system
• Collect information relevant to payroll and share it with the AM in a timely manner
• Develop, maintain and enhance administrative systems in co-operation with the AOM
• Ensure the recording, sharing and filing of academic team meeting minutes
• Communicate and enforce the regulations and policies of partner schools and universities
• Monitor and ensure the regular timely completion of all academic records required by the university
• Complete and send the monthly, term, event and annual reports and required supporting documents to the AOM and AM
• Design and implement an efficient filing system for course administration
E. Product Development & Support
• Pro-actively monitor the effectiveness of the current products (courses and others) and provide appropriate feedback
• Develop and supervise the development of new course material
• Assist BD in the sales of new products
F. Facilities & Resources
• Maintain wall displays and create an atmosphere conducive to work in conjunction with AM
• Train teachers in sensible resource management
• Train teachers in maintaining a presentable and well-organized teachers’ room
• Ensure computers are in working order and well maintained
• Train teachers to send product and IT related NEMO (EF’s proprietary IT profile system) or apply other IT support
procedures
• Become familiar with the file sharing system in use, train the team in its use and maintain regular backups of it
• Maintain an effective filing system for academic materials
