6. 1. Identifying the purpose of the message (i.e.
Oral/Written) required to be delivered
Identification of the main purpose of any formal
communication centers on an overall clarity with
regard to its main objectives.
As senders of the messages, we must be able to
answer:
What do we want to achieve?
Why, where, and how do we want to achieve ?
9. 2. Analyzing our Audience
Audiences refer to the persons reached by a book,
radio , television broadcast, etc.
As communicators, we are required to view our
messages from our receivers’ points of view with
regard to their social environment, their age
groups, genders, linguistic identities, educational
background, professions, all kinds of beliefs, needs,
interests and cultures.
10.
11. 3. Developing a Conceptual Framework
Conceptual framework in general, refers to the
formation of concepts in a human mind in an
organized manner so as to achieve the required
goals. Concepts refer to the formation of
abstract ideas in mind; they are the foundational
building blocks of our thoughts, beliefs, and
actions. One can organize the categories of
information and the relationships among them
on the basis of conceptual frameworks.
12. Va
Collection of valid data is an important dimension
of an effective communication. As communicators,
we must collect enough data to support our ideas.
We must check all of the essential details in this
regard, including for instance, the names of people,
places, concepts, dates, addresses, numerical data,
and precise details of the relevant ideologies (i.e.
the set of beliefs, characteristic of a social group or
individual).
4. Collecting Data to Substantiate the
Message
13. 5. Organizing the Message
The process of organizing a message revolves
around three main steps:
1.Composing the message
2. Revising the message
3. Editing and proofreading the message
14. 6. Identifying the Resources
(i.e. Tools) of Communication)
(Resource refers to a source of supply, support,
or aid, that one uses to achieve an objective)
Resources of communication ( i.e. the tools of
communication) may include written documents,
videos, images, presentation slides, audios,
posters, factsheets, printers, fax machines,
microphones, earphones/ head-phones, fast
internet connections.
15. 7. Creating an Action Plan to Deliver the Message
Effectively
Action plan refers to a sequence of steps that must be
taken, or activities that must be performed well, for a
strategy to succeed.
Main Steps:
1. List the main and the sub-objectives
2. Clarify the sequence of ideas
3. Specify your action to a specific timeframe
4. Consider strategies to deal with the potential obstacles.
5. Finalize, schedule, and evaluate your action plan
