paramount
The nature of Geolyse’s business demands that the company create and share many
thousands of pages of plans and technical drawings each year. These drawings and
plans are extremely detailed and are drawn to scale.
Matthew Amies, System Administrator, Geolyse, said, “The level of detail on the
plans is exceptional and even the width of the lines will convey certain information.
These plans are then used to build real-life structures and infrastructure. If a line on
the plan was a little blurry or unclear, that could translate into a significant error in
the final project. It could then potentially cost thousands of dollars to fix and, in the
worst case scenario, result in safety issues. All because the line on the plan wasn’t
clear.
“Obviously this makes our printing equipment absolutely vital to the organisation.
Given the volume of printing we do, keeping our printer equipment not just up and
running but also in top-notch condition is a major priority.”
An in-house burden
Geolyse has installed a range of Canon printers, copiers and specialised plotters, also
known as Wide Format Printers. A plotter is used to print designs and plans because
it uses a pen and ink to draw the image, taking longer than a conventional printer
but resulting in greater accuracy.
Matthew said, “We couldn’t do business if this equipment wasn’t up and running.
Any downtime for the printers or plotters means we come to a standstill until they
are fixed.”
Previously the burden of fixing and maintaining the printing equipment was handled
in-house by Geolyse. This included everything from replacing ink and toner when
required to organising for external technicians to come and fix the equipment or
conduct routine maintenance.
Matthew said, “We work to very tight, strict deadlines and if we didn’t discover that
there was an issue with a printer or plotter until the last minute, the time it took
for a technician to come and fix the problem would put a big hole in the project
timeline. Plus it was quite expensive to engage external technicians, most of whom
didn’t know or understand our business.”
Transitioning to managed print services
Six years ago Geolyse decided to begin transitioning to a managed print service.

2. Inland Technology’s original service offering to Geolyse included the ability to
produce a complete printing report in one process, saving significant amounts of
time. Ongoing, Inland Technology provides managed print services for Geolyse,
removing the burden from the in-house team.
Matthew said, “Inland Technology manages and services our equipment, including
supplying all of our hardware and consumables like toner, as well as providing a full
equipment monitoring service. This means that, in addition to regular maintenance,
they are also aware of any problems with the equipment before we even know
about it.”
Inland Technology achieves this by networking each of the devices so that they can
communicate with each other and back to Inland Technology. This means that, if
the toner is low for example, Inland Technology is notified so that they can deliver
the new toner before the old one runs out. This eliminates the downtime previously
experienced by Geolyse when toner would run out and then need to be replaced
after the fact.
Similarly, if the machine needs a new part of other repairs, Inland Technology knows
about it immediately and can despatch a technician to fix the problem as quickly as
possible.
Matthew said, “There have been times when Inland Technology technicians have
shown up to fix a particular problem before the staff even realised there was a
problem. This is a huge benefit for us since it reduces the amount of disruptive
downtime caused when a printer goes offline.”
Delivering peace of mind
Matthew said, “Working with Inland Technology gives us peace of mind that when
we need to print something it will print quickly and accurately without delay. There
was an occasion when we needed to print 500 pages of plans for a meeting with a
large architectural customer. The plotter we needed to use stopped working. Inland
Technology identified the problem quickly but the fix required a part that wasn’t
immediately available.
“Inland Technology went the extra mile to make sure we got everything printed in
time for the meeting by getting us to send the plans to them. They then printed
them and delivered the plans back to our office so we got the job done right on
time.”

Matthew said, “We don’t have a specific upgrade cycle. Instead, our decisions are
based on company needs as we grow and develop. Because Inland Technology

good cost saving, so we were very happy.
