1. What is done under
room management?
The following records are maintained:
1.Room occupancy status like occupied, vacant,
checkout, scanty baggage etc.
2.Guest history card.
3.Special arrivals in the hotels like VIPs, Crew, Group
etc.
4.Special status of rooms like sleepout, overstay,
walkouts etc.
5.Clear rooms required on priority.
6.Occupancy status with number of guest in the room.
7.Sick guest if any.
8.Interconnecting rooms occupied by families or friends.
9.Rooms sold for special purposes like interviews.
10.Complementary or staff rooms.
z 2. How computer help in
estimating GRA
requirement?
▪ Based on the records of future occupancy
level the requirement can be identified for up
to next one year.

3. Use of computers in Inventory/Stock Management
Inventory/Stock Management is helpful for calculating par stocks at any given time, purchasing requisitions and
budgeting for the following items:
1.Linen
2. Guest supplies
3. Equipment
4.Cleaning agents
5. Uniforms
6. Soft furnishings
7. Beddings
8. Blankets, upholstery cloths, carpets.

4. How computer help in recording GRA
performance?
▪ Computers help in recoding the GRAs’ performance by comparing the ‘estimated
cleaning time’ and ‘actual cleaning time’.
▪ The supervisors are supposed to convey the status of the cleaned room from the
concerned guest rooms’ intercom. In this way the records are created both for the
GRAs and Supervisors for actual time taken for cleaning and supervising respectively.
z
5. How computer help in maintaining housekeeping
records?
▪ Computers are used to maintain the records of room types its design and colour
schemes. The purchase records are maintained for name of suppliers, date of
purchase, cost of items, maintenance schedules, problems if any, methods of
cleaning etc.
z
6. How computer help word processing and file
management?
▪ Computers have replaced the previous typewriter system. Now all the
information is prepared and shared through the computers and networking
systems.
▪ Files are stored in the computers and this has eliminated the need of storing
the hard copies of files in cabinets and almirahs.
z
7. Energy Conservation through Computer in
Hotels.
▪ Computers are used to save the electricity consumption in hotels through
the application of sensor control lighting, air-conditioning, telephone usage
etc.
