5. Executive Summery
Our proposed system is an inventory management system for Madina Milk Shop &
Restaurant.
These are a few food items from the menu:
o Dahi-bhally.
o Desi-Ghee.
o Fruit-Chat.
o Jalebian.
o Kulfa-Ice-Cream.
o Kulfi.
o Russ-Malai.
o Sweet Lassi.
o Yogurt.
The Company also serves breakfast to its customers in the morning. Customers can either
order a take-away or they can dine in.
The breakfast food items include:
o Halwa-Puri, keema-puri, kachori, Halwa
o Nan-Chane
o Samosay
Currently at Madina Milk Shop & Restaurant, the manager and staff are forced to keep track
of inventory by hand. This means that they must calculate each and everything they have sold and
also whatever they have saved at the end of every day.
Owner/Manager Mr. Nadeem must also fill out order forms to be sent to suppliers so they
can prepare their inventory for the next week. This wastes a lot of man hours.
We offer a solution to this problem by developing software that tracks inventory in the
stock house and updates it according to the daily sales. Each food item is made up of specific
ingredients and as each item is sold, the ingredients used in making that item are also utilized.
These changes in the inventory are kept track of through using a database.
We intend to keep track of each and every ingredient by linking it dynamically to the food
item andasa result createadependent relationship to that item. At a specific time period (typically
at the end of the week) if the inventory is below the required level, order forms to the specific
suppliers are generated in order to restock the required items for the next week.
The proposed system also makes smart predictions about the required inventory for the
next week based upon the possible occasions or events that may impact on near future deals.
Just before the end of the week, the software calculates all required ingredient levels,
predictions and other factors to generate order forms, which after being verified by the manager
are sent out to the specific suppliers.

ProblemStatement
A visit to and meeting with manager and owner of Madina Milk Shop & Restaurant” Mr. Nadeem”
revealed issues with a basic ingredients requirement list that has to be maintained manually by the staff.
This process takes a lot of time and human effort and there is a risk of human error involved.
To keep track of their inventory levels the company has to:
o Calculate a list of the ingredients to be utilized during a specific time (a week)
o Calculate and analyze the requirements for the future (next week)
o Placetheir next order to the specific suppliers if needed
These are the problems that the staff at Madina Milk Shop & Restaurant has to deal with. It takes a
lotof time tomanually keep trackof sales and placeapproved order formstosuppliers, wasting useful labor
in minor work.
A productwhichwouldhelpin tacklingthe problems mentioned abovewouldprovetobe profitable
to MadinaMilkShop& Restaurant as this product would help change over the inefficient time to something
more valuable by eliminating the pointless error prone completions and efforts.
Scope of the system
The intended system will provide an efficient interface to the company for managing their
inventory, based on each item sold. Eachfood item will be linked to its ingredients whichare stored in the
database.
10
11. The intended system will:
o Analyze the total sale of the food items at the end of each day and will reduce the amount of
resources fromthe database that have been utilized
o Then it willcompare the current available resources with the threshold level of each ingredient
o If it finds that certain ingredients are below the threshold, it will produce an order form forthose
item(s) and send it to the manager (admin) for approval
The proposed system will also have a special feature Prediction. This feature will keep track of any
upcoming occasions and special events that may have impact on inventory needs for next week.
The proposed system will:
o Predictthe required resources forthese events based on previously calculated information.
o Next, it willgenerate an updated order form accordingto the result of the predictions.
The proposed system willalso:
o Maintain track of the expiry date of the resources (ingredients).
o If any resource is close to its expiry date the system will show a warning to the manager (admin)
with the details of the quantity that is near its expiration date.
In order forthe system to function properly and work efficiently:
The company must functionefficiently
The ingredients must be tracked correctly
Orders must be sent to its specific suppliers timely
The inventory must be maintained and updated at the end of every day
Objectives andsuccess criteriaof the system
Objectives:
o The system willoffer an efficientinventory control
o The system willanalyze the threshold levels of the resources
o The system willpredict the requirement forthe next order (ingredients for next week)
o If the manager selects a special event, then the system will add the extra requirements to the next
issuing order that will be sent to the specific suppliers after being approved by the manager
o The system willalso monitor the expiry date of the ingredients
o If any resource is about to reach its expiration date, then the system willalert the manager withthe
details of the specific ingredient(s)
Success Criteria will depend on:
o The accuracy in maintaining the inventory
o The accuracy in predicting the needed ingredients for the next order
o The accuracy in relating food items to their respective ingredients
o Ease of use when it comes to updating inventory levels and placing orders to the suppliers
Business Requirement
The basic purpose of the intended system is to automate the current manual inventory system. This
will reduce the risk of possible human error in estimating or calculating the inventory resources. This will
also increase the productivity of the company so the staff will be able to work efficient and smarter.
11
12. ProductFeatures
The system is intended for MadinaMilk Shop& Restaurant and; Owner/Manager Mr. Nadeemwill
be the user of the system. The software will be customizable so the manager (admin) will be able to
customize it to suit the company’s needs.
Company needs can be:
o Recipes (of fooditems)
o Suppliers (fromwhichthey order the ingredients)
o Threshold levels (of ingredients)
Users Requirements
The Manager would:
o Approve the orders (that would be sent out)
o Provide supplier information
o update recipes of food items
o Set threshold levels
Many of these tasks, such as the information regarding suppliers, recipes and threshold levels
would need to be set onceonly.
Of course, the option to add, remove and update this data will be implemented as well.Once this initial
step has been taken, our intended system willonly require a weekly approval for the orders being sent
out; minimizing the workthat management has to do in order to ensure that the correctamount of
inventory is available.
Of course, the option to add, remove and update this data will be implemented as well. Once this
initial step has been taken, our intended system will only require a weekly approval for the orders being
sent out; minimizing the work that management has to do in order to ensure that the correct amount of
inventory is available.
The Managerwould be responsible forupdating the amount of fooditems sold at the end of the
day.
Every day, the register will print out the food item sold and the quantity of the item sold. Instead
of manually subtracting that amount from the inventory, they will put the amounts sold into our software
whichwill do the workforthem. This data is also stored into the “predictions” feature for future use.
UserCharacteristics
The manager willbe the main user of the system. The manager willbe provided a small hand book
that willexplain the basic functionality of the system from whereit will becomeeasy for him to understand
and he will be able to manage the inventory more efficiently than the manual inventory system.
