1. Job Title: Travel Coordinator/Scheduler
Department: Administration
Exemption Status: Non-Exempt
General Description:
The position consists of managing and scheduling of corporate travel both commercial and Part 91 corporate
aircraft and assisting in the management and supervision of aircraft and pilots as well as various
administrative support activities. The ability to interact with staff (at all levels) in a fast-paced environment,
sometimes under pressure, remaining flexible, proactive, resourceful and efficient. The role requires the
employee to be a proactive self-starter, who possesses a strong degree of integrity, responsibility,
confidentiality and flexibility.
Primary Job Function(s):
Supervision
•
Responsible for Flight Department Management including, but not limited to
o Full-time Pilot supervision
Set performance expectations/standards
Measuring, monitoring, and evaluating performance
Scheduling of training / skill audits
Annual performance evaluation
Performance improvement plans / discipline up to and including termination
o Contract Pilot supervision
Issuance and upkeep of Pilot contract agreements

Secondary Job Function(s):
Maintenance/Inventory
•
Coordinate all facets of aircraft maintenance, registration, permitting, safety classes, etc.
•
Create and maintain an adequate and appropriate pool of pilots to meet company travel needs
•
Manage aircraft insurance, dry leases, FBO agreements, over-flight permits, aircraft subscriptions
and maintenance agreements, and other associated flight department documentation
•
Manages company fleet vehicles, mileage, maintenance, detailing and usage.
Scheduling / Client Service
•
Manage all corporate travel; both commercial and corporate aviation, hotel, rental car, meeting
setup, etc. including international travel itineraries.
•
Responsible for heavy calendar management, requiring interaction with both internal and external
executives and assistants, to coordinate a variety travel schedules.
•
Meeting/event scheduling as needed: including, but not limited to in-office client meetings, off-site
client meetings, restaurant reservations, career fairs, special event planning and coordination.
Administrative
•
Facilities and fleet management.
•
Provides administrative support as needed to Senior Management and Upper Management.
•
All other related work assignments, as assigned per supervisor direction or as required.

Excellent interpersonal and communication skills, strong customer orientation

Prior business/executive aircraft scheduling experience required
Knowledge of FAA Part 91 Regulations, aircraft security policies, flight operations required
Knowledge of principles and processes for providing customer and personal services. This includes
customer needs assessment, meeting quality standards for services, and evaluation of customer
satisfaction
Time management: the ability to organize and manage multiple priorities.
Excellent analytical skills and the ability to anticipate scheduling conflicts or situations
Computer knowledge; Microsoft Office Suite, Google Calendar

Flexibility to work overtime and to be available to receive phone calls whenever needed pertaining
to travel changes/issues

Reporting Relationships and Contacts: Reports directly to the Corporate Administrative Manager.
Working Conditions: Normal Office Environment. Some travel may be necessary from time to time.
Required Experience and Training: High school graduation, or its equivalent, plus at least five years of
responsible experience in Flight Operations Dispatch, Crew Scheduling, Aviation Maintenance Coordination,
International Travel Coordination and Administration. or graduation from an accredited four year college or
university with a degree in Marketing or related field and two years of responsible experience; or any
equivalent combination of experience and training that provides the required knowledge, skills and abilities.
