► This position entails all administrative work from the inception of the contract to the completion of the contract.
► When project is awarded, the contract documents are forwarded to me, a Letter of Appointment or a Contact
Document. I make sure that all terms and conditions are in accordance with what was tendered.
► Prepare the Contract Information and circulate to everybody concerned on that Project.
► Prepare our Professional Team to be submitted to the Clients Professional Team for easy reference.
► Authorise the registration of a Contract No. which will be used throughout the duration of the project.
► Make sure all Health and Safety requirements are adhered to. I am not a Health and Safety Officer, this is
usually outsourced.
► If Performance Guarantees are required, I attend to all applications thereof.
► I attend to e-mailing of monthly claims for work done and the receiving of payment certificates is my
responsibility.

► The invoicing and Debtors function in an integral part of my position.
► To track the financial side of the project, I use a finance tracker which gives my manager all information
regarding the project. Just an example I keep a record of the contract value, the variation orders, the retention
being held, the discounts being given, the value owed by the debtor and the amounts that still require to be
invoiced until the completion of the project.
► If the Main Contractor or Sub-Contractor employs sub-contractors, my function would be to reconcile their
accounts, do payment certificates as prepared by the Quantity Surveyor, also make sure that all their
documentation is in place.
► This process in ongoing until we reach the Final Account. It is my responsibility to make sure that the correct
amounts have been included in this account and make sure that the responsible person agrees and signs that
document timeously, so that final payments can be made.
