Definition
• Appointing a person to act on one’s

• Entrusting of authority, power and
responsibility to another;
• A form of power sharing (empowerment).

4. Principles of Delegation
The process of identifying elements that can be
delegated to others in the classroom can be
achieved with the following classification:
• “A” items – a few duties are the most important
and cannot be delegated or only you can perform
them;
• “B” items – some duties are important but not
critical and may be or could be delegated;
• “C” items – a great number of duties are
necessary to the organisation but of lesser
importance, and these should be delegate.
Rules for Delegation
• Make sure sub-ordinate clearly understand the
task. Have sub-ordinates describe what it is they
think you want them to accomplish;
• Make sure the person has the skill, talent, and
ability to perform the task. Don’t delegate a
task destined to result in failure or frustration;
• Allow the sub-ordinate latitude in how the task
should be performed. Your way is not the only
way;
• Provide all the resources necessary to
perform the task. Make sure that you provide
help in getting the task accomplished.

5. Requirements for Delegation
1. Person to whom the task is delegated must be reasonably
competent and skillful;
2. Classroom manager must get to know the skills and interest of
the learners and their parents well;
3. Nature and extent of the task which is delegated must be
clearly defined and described;
4. Other members of the class must know to whom tasks have
been delegated and the authority they have to carry out task;
5. Classroom manager must trust those to whom task was
delegated, and not interfere constantly;
6. It must be possible to carry out assignment – not too difficulty;
7. There must be unity of leadership – delegated by one person;
8. Authority to carry out task, and responsibility must be
delegated along with the task.
When to Delegate
• Has more work than time allowed to
carry out task;
• Not able to execute tasks which have
higher priority;
• Management abilities of learners must
be developed;
• Parent involvement must be increased;
• Tasks can be carried out as well as or
even better by other people.

How to Delegate
• What to delegate (rewarding both classroom manager and person
doing work; specialised tasks like fire-fighting);
• Who to delegate to (person with appropriate KSD and time; or
someone willing to learn; must be reliable and sense of responsibility;
start with smaller tasks);
• How to delegate the task (delegated person must know – why
task is important, - what is expected, - when task must be completed,
- what authority he has to carry out task, - how to handle problems, -
how and when to report on progress, - how progress will be checked,
- what means and aids he has available, - what way he will carry out
the task);
• How to accompany and develop the person carrying out
the task (develop responsibility, initiative, own ideas, and abilities);
• How to check on its execution (keep to target dates; good and
regular communication; corrective steps at any time).

7. Advantages of Delegation
1. Lightens the burden of teacher in respect of routine and less urgent tasks;
2. Gives teacher more time to complete more important tasks;
3. Enables teacher to manage more;
4. Allows quick decision making, with less intermediate people involved;
5. Allows decision making at a level on which details are known;
6. Involves more people, and brings greater commitment, loyalty and joint
responsibility;
7. Distribute the responsibility to more people, and increases their sense of
dedication;
8. Brings about a better team spirit;
9. Offers learners and their parents the opportunity to develop their abilities and
interest;
10. Promotes self-confidence and cooperation among learners;
11. Provides in-service training for parents and learners;
12. Offers greater job satisfaction, which leads to improved motivation and
morale;
13. Makes it easier to exercise control.
Everyone Wins
Make a habit of the following:
• Delegate not only the menial, unimportant
tasks but also the significant ones. People
will see this as a vote of confidence;
• Remain accessible. Always provide a
“safety net” for the sub-ordinate. Be
available as necessary, but do not engage
in over-the-shoulder surveillance;
• When the task is performed well, praise the
sub-ordinate.

8. Remember this!
Enough authority must be delegated:
• To get the work done;
• To allow people to take initiative;
• To keep things going in your absence;
• To develop sub-ordinates;
• To establish accountability;
• To free up management time for higher
level activity.
Successful Delegation
• Makes work easier;
• Improves efficiency;
• Increases people effectiveness;
• Develops people;
• Ensures that the right people do the
right jobs.
