Mutual & Federal leverages off of SharePoint to develop an Enterprise
Communication Platform

Mutual & Federal (M&F) is the oldest short-term insurer in Southern Africa with a history that dates back more than 180 years.
Mutual & Federal are proud of their tradition of service and quality, which extends beyond their product range, to ensuring that
their staff have access to the right information at the right time through their intranet, which is accessible to all divisions within
Mutual & Federal.
M&F invested in a custom developed Enterprise Communication Platform (ECP) that integrates with SharePoint 2010 and Microsoft
Exchange. The challenge was that users would receive all communications whether relevant to them or not as M&F had no way to
targeting communications to specific users/groups or areas. The company had no way of tracking whether communications were
read or understood. Network resources were being unnecessarily depleted due to the number of attachments being emailed to
staff.
ECP was needed for tracking purposes and when we approached MINT with this, they documented the
requirements and came back to us with a solution that really worked for us. The team then came back to
us with a demo on how the solution would work and we were very impressed. There were a few issues
that were encountered which was on our exchange side but the MINT team did a fantastic job in assisting
our guys with rectifying same.
I must say it is always a pleasure working with the MINT team as they always provide us with the best
advice and solutions that works well for our company and they always go the extra mile to assist us.

Mutual & Federal’s requirements were as follows:
• Send communications to targeted groups of recipients using Active
Directory distribution groups;
• Track which users have read/unread a particular communication;
• Track which users understood or did not understand a
communication;
• Track user comments to a communication;
• Provide the option to track read/unread status or not;
• Restrict the communication distribution capabilities to a specified
group of users.

M&F requirement was for Marketing to send internal communications
to exchange distribution groups and for users to acknowledge receipt
and understanding of the communication.
The solutions gave M&F the ability to report on recipients (i.e. Read,
not read, Understood, not understood). Users could leave comments
if the communication was not understood and the senders could then
perform relevant action.

• Leverage off current Technology i.e. SharePoint 2010

• Integration with Exchange – make use of current set
of data base of users (single user list) using active
directory.

communications and whether content was
understood.
• Targeting of specific communications to groups or
areas where communication is relevant to that group
only.
• Links to the relevant document or content stored on
SharePoint 2010 would now be sent rather than an
attachment.
