Swarm Referrer User Guide 
1. 
To access Swarm click here. If it is running slow in IE, we recommend Chrome or Firefox. 
If this is your first time accessing Swarm, click on the SIGN UP NOW button at the bottom of the page. 
If you have already registered, select the social profile you initially used to sign up (or enter your email address and password if you did a manual sign up) and skip to step 9. 
**If you signed up manually and forgot your password, please click ‘forgot password’ so that it can be emailed to you. 
Be sure to check your quarantine at http://mq.ca.com/ if you do not receive the email right away.

Click on the social network (Facebook, LinkedIn, or G+) you would like to use to join Swarm. 
If you do not want to use a social network, you may also select the orange envelope icon to sign up using just your e-mail.

If you select to use your social profile, complete the authorization process for that social network. 
Here is an example for LinkedIn. 
If you selected the orange envelope icon to sign up with your e- mail address, enter your e-mail address in the respective field. Click CONTINUE to proceed.

Next is the Swarm ‘Thanks’ page. 
Complete a few final details 
(this may be slightly different depending on the social network), then click the OK, LOOKS GOOD » button. 
If you sign up with your e-mail address, set a password and click the SUBMIT button.

Your Swarm ‘Business Card’ is displayed. 
You can edit it by clicking on the pencil icon to the right of your name:

This is where you can update your photo, name, title, company, location, email address and phone number. 
Click DONE EDITING » to finish. 
From the Business Card Preview page, 
click OK, LOOKS GOOD » to continue.

The next step is to link your Facebook and/or LinkedIn accounts to Swarm, so that you can access lists of friends to refer to your company. 
If you elect to SKIP THIS STEP » you can still refer friends using just their email address. 
Click on the + icon to connect your social network. 
You will receive an authorization screen in order to move forward.

Once linked, the social network icon will show as ‘active’ rather than grayed out (as seen in step 8), and the number of friends you have in that social network will display. 
Click OK, I’M DONE » and start referring!

To begin a referral, click the New Referral button. 
Start typing a friend’s name in the 
‘search for a friend or type an email address’ field.

If you have social networks linked, names of friends from within those networks will appear in the drop-down list. 
Click to select the friend you want to refer. 
Alternatively, if you want to refer a friend who is not in one of your social networks, you can type their email address and first name in the fields provided, then click the SEND REFERRAL BY EMAIL » button. 
**Please note: if you copy/paste the email address, the 2nd box may not appear. Delete the domain, re-type it and then the box should appear for the first name.**

Next, decide if you want to refer your friend to a specific job, or just to a Department (or job function / category). 
The ? icon will provide more information on what each type of referral means.

To select a job, type a keyword and/or location of the job, and click the Search button. 
Click on the job you want to refer your friend to. 
If you want to refer your friend to a Department, simply click on the DEPARTMENT button, select the Department you want to refer your friend to from the drop down list.

Complete the two text fields: 
Tell your friend why you are referring them to work at the company… 
**This message will only be sent to your friend** 
Why would this person be a good fit for this company? 
**This message will only be sent to the recruiter** 
Then, click the SUBMIT REFERRAL » button and you are done! 
Please note: Swarm does not require a resume. 
When your friend accepts your referral, they will link their social network or manually create a profile

What’s Next? 
Your friend will receive an email from noreply@findly.com with a subject line such as: Candice referred you to CA Technologies! 
 This email will be sent to the account associated with the social network or email address you used to refer your friend 
 If your friend does not receive this email right away, please ensure they check their spam or quarantine. 
When your friend clicks CHECK IT OUT, they have the option to be referred or not. 
Until your friend clicks REFER ME and completes their profile, the company will not be able to view your referral. 
You will receive a notification email to let you if your friend has accepted your referral or not. 
In these examples, you can see Candice declined the referral for Human Resources, but accepted the referral for Child Care. 
Now that Candice has accepted the referral, the company can view her profile in the Talent Community.

Here’s what else you can do in Swarm: 
Link Social Networks 
Click the Social Networks (family tree) icon, to return to the connection page. 
Click on an inactive social network icon (like the Facebook one shown here) to link that social network with your Swarm account. 
Update/Disconnect Social Networks 
Click on the social network icon from the options bar (or when referring, click on the social network icon) in order to: 
● Update your contact list 
● Disconnect that network 
*Your contacts will not be automatically updated each time you sign in. You will need to manually update.*

View the status of individual referrals 
To review the status of a referral, simply click on the referrals list (icon with 3 people) and then select the referral. 
You will see all the stages of a referral, and which one your friend is up to: 
 Sent (by you) 
 Opened (by your friend) 
 Accepted (by your friend) 
 In Review (by a recruiter) 
 Decision (by a recruiter) 
 Outcome (recruiter) 
View the status of all referrals 
Click on the pie chart icon to view the Swarm Dashboard, which contains: 
● My Referrals - the total number of referrals you’ve made 
● Accepted - the number of times your friends have accepted your referral 
● Company Actions 
○ Yes - the percentage of times the company has invited your referral to apply 
○ No - the percentage of times the company has said No to your referral 
○ Maybe - the percentage of times the company has held your referral for the future 
● Hired - the number of times a referral you made has resulted in a hire **this data is not pulling from SuccessFactors yet and may not be accurate**

View Profile / Log Out 
Click on the Business Card icon to view your profile or to Log Out. 
Click View Profile to edit your business card 
(see steps 5 and 6 for further detail).

  • 1. Swarm Referrer User Guide 1. To access Swarm click here. If it is running slow in IE, we recommend Chrome or Firefox.
