Let’s clarify what is Project
What is a Project?
• A project is “a temporary endeavor undertaken to
accomplish a unique product or service”
• Temporary means that every project has a definite
beginning and a definite end.
• Projects involve doing something that has not done before
and which is therefore unique.
Project cont..
Attributes of projects
• Unique purpose
• Temporary
• Require resources, often from various areas
• Should have a primary sponsor and/or customer
Examples of project
• Developing a new product or service.
• Effecting a change in structure, staffing or style of an
organization.
• Developing or acquiring a new or modified information
Systems
• Constructing a building.
• Running a campaign for Political office.
• Implementing a new business procedure or Process.
The Triple Constraints
Every project is constrained in different ways by its
• Scope goals: What is the project trying to accomplish?
• Time goals: How long should it take to complete?
• Cost goals: What should it cost?
It is the project manager’s duty to balance these three often competing goals
Triple Constraints
Exercise
• Identify the difference between project work
and functional work?
Let’s see what is Project Management
What is Project Management?
Project management is “the application of knowledge, skills, tools,
and techniques to project activities in order to meet project
requirements”
What is Project Management?
• Advantages of Using Project Management
• Better control of financial, physical, and human resources
• Improved customer relations
• Shorter development times
• Lower costs
• Higher quality and increased reliability
• Higher profit margins
• Improved productivity
• Better internal coordination
Project Lifecycle
• Project Life cycle serves to define the beginning and the end of a project.
• It is a Collection of project phases.
• The project life cycle define
• what technical work should be done in each phase
• who should be involved in each phase
Example for Phases: Requirement, Design,Build
Project Lifecycle
Every project goes through the project life cycle, which is made
up of five project management stages
These stages include:
• initiation
• planning
• execution
• monitoring and control
• closure
Project Lifecycle
PHASE 01
Initiation:
• authorizing the project or phase
• This is the starting phases where the project manager must prove
that the project has value and feasible.
• This includes creating a business case that justifies the need for the
project and a feasibility study to prove it can be executed within a
reasonable time and cost.
Project Lifecycle
PHASE 02
2.Planning
• The goal of this phase is the creation of the project plan,
which will be the guide for the next two phases.
• The project plan must include every component
associated with the execution of the project, including
the cost, risks resources and timeline
Project Lifecycle
• The third project management phase is project execution.
• Defining and refining objectives and selecting the best of the alternative
courses of action to attain the coordinating people and other resources to
carry out the plan
it includes:
• allocating project resources
• managing project resources
• building the product or process
• often meeting and fix issue as they rise
PHASE 03
Execution
Project Lifecycle
PHASE 04
Monitorng And Control
• ensuring that the project objectives are met by monitoring and measuring
progress regularly to identify variances from plan
• Tracking effort and cost
• monitoring project progress
• ensure adherence to plan
• prevent any chance for disruption
Project Lifecycle
PHASE 04
Monitorng And Control
• The biggest issues in a project are typically related to three factors,
time, cost and scope, which collectively are referred to as the triple
constraint.
• The main goal of this phase is set of firm controls on the project to
ensure those three factors don't go off track.
Project Lifecycle
PHASE 05
Closing
• The fifth project management phase is project closure, in which the
final deliverables are presented to the client or stakeholder.
• Once approves, resources are released, documentation is completed
and everything is signed off on.
Project Life cycle
• Project also have life cycles.
• The Systems Development Life Cycle (SDLC) is a framework for describing the
phases involved in developing and maintaining information systems
• Common name for these general phases are in information systems.
• Planning
• Analyzing
• Designing
• Implementation
• Maintenance
Terminology
Milestone:-
A milestone is defined as a significant event or a point in a project.
These are the significant points in time or an event that mark
important moments during the project
A project has at least two milestones
1.project start
2.project end
examples project milestones:
• A deliverable is a term related to products. It may be an
intermediate product for comments, or a final product.
Deliverable
• Deliverables can be tangible or intangible.
• An example of a tangible deliverable, a new manufacturing plant
that needs to be built to meet increased production levels.
• An example of an intangible deliverable would be a training
program for employees to teach them how to use new software
that will be used at the company
Deliverable
Project Management Framework
What is a project management framework?
• Basically, it is a combination of processes, tasks, and tools used
to transition a project from start to finish..
Example
• Project Management Body of Knowledge (PMBOK)
• Scrum
• Crystal
Project Management Framework
cont..
• Key element of the framework includes
• Project stakeholders
• Project Management Knowledge areas
• Project Management tools and techniques
Project Management Framework cont..
❑ Stakeholders
• People involved in or affected by project activities.
• Project sponsor
• project team
• support staff
• Customers
• Users
• Suppliers
Project Management Framework cont..
❑ Project Management Knowledge Areas
Knowledge areas describe the key areas that project manager must develop.
• Scope
• Time
• Cost
• Quality
Management
• Human Resource
• Communication
• Risk
• Procurement
Management
Core Knowledge Areas Facilitating Areas
Project Management Knowledge
Project Integration
Management
Project Management Framework
Project Management Framework cont..
• Project management tools and techniques make planning and managing
projects easier and more effective
• Project Management tools and techniques help save time and reduce costs.
• Ex: Some popular time management tools:
• Gantt Charts
• Network diagrams
• Critical Path Analysis
❑ Project Management tools and techniques
Gantt Charts
Network diagrams
Exercise
• Being in a group of 3 members, identify a real world project
that you have engaged in. Discuss the who are the
stakeholders in your project, Milestone and deliverables of
your project.
Thank You !
