Project Proposal
This proposal will detail the outline of the project after the terms and conditions have been discussed
with the organisation. This means that in this proposal I shall explain in detail what I intend to do
within this project and how I intend to do so. This project will be focused around creating a welcome
letter and an agenda form for the European Sales and Marketing Conference which will be held in
Lisbon, Portugal.
In response to the brief of the welcome letter I decided that from examining previous welcome letters
to past conferences that there should be a sense of cultural recognition for the event location in the
welcome letter which has been a popular attribute to the welcome letter in the past which I have
carried on for the welcome letter for the most recent conference. In the previous welcome letters I
have also noticed that the businesses logo must be involved in the letter no matter of the positioning
which was also a specific requirement from the brief. The information has been provided from the
brief which is essential to be involved in the welcome letter although the wording, font etc. could be
varied in the welcome letter although I decided that the information does not be altered too much as
the information is the most essential involvement in the welcome letter. I feel these ideas are
appropriate as this is what was included into the brief with slight adaptions to improve the welcome
letter even further to impress the client. From evaluating the target audience I have devised some
aspects to the welcome letter to ensure that there is strong target audience and client satisfaction,
such improvements such as cultural recognition in the titles and subtitles, professional language and
fonts, an appropriate layout and so on.
The resources and materials that I intend to use for the welcome letter is software such as Microsoft
Publisher which is good for layouts and positioning, Adobe Illustrator which is good for adding and
retracting items of the welcome letter and Adobe Photoshop for editing and improving images that will
be used on the welcome letter. The stages in which this production will be carried out is research over
previous welcome letters provided through the client and various other business welcome letters, then
to start some initial planning and experimenting with fonts to see what the best outcome and choices
are and then to finally put all the items together in the welcome letter.

past conferences and other businesses that have used agendas in meetings and conferences that
there should be a sense of organisation on the agenda form, which means that the organisation of the
information must be impeccable as that’s what the client and target audience would want to see and
be satisfied with. In previous agenda forms it is common to have the involvement of the businesses
logo in the agenda which is also a required aspect to the agenda form from the client; this means that
the main colour and boldness in the agenda form will come from the logo to appreciate the
businesses reputation. I feel these ideas are appropriate due to the previous agenda forms, the
previous examples given from the client and the information provided in the brief from the client. From
evaluating the target audience I have decided some aspects to the welcome to ensure that there is
strong target audience and client satisfaction, such improvements such as organisation, professional
language and fonts and an appropriate format.
