Job Title & Responsibilities: Project Administration Officer – HR EFS Facilities Services, Dubai
 Coordinate with the procurement department for the materials and facilities required for the project.
 Coordinate with the HR department regarding the staff insurances, annual & medical leave and
salary issues.
 Maintain and ensure that all the documents are legible, properly labeled, readily identifiable and
Retrievable.
 Attend the special and urgent requirements from client 24x7 and coordinate with the facility team to
 make sure work has done within the stipulated time.
 Ensures the distribution and disposition of all incoming documents.
 Creation of materials purchase request in JDE.
 Receiving and checking the quotes from subcontractors.
 Create EFS quote and take approval from FM to send it to the client for their approval.
 Get approval on the quotations from the client and follow up for issuing the client LPO.
 Creation of Goods/Service received notes and work completion report for the Goods/ Service
received.
 Maintain petty cash including, collecting, creating PO, cheque deposits and submitting original bills
for Reimbursement.
 Collect and forward all the variation work documents to finance department for invoicing purpose.
 Prepare and forward weekly petty cash confirmation to the finance department.
 Coordination for arranging additional staff/machineries to send to the sites based on priority.
 Coordinate with the client and procurement department for issuing PO.
 Coordinate with the client and finance department for invoice issues.
 Preparing, checking and submitting the attendance report.
 Coordinate with the call centre for case closing and sending daily report to the client.
 Physically attend high priority incidents in all the sites and coordinate to resolve the issues.
 Coordinate with subcontractors regarding the SOW for variation works and payments for the
completed works.
 Coordinate with soft services coordinator, subcontractors and site supervisors for collecting the
data and create the monthly report for submission on the basis of collected data.
 Supporting the HSEQ officer in meeting the HSEQ requirements.
 Arranging the site access for the subcontractors and visitors.
 Preparation of condition surveys and other mandatory reports as requires.
 Attend the meetings with client, subcontractors and management as required.
 Coordinate with Project Manager to prepare the annual budget.

 Proficiency in computerized working with basic skills in MS Office, CRM & Oracle.

 Close all the complaints in Concept-500 after completion the job on site.
 Issuing and scheduling the PPM (Planned Preventive Maintenance) for operations team.
