This particular bio-pharmaceutical
manufacturer was experiencing
difficulties managing the logistics of one
of their trials, so they turned to UPS.

While deliveries were arriving from the
customer’s distribution hub to hospitals and
clinics throughout Europe, they often did not
reach the individual professionals they were
addressed to in good time.

These IMPs require strict temperature
control to stay between 2° and 8° C before
use. If there was a delay in the very last
segment of the delivery process the entire
shipment could be rendered worthless.

They have a window of viability of as little
as 48 hours even in their temperature-
controlled packaging. If a delivery is left for
example at a hospital or university reception
desk or loading bay, it will not be long
before the product becomes unusable.

The second problem was the return of the
high-value passive packaging. The boxes
are designed to be re-useable, with
anything up to 25 cycles of use for each
individual package.

If packaging is not returned, the costs of the
program escalate dramatically - and in up to
half of the roughly 50 deliveries a day, the
packaging never found its way back to the
customer.

The whole process was managed manually.
Hospital staff had to get in touch with the
delivery company to arrange the pick-up of
the packaging. This often didn’t happen.

The first part of the problem - getting
delivery to the right person at the right time -
required some preparatory work on the part
of UPS to set up ‘in-room’ delivery.

just walk into hospital clinics and
laboratories without prior agreement.

UPS visited all the delivery locations in
advance and worked towards agreement
that the UPS drivers could carry the
packages past the reception area to where
they are actually needed.

Another advantage is that is then also
possible to manage the packaging return
issue on the spot. The driver can deliver the
IMP and remove the packaging at the same
time, resulting in a 100% return rate.

For hospitals and clinics that do not accept
in-room deliveries, UPS created a second
process to ensure the best possible delivery
and return rate.

First, the packaging was redesigned to
make sure that there are clear and highly
visible instructions on how to save and
return the high-value packaging.

Once delivery is made, UPS automatically
logs that there is an outstanding return, and
instructs the driver to return the next day to
pick up the packaging.

automated report on the status of the
returns of all the packaging, removing the
burden of having to manually monitor every
individual investigator site.

Proactive Response®. This service uses
sophisticated internal systems to monitor
shipments 24/7 and intercept packages if
anticipated scans do not occur.

The quick package interception reduces the
risk of temperature excursions, hospitals
and clinics can prepare for any potential
delays, and the customer has peace of
mind knowing that their high-value products
are under constant surveillance.

If there was a delay in the very last segment of the delivery process the entire shipment could be rendered worthless.

If a delivery is left for example at a hospital or university reception desk or loading bay, it will not be long before the product becomes unusable.
