Email
Mass emails is one of the multi-
channels used during an incident to
provide communication.
• Pre-configured templates
• Pre-configured lists of students and
employees that would be
impacted.
• Ability to track whether a student/
employee opened an email

Memberships
Besides the usual contact and
employment data, being able to know
additional information on the students
and employees might provide insight
on how to locate them.

Text Messaging
Text Messaging is another
communication channel used
frequently. We currently use a stand
alone system, but software like SMS
Magic is integrated with Salesforce
and can be used in the same way as
Mass Email.

Emergency Contact Information
We provide several method for
students to update their Emergency
Contacts.
• Safety Check App
• Use contacts in Contact app
• Integrated with our core systems
• MySanDiego Portal
• Each term we require students to
verify their emergency contact.
• Reminder happens every time
they login to the portal until
they verify.
• Contact with offices like One-Stop,
Registrar, Financial Aid
• Types of contact information
• ICE
• Missing Persons
• Primary Residents

Safety Abroad
Students studying abroad are
encouraged to fill out a Side Trip form
whenever they travel from their home
institution.
• Know where study abroad students
are
• Know who they traveled with
• Know where they traveled to
• Can be done easily through:
• Safety Check

Case Management
During any emergency, parents,
guardians, other students, and
employees are looking for information
about the incident and people
involved. We can activate an
Emergency Service Console to assist:
• Cases created via email, phone, and
chat (live agent).
• Fields and views particular to an
emergency.
• When working on case, can look at
Contact record to see if we can
let person know that person he/
she is inquiring about is safe.
• If unable to determine safety, can set
the case for call back/follow-up.

Reports
Besides seeing the data on contacts
themselves, we preconfigure reports to
be used to assist EOC members on
the phone, in the EOC office, and out
in the community.
• EOC members and their roles.
• Student lists by Housing area.
• Event attendance reports for events
underway at time of incident.
• Students who have reported that
they are “Safe”.
• Cases that need follow-up.
• Upcoming Appointments and Events
for cancellation if needed

Mobile App - SalesForce1
Access to data and features are all
available via SalesForce1 native
mobile app.
• Look up a particular contact to see
all the information we’ve
previously discussed.
• Create a case for follow-up with
someone.
• Look at events: location, date/time,
attendees.
• Look at appointments & Kiosk
check-ins.
• Etc..

SafetyCheck
Student Aware app for Safety in
general, but with Campus
Emergencies in mind.
• Numbers to call in an emergency
• Ability to request a safety escort
• Ability to report a safety issue
• Ability to provide Emergency Contact
• In situation where there is a campus
incident, Safety Check option
becomes available and student
can report that they are “Safe”.
